Background

In the past students approved by the course coordinator for enrolment into a restricted Curtin course (i.e. OUA badged course) have been admitted to the generic OUA course (Not for Degree) and upon successful completion of the course requirements for graduation have applied for a Degree by Incorporation. This procedure has made it very difficult for schools/course coordinators to identify their students as a cohort to allow for efficient administration.

In order to allow for a more rigorous administration of OUA students, in early 2011 the process of transferring all students who had been approved for entry to a restricted course (OUA badged course) commenced. A project coordinator was appointed by the Centre for eLearning to support the initial transferring of these students into the Curtin restricted course at the end of which Faculty Student Service Offices (FSSO) would undertake responsibility for this procedure.

Study Packages have been created in Student One (S1) to allow for all students who have been approved for entry to be admitted to the restricted Curtin course; many new courses have been added for 2013 please see the list below. Please note that the Graduate Certificate in Employment Law is being phased out from Study Period One 2013.

The process for admitting an OUA student into their course is as follows: • The student completes an online OUA Application form

• OUA forward the Application form electronically to the relevant FSSO

• The OUA Application is assessed for eligibility for entry to the course by the Faculty

• If eligible, the FSSO officer will enter student details onto S1, including the OUA ID under “Further Student Details” Alternate Id Type = Open Learning.

• Set course to Admitted

• If not eligible, the FSSO officer will enter student details onto S1 and record as not qualified • If the student does not have an existing Curtin Student ID enter details onto S1

• If the student does have a Curtin Student ID then check and confirm all details are up to date especially Citizenship and Educational Background, as the OUA import into the generic OUA course does not import these details and all students have a default citizenship (see screen shot). If the import failed and they were entered manually the citizenship code will be 1 - Australian

Once the application has been assessed and entered onto S1 the FSSO must advise OUA of the outcome and OUA will notify the student.

Note: Overseas Student Residing Overseas must be entered into S1 as a Temporary Entrant as Fee Exempt is not an Allowable Liability Category for an Overseas Student Residing Overseas

Deferral of Place

Students who apply for a place in an OUA restricted course or register their Intent to Complete a Degree at Curtin University form (Undergraduate not CSP) can not apply to defer the commencement of the course. These students enrol in units via OUA for the next relevant study period and if they do not enrol their course status will go to AWOL.

Enrolments, Withdrawals and Updates to student details

Enrolment into units, withdrawal from units and changes to student details are processed through OUA Melbourne.

OUA Melbourne sends files to FLS advising them of the student status and these files are processed into S1 either by import or manually.

WUSC

The WUSC process is managed through OUA. If OUA approves the WUSC FLS is required to prepare the SEA which is sent to SAS for processing.

Unit substitution

Unit substitution to be recorded onto S1 in “Student Comment” by FSSO.

CRL

All CRL is assessed and processed through the FSSO in accordance with Credit for Recognised Learning Manual. The FSSO is responsible for advising the student to withdraw from the applicable unit(s) at OUA (VIC), upon successful application of CRL exemptions. FLS must also be copied into this advice.

LOA

LOA is not applicable to Badged and Generic OUA students.

Examinations

OUA (VIC) manage the final invigilated examinations. All final undergraduate invigilated exam costs are covered by OUA (VIC). All final postgraduate invigilated exam costs are to be met by the school. Mid-study period exam costs for both undergraduate and postgraduate are to be met by the school and are managed by FLS.

FLS notifies Unit Controller/schools of timeline for forwarding the examination details and papers to FLS. FLS are responsible for forwarding the mid-study period exam papers to individual invigilators and final

examination papers to OUA (VIC).

Once the exam has been sat FLS receives mid-exam papers from invigilators and final exam papers from OUA (VIC) and delivers them to the schools for marking.

Results

Please refer to the “OUA results procedures” for full details on how results are dealt with from inputting into Student One to the result publication.

Application for Assessment Extension (AAE) (formerly known as Application for Deferred Assessment)

Students can defer final assessment using the Faculty approval process. CTL needs to be advised of the status of all applications for Assessment Extension to notify OUA (VIC) and the student of the outcome. Students who defer the final exam must sit this examination at the end of the following study period. If a student is allowed to sit their deferred assessment outside of this timeframe the School will be responsible for invigilating the student and the cost of running the exam.

Triple A Student Arrangements

Disability Services assess and approve all Triple A students and notifies CTL. CTL advises OUA (VIC) that the student needs special consideration when sitting exams.

Result Publication

Students access their results through OASIS.

Graduation

The FSSO will be responsible for setting students to Course Complete to allow for auto graduation, in accordance with the Awards and Graduations Manual – June 2012.

Registering for a Degree

Students are required to complete FOUR (4) Curtin OUA units before they can register their intent to complete a degree at Curtin. The “Registration of Intent to Complete a Degree at Curtin University” form is to be submitted to Flexible Learning Support, before being forwarded to the FSSO to be actioned.
