Internship “Operations/Function” (MGE 2

nd

Year)

1. OBJECTIVES:

The objective of the internship “Operations/Function” is to enable the student to work in an operational capacity in a specialist subject followed in the 2nd year and/or in a function linked to the

main course subjects. This puts the student in a practical situation, professional or functional, in order to obtain or improve their behavioural and business skills (see below).

This internship should enable the student to re-confirm his specialisation choice for the 3rd year.

Specific cases :

 For part time students, see the notice "Apprentissage" and the log book (period 1).  The students who are applying for a double degree must complete their internship

operations/function by the 15/01/2015 at the latest to be able to enter a University abroad in February.

 The students who are completing their term 4 abroad do not have to complete an

internship operations/function, this internship can only be undertaken with the option of a professional year

2. DURATION, PERIOD AND LOCATION:

The length of the Internship “Operations/Function” in the 2nd year is 14 weeks, between the 27th

April and the 22nd August 2015. If the internship Operations/Function is part of the professional

year the duration is a maximum of six months. Specific case :

- International Students present with a visa completing an Internship in France: if the date of the end of the Internship is later than the authorization of residence of the visa, the request for extension of the visa must be placed with the prefecture 3 months before the date of expiry of the initial visa.

The Internship “Operations/Function” may take place in France or abroad.

3. EXPLANATION OF THE APROACH BUILDING UP SKILLS FOR BUSINESS® (BSB) – KNOWLEDGE FOR ACTION

In order to optimise the acquisition and development of skills by students throughout their studies, but particularly during the internship, the Burgundy School of Business has implemented an approach entitled Building up Skills for Business® (BSB) - Knowledge for Action.

This approach aims

- to help the Internship tutor to formalise the expectations in terms of skills; - to help the students to understand the skills they will develop;

Therefore a reference table of skills has been designed and a process of monitoring and evaluating skills during the internship has been put in place (see annex 1, the website http://entreprises.escdijon.eu and the Elearning web site http://elearning.escdijon.eu/course/view.php?id=505).

4. MENTORING

A. THE INTERNSHIP TUTOR

At his workplace the student is mentored by an Internship Tutor. The latter undertakes to give the student a mission within the pedagogical project defined by the programme, to welcome the student and to give him the resources required to succeed in his mission.

to guide and advise the student

informing the student on the rules codes and culture of the company, in order to facilitate his integration in the company and to help him acquire the necessary skills to succeed in his mission

to monitor the work regularly; to evaluate the quality of the work done and to advise on the career plan of the student.

The Internship Tutor may be assisted by a colleague. B. THE ESC TUTOR

Each student is mentored by a school tutor, chosen by the student at the time of the internship application in relation to the theme of the mission (profession or function). The tutor is either a professor of the school or an individual nominated by the School.

The tutor mentors the student during the internship at meetings:

- at the initiative of the student (2 mandatory meetings one at the beginning and one at the end of the internship)

- at the request of the student (throughout the internship) according to his requirements. The tutor provides the student with technical and methodological support. There would be external advice in case of difficulty (integration, conflict…).

A. PROCEDURE

2. The first review, by telephone, takes place one month after the start of the internship, on the initiative of the student, between the company mentor, the student and the tutor in order to identify the skills required for the mission which the student is likely to develop during the internship.

For this, the company mentor and the tutor use the reference table of skills (annex 1).

3. On the basis of the skills which have been defined, the student makes an initial self-assessment of his level of skill for each skill identified for the mission (see annex 2).

4. Three or four weeks before the end of the internship : The student carries out a self-evaluation of the skills developed during the internship (both those which were, and were not, identified) using the self-evaluation form in annex 2.

The student arranges a telephone conference call with the Company mentor and tutor.

5. The student and the company mentor meet to make a comparative evaluation of the skills developed based on the table in annex 2.

6. Based on this comparative evaluation, the student completes his Executive Summary and includes the comparative skills evaluation.

At least 10 days before the end of the internship, the student sends his summary to his tutor at the school.

7. The company mentor completes the internship evaluation on the ERP of the School, "the comparative skills", "Mission" ant "Executive Summary".

8. The conference call (see 4b) for the end of internship assessment takes place between the company mentor student and tutor to evaluate the executive summary and to make an overall assessment of the skills developed and the professional project of the student

9. The tutor completes the evaluation of the Executive Summary on the ERP of the School.

2) The first meeting consists of a conference call between the student (intern) the

company mentor and the ESC tutor on the initiative of the student one month after

the start of the internship.

This meeting facilitates contact between the parties, an exchange of contact details and to check aspects of the internship mission:

- the internship location,

- the Company mentor’s name and contact details

- the mission objectives, reviewing the information provided in the internship registration document,

- the results expected by the company,

- the details of the integration process for the student within the company,

- the managerial and professional skills which can be developed during the internship (see the portfolio of skills - BSB)

- the internship evaluation including the comparative evaluation of skills.

This first meeting can also raise the issue of any professional or relationship difficulties which might have been encountered by the student during the first weeks of the internship and determine the appropriate actions required to help.

Note:

The contact details of the ESC tutor must be given by the student to the Company mentor.

The student prepares a written report of the first meeting and sends it, after the meeting, to the ESC tutor by post or email.

3) At the

end of the internship, during the last week, a conference call takes place between the ESC tutor, company mentor and the student.

The meeting objective is to evaluate the internship.

- For this the student must prepare in advance: the self-evaluation of his general personal and behavioural aptitudes as well as the professional skills developed during the internship (Categories GS and PS in the BSB portfolio of skills),

- the completion of the comparative evaluation of the skills developed during the internship with his company mentor (Categories GS and PS in the BSB portfolio of skills - annex 1)

- on this basis, write an EXECUTIVE SUMMARY (see paragraph below), - obtain the company mentor’s approval of the EXECUTIVE SUMMARY

- Send the Executive Summary to the ESC tutor, with a copy to the “Service Stages” of the “Groupe ESC”, 10 days before the end of the internship.

The end of the internship meeting must take place during the last week of the internship.

ANY DELAY would invalidate the internship. It would be considered as an abandonment of the internship and its validation with the consequent obligation of doing another internship.

Additional meetings, on the initiative of the student:

In addition to the mandatory meetings, defined above, the student may, at any time during the internship, take the initiative of contacting his ESC tutor in case of difficulty; a need to review or clarify or a need for personalised advice. In these instances, it is the responsibility of the student to contact his ESC tutor as promptly as possible to consider the most appropriate solutions.

5. EXECUTIVE SUMMARY

At the end of the Internship, the student must write a report following the guidelines below:  Format: 10 pages maximum (excluding annexes) typed, one sided, spacing 1.5, font Arial 10. Publishing: 2 copies:

 one copy for the company,

 one electronic copy in word with the file name in the following format: "NAME_Firstname_MIM2stage.doc", to send to the email address :

[email protected]

,

or in the list of contacts “ESC, STAGE RAPPORT”.

NB: If the filename is incorrect the work of the student could be lost or overwritten by an identical file name The student is advised to save an electronic copy of his report on a CD or USB key in addition to a copy on the hard drive of the computer.

Contents:

o Front cover in the format of the “Groupe ESC Dijon” (annex 3)

o Company Description (Legal status, activity, organisation and internship department) o Presentation of the mission, assigned objectives and the conditions to realise the

mission (timing, resources ...)

o Analysis of the situation or analysis of the scope of the study (product, business, industry, geographical area, entity…) Strategic and/or political issues, risks and opportunities…

o Presentation and justification of the methodology used

o Presentation of results: benefits for the company and the contribution of the student o Recommendations for the company: proposals for additional studies, improvements

o Written report of the comparative evaluation of general personal and behavioural aptitudes as well as the professional skills developed during the internship

o Personal and professional report about the internship experience.

NB: The Executive summary should be read by the company manager and registered 10 days before the end of the internship on the intranet, section “Stages de l'École”, for corrections/evaluation by the ESC tutor by the last day of the internship AT THE LATEST.

ANY DELAY would invalidate the internship. It would be considered as an abandonment of the internship and its validation with the consequent obligation of doing another internship.

6. INTERNSHIP VALIDATION

The evaluation by the company tutor accounts for 60% of the overall assessment and evaluation and the School tutor’s evaluation counts for 40%.

The Internship is assessed on the basis of the following three elements: - The generic skills developed by the student during the Internship - The successful completion of the mission by the student

- The Executive Summary

The evaluation tables must be completed on the ERP "e-campus" of the “Groupe ESC Dijon Bourgogne” unless this is not possible and then the completed forms must be signed and dated and submitted to this address: [email protected].

The grade will be registered with the Internship Department of the Burgundy School of Business “Service Stages du Groupe ESC” and with the Programme Administration office.

7. CONFIDENTIALITY AND ETHICS

The internship provides an opportunity for the student to immerse himself within the organisation and activity of the company. It is necessary to behave as a member of the company.

The student must respect the rules of commercial confidentiality. Therefore the student must not communicate the Executive summary or the Portfolio of Skills BSB to anyone outside the School and the company.

If the student is required to contact other companies to complete his mission he must respect the following principle: His research or contact must not be presented as a mission carried out on behalf of the “École Supérieure de Commerce de Dijon/Burgundy School of Business” but as a mission for the company as part of an internship. However, the student is not obliged to disclose the name of the company for which he is conducting the mission.

With reference to the rules of the “Groupe ESC Dijon”, the student’s attention is drawn to his obligation to respect copyright laws, quotations of texts used, indication of authors and sources (in the body of text and in the annexes of the student’s report).

Finally students are reminded that during an internship they are ambassadors of the School and, as such, their behaviour must be dignified and beyond reproach.

Failure to comply with these provisions constitutes a breach of the School rules (see Section 4 of the School and Examination rules) and could lead to a summons by the Disciplinary board as specified in the rules.

8. ADMINISTRATIVE FORMALITIES:

The “Service Stages” of the “Groupe ESC Dijon” is available to assist students with their administrative formalities, to assist in case of problems and for the submission of evaluations and ratifications.

9. AN INTERRUPTION IN THE COURSE OF STUDIES: “A STUDY BREAK”:

A. PERIOD AND FORM OF THE STUDY BREAK:

The study break is an optional school year between the 2nd and 3rd year of the programme (or between

the 1st and 2nd year of a Master’s), between the 27th April 2015 and the 23th August 2016.

Two forms of study break are possible, in the Academic year after semester 4 (2nd semester of the 2nd

year):

 Professional Year with an Internship Agreement,  Study break without an internship.

In this instance, the study break is not an internship but a personal educational choice. 1) PROFESSIONAL YEAR WITH INTERNSHIP AGREEMENT:

1.1. Professional Year with Internship “Operations/Function”: For this option, the Internship “Operations/Function” is part of the professional year.

Students are required to validate the module Internship “Operations/Function” as part of the curriculum of the 2nd year (or 1st year of a Masters). They may also carry this Internship over to the

professional year period.

This choice implies that the internship will last 6 months, with the same conditions and obligations as those mentioned above.

The students applying for a double degree must finish and validate the internship of 6 months by the 15/01/2015 at the latest.

NB: In this case the Internship application must be completed using E-campus, under the MIM1 academic year 2014-2015 and NOT in the Professional Year 2015-2016.

1.2. Professional year with Internship:

The students, who have successfully completed the Internship “Operations/Function” or have obtained exemptions following a semester abroad between January and July during the 2nd Year, could

have a professional year with an internship of at least 6 months.

In this case it is possible to accumulate several internships in one or more companies. For example: 2 internships of 3 months in 2 different companies.

In France, the duration of an internship in a single company must not exceed 6 months, except modification of the current law.

The monitoring of the study break with internship is provided by the hotline of a tutor chosen by the school.

The internship during the professional year option does not require an Executive Summary. It is validated by the company using an evaluation table to be completed by the company mentor (See Annex 4)

NB 1: In this case, the application for the internship must be completed in E-campus (“mes E.A.”), under the Academic Year of the professional year (2015-2016), module stage conventionné.

2) FREE STUDY BREAK YEAR:

For the student this choice consists of a year in which training at the School is suspended so that the student may spend a year either; working with an employment contract; following a course of study in France or abroad; or carrying out a personal project, individually or within an association.

Condition: The student must have completed the Second Year in its entirety.

In the case of a free study break, the School does not issue an Internship Agreement. No employment contract can be validated as an internship.

Students opting for the free study break may request to be supervised by an ESC tutor. B. REGISTRATION OF THE STUDY BREAK OR PROFESSIONAL YEAR:

A student opting for the professional year, with an Internship Agreement or as a free study break, must register with the Administration Department before the end of his 2nd Year at the School.

If the student chooses a professional year with an Internship Agreement, he must follow the procedure for the Internship “Operations/Function” or professional year with Internship (see procedures above).

What is a competency?

A competency is a body of knowledge and personal and behavioural aptitudes

mobilised to act in a work context producing results validated by a third party.

The development of a competency can follow the logical sequence described below:

What is a portfolio of competencies?

A portfolio of competencies is a tool that enables the identification of the skills

required and practised in a work activity or job.

students who follow the programme.

How is the portfolio of competencies structured in the “Programme

Grande École”?

The portfolio of competencies in the “Programme Grande École” is structured in

three categories (corresponding to the definitions of skills below):
