About This Guide

This guide introduces faculty and staff to some of the technology resources available at the University of Iowa, with the aim of making those resources easily accessible. It is an overview of the most common technologies and services used by the University of Iowa community.

Alongside each service description in this guide, there will be links to complete details and instructions. Important considerations for many services are identified with the following icons:

Additional information, or actions that should be taken, will be denoted by the information symbol.

Departmental Support

In addition to the ITS and HCIS help desks, many departments provide local IT support for their faculty and staff. Faculty and staff members can contact their department’s administrative assistant for information about local IT support.

The HawkID is an electronic identity at the University of Iowa. Most of the services available at the university (such as ISIS, ICON, or Hawkmail) are accessed with a HawkID and passphrase.

Health Care users may have an additional HealthCareID that can be used to access applications such as Epic, Health Care workstations, or Health Care e-mail accounts.

HawkID Password/Passphrase

Because of the sensitive, and personal, material that faculty and staff access with their HawkID, it is very important they are the only person who knows the passphrase

• If a faculty or staff member suspects someone else knows their HawkID passphrase, the best solution is to change the passphrase immediately to avoid security issues

• To help secure HawkID accounts, ITS encourages faculty and staff to change their passphrase often

Faculty and staff can provide passphrase hints by selecting questions and providing answers that only they will know. Doing this gives them the ability to reset the HawkID password at any time at http://hawkid.uiowa.edu

Forgotten Passphrase Service

If a faculty or staff member forgets their HawkID passphrase, the Forgotten Password/Passphrase tool can be used to reset it. This tool can be found at http://hawkid.uiowa.edu

• This service does require that the passphrase hints are set up ahead of time

No password hints? Faculty and staff can call the ITS Help Desk at 319-384-4357 (4-HELP) to have their HawkID password reset over the phone.

Password vs. Passphrase

The purpose of passwords and passphrases is to provide access to secure services or sensitive information; however, passwords are generally short, hard to remember and easy to crack. Passphrases are easier to remember and type, are considered more secure due to the length, and shouldn’t need to be written down. Here are some tips for creating a good passphrase:

• Make up a sentence or a phrase that includes a combination of uppercase and lowercase letters, numbers, and punctuation • Include some memorable “encoding” in the phrase, for example:

- “Iowa winters are cold” would not be an acceptable passphrase as it does not include numbers or punctuation

- “Iowa w1nters are c0ld!” meets minimum complexity requirements in addition to having a secure length of nine or more characters

The University of Iowa has partnered with Duo Security to provide a two-step verification process for some critical services and systems on campus, most notably UI Employee Self Service. This two-step verification is a way to further protect user and institutional data by requiring users to not only provide their user name and password, but another form of verification before they are allowed to access the service or system.

• Duo Security two-step verification allows for the registration of multiple devices (such as cell phones, land line phones, and tablets) to be used as the second step of verification when logging in.

• Duo Security has apps for Apple, Android, Blackberry, and Windows (mobile) devices.

Hawkmail

Hawkmail is the e-mail service provided by ITS to faculty and staff. • There are multiple ways to access Hawkmail accounts:

- Through any web browser, at http://email.uiowa.edu - With e-mail programs such as Outlook or Mac Mail

- Through the default email application on most mobile devices. For more information and instructions, see

• University holidays, class schedules, and ICON events can be added to Hawkmail calendars. These settings can be changed by using the DIY site at https://diy.its.uiowa.edu

• Hawkmail accounts for faculty and staff members will be requested by the IT support person within their department

• For information and assistance with Hawkmail accounts, contact the ITS Help Desk

The UI Mass E-Mail Service provides for the distribution of mass e-mail messages (more than 1,000 users) to the campus community under a system of administrative approvals.

LISTSERV is a campus-wide e-mail list service available to faculty, staff, and students. It is used for ongoing discussions and announcements about a particular topic, generally self-selected for membership. This service allows a list owner to administer e-mail lists through a web interface. Subscribers can be from the university community or the general public. This service would be used to collaborate and share information with a large group of people. Previous messages are accessible in an archive list.

Health Care E-Mail

Faculty and staff who are affiliated with UIHC or the College of Medicine will be provided a Health Care e-mail account.

• Health Care users have multiple ways to access their Health Care email accounts:

- Through any web browser, at http://mail.healthcare.uiowa.edu - Through the default email application on most mobile devices. For

Securing Personal Computers

Whether faculty and staff members are bringing a personal computer to campus or using a university-owned computer, precautions should be taken to ensure its physical security, including:

• Close and lock offices, residence hall rooms, or apartments while away

• Use a cable lock to secure the computer to a desk

• Make sure to keep computers with them at all times, or lock it up in a safe place

Protecting Yourself Online

An online security attack can result in losing the privilege of Internet access on campus, personal identity theft, or worse. Here are some things to remember to remain safe while online:

• Keep passphrases confidential; faculty and staff are responsible for all of their account activity

• Be wary of any links in an instant message or e-mail; links are a way for viruses, worms, and trojans to infect a computer

• Be skeptical of e-mails that ask for personal information or that have instructions to click on a link to verify an account; replying to these types of messages can compromise the integrity of a university account

• The university will never ask for passphrases (HawkID passwords) via e-mail; contact the ITS Help Desk to verify if an e-mail message is legitimate

• Make sure to use antivirus software and keep it updated; make sure the operating system on the computer is updated as well

• Faculty and staff should be careful of what information they publish online; before uploading pictures or text, they should consider how it might affect personal security or possibly jeopardize future job prospects

Sharing Copyrighted Material Online

Copyright infringement is not the only threat from file sharing • Assume files on peer-to-peer (p2p) networks are infected with

spyware and viruses

• Faculty and staff are responsible for all online activities that take place on their network port or wireless connection

• If a faculty or staff member violates copyright laws using a computer on the University of Iowa campus network, their Internet access will be restricted and they could be prosecuted

UI Wireless: eduroam

The University of Iowa offers wireless connectivity in all academic buildings, the residence halls, and many common areas on campus.

The university’s wireless network is part of eduroam, a worldwide consortium of colleges and universities that provide wireless Internet access across research and education networks. The eduroam network is a secure wireless network that requires users to log in with their HawkID followed by @uiowa.edu and HawkID passphrase.

Use the UI Wireless Setup network to automatically configure a laptop or desktop computer for access to the eduroam wireless network.

To connect a mobile device to eduroam, select the eduroam network directly from the list of available wireless networks. See the ITS website for more information about connecting a Wi-Fi enabled device to eduroam at

UI Wireless: AT&T Guest WiFi

Visitors to the University of Iowa campus can enjoy free guest wireless service, courtesy of a partnership between Information Technology Services (ITS) and AT&T. Guests can take advantage of this convenience by selecting the “attwifi” network when configuring a device for wireless access. After this, guests will just need to use a web browser to confirm the connection to the wireless network and agree to AT&T’s terms and conditions and UI policies.

For technical support, guests using the attwifi network can contact AT&T directly at 888-888-7520

Like most guest networks in public places, attwifi is not encrypted; therefore, UI faculty, staff, and students are

encouraged to continue to use eduroam for access to wireless Internet

UI Anywhere

UI Anywhere is a Virtual Private Network (VPN) that provides off-campus secure access to resources located on the University of Iowa campus. Examples of those resources would be: library resources, websites restricted to on-campus use, e-mail servers, systems, and Remote Desktop.

Cisco AnyConnect is the software program the university has site licensed for this service. It can be download and installed from the ITS Software Download Site at http://its.uiowa.edu/software

educational discounts on computers available through participating vendors.

• To take advantage of academic discounts available for new

computers, faculty and staff can log into the Computer Purchase Site with their HawkID and passphrase.

If a faculty or staff member is purchasing a computer for their department, the online ITS Computer Purchase Site also includes instructions for ordering equipment using a departmental requisition, a departmental credit card, or through the eBuy system.

The University of Iowa offers site-licensed software to faculty and staff free of charge, or at significant discounts. Faculty and staff should visit the ITS Software Central website to access and download free software and for information on the cost and availability of other software

programs.

• UI faculty and staff can obtain Microsoft Office Professional Plus 2013 for Windows, or Office Home & Business 2011 for Mac at a discounted rate for work-at-home use. Instructions are available on the ITS software website

• UI faculty and staff can also obtain a license for Adobe Creative Cloud and Acrobat Pro at a discounted rate. This software can be installed on a personal computer for work-at-home, university business purposes

Remain safe while onlne by using antivirus software and

updating it regularly. A few examples of free antivirus programs are available on the ITS website at

Virtual Desktop

Virtual Desktop is a web-based system that allows access to several software applications, at no charge, from almost any computer with an Internet connection.

• Provides access to applications such as Microsoft Office, SPSS, SAS, Adobe Creative Suite, and more

• Due to licensing agreements, some software titles are only available when accessing Virtual Desktop on the campus network

The Office of Teaching, Learning, & Technology (OTLT) supports, develops, and encourages faculty and TA professional teaching and learning strategies, including support for a wide variety of instructional technology solutions and expert assessment consulting and resources. Efforts are guided by the question “What academic learning experience do you want your students to have?” Staff in OTLT offer support

Evaluation and Examination Service (EES) is located in 300 Jefferson Building on Washington Street EES provides free scoring and statistical analysis of classroom tests and quizzes administered using scannable answer sheets.

• EES administers the campus Assessing the Classroom Environment (ACE) process at the end of each semester and can assist you with ongoing assessment of your course and classroom environment as requested.

Enterprise-Level Services

OTLT offers a number of enterprise-level instructional technology services, from the campus-wide course management system, ICON, to technology support in classrooms and computer labs.

Training & Consulting

• OTLT offers departmental and open registration training on effective uses of ICON, media, wikis, and other tools to promote learning. • Especially popular are the workshops offered before the fall and

spring semesters

• Consultants are available from 8 a.m. to 5 p.m. Monday through Friday to answer questions, help solve problems, and provide other one-on-one assistance

In 2800 UCC, faculty and staff can work on instructional projects, with consultants on hand to provide guidance

• The Instructional Consulting Studio has an open workspace and three consultation rooms, with computers and instructional software that may not be available on faculty workstations

• The Instructional Digital Media Studio has high-end Macs and PCs with advanced media software programs as well as HD cameras (720/1080i), HD capture decks, solid-state recording equipment, and an HD projector

Innovations in Teaching with Technology Awards

Early each fall semester, the Academic Technologies Advisory Council issues a call for proposals for the Innovations in Teaching with

Technology Awards that offer funding opportunities for faculty. • The goal of the Innovations in Teaching with Technology Awards

program is to raise the level of teaching and learning at the University of Iowa by supporting significant and innovative

instructional technology projects that have the potential to directly impact student success and retention

• Can be used for instructor testing, development, and research organization

UICapture is the lecture capture service hosted by the University of Iowa. By using UICapture, users are able to:

UICapture has many features, including:

• Available for both Windows and Macintosh computers and iOS devices

• Consists of both a software recorder and web interface

• Ability to create digital recordings of audio, video, and screen content • Content can be easily linked to ICON courses or other websites

moderator-led, Internet-based e-learning and collaboration with options for full duplex audio, sharing PowerPoint presentations, instant messaging, application sharing, breakout rooms, recording sessions for later playback, and more

Video Conferencing

Video conferencing is supported using hardware-based video

conferencing systems such as Polycom and LifeSize. These solutions use standards-based technology (H.323 or SIP) to bring participants together over the Internet using high-definition video. Participants can see and hear each other and electronically share documents without being in the same location.

• Authorized departmental requestors can reserve equipment online for pickup at the ITS offices in 2800 University Capitol Centre during normal business hours (M-F, 8 a.m. - 5 p.m.)

• Rental fees apply, with a maximum rental length of 14 days; rental must be paid for with a valid MFK

ITCs, or Instructional Technology Centers, are computer labs that are designed to provide students with campus-wide access to the university’s academic computing resources and encourage departments to integrate computing into their academic programs. ITCs are located in 26 locations on campus, comprising a network of over 1,000 workstations available for student use.

• Each computer has Microsoft Office, Adobe Creative Suite, graphics software, web design applications, and statistical packages

Files@Iowa allows faculty and staff to save files to a secure, backed-up location that is accessible from work or home 24 hours a day, 7 days a week

• Files can be accessed from university-managed computers via network drives

• Files can be accessed on personal/home computers by connecting to the VPN and mapping a drive to that computer

OneDrive

OneDrive for Business is an enterprise solution for file sharing and collaboration needs. OneDrive is available for all faculty and staff (including UIHC). Some of the advantages of OneDrive include: • 25 GB of storage

• Real-time collaboration with students and colleagues

• Files can be accessed through the OneDrive website, OneDrive for Business mobile application and the desktop application for Windows

- A OneDrive for Business application for Mac will be available in the near future

collaborate with UI investigators, faculty, and research support groups in a variety of fields and activities.

Data Center Space

Research Services has access to various managed data center spaces on campus. Staff can assist in locating the best spot for your system(s). Space is available for both co-location (AC power, network only) and ITS-administered systems.

High-Performance Computing

The university has a site license for Lynda.com, an online training library that provides access to more than 2,500 courses and over 100,000 tutorials. The courses and tutorials available contain content that ranges from introductory to advanced. The videos cover a wide variety of technology-related topics, creative techniques, and business strategies.

MyQuickCoach

MyQuickCoach is an e-learning resource filled with more than 2,000 video lessons, articles, and PDFs. The content can be used for professional development, and can also be shared with others to enhance their learning opportunities. This service is available to faculty and staff with regular appointments of 50% time or greater.

Security at Iowa
