XIME CHRONICLE

The Beginning

XIME was established in 1991 by a group of distinguished academicians under the leadership

of Prof. J. Philip, former Director of IIM, Bangalore.

It is located in the heart of Electronics City, the Silicon Valley of India, Bangalore with IT icons

such as Hewlett Packard, Infosys, TCS and Wipro as its neighbours. The campus vibrates

with myriad activities such as conventions, conferences, student competitions, short-term

industry relevant programmes and cultural activities along with excellent co-curricular

activities.

The Institute

XIME is today a global brand and hosts regular international events in collaboration with

over a dozen partner institutions around the globe, including student and faculty exchange

programmes and international study tours for its students.

Personalized attention to student development is a key tenet at XIME. The curriculum at the

institute is regularly reviewed and updated according to industry requirements. XIME has a

diverse faculty group, with good representation from senior positions in industry and civil

services as well. The institute can boast of virtually full and high quality placements in all

the years. It is little wonder then, that XIME is acknowledged as a leading B-School in South

India, being continuously ranked among the top thirty B-Schools in India, and is generally

seen as the second best in Bangalore after IIM-B.

XIME’s Flagship Programme is the two-year Post-graduate (PGDM) Diploma in Management,

which is admitting the 20th Batch of Students this year, 180 being the batch size.

XIME Kochi

XIME added another feather to its cap when its state-of-the-art campus at Kochi was

inaugurated on December 2, 2012 by Sri. Oommen Chandy, Hon’ble Chief Minister of

Kerala. PGDM at XIME Kochi got AICTE, approval for an annual intake of 120 students.

The first batch started in July 2013. XIME’s proposed new campus in Chennai should be

operational by December 2014.

THE CAMPUS

XIME has an integrated campus that offers excellent academic infrastructure and accommoda-tion to its students of the two-year PGDM programme. The facilities at XIME include:

• 13 class rooms with seating capacity ranging from 40 – 150, including seven air-conditioned class rooms.

• A full-fledged library with a rich and vast collection of books from both management and non-man agement domains.

• Multi-media and projection systems in all class rooms with a fully covered WI-FI internet system.

• Separate hostels for men and women students.

• An Executive conference hall for Management Development Programmes.

• An auditorium with a seating capacity of 300 audience which is now being raised to 500 capacity.

EVENT MANAGEMENT PROGRAMME

An Overview

Globalization, incredible advances in technology and the advent of cut throat competition have combined to bring about a high degree of professionalization in the practice of management. As these pressures grow, professionalization tends to embrace deeper and deeper levels of management practice. Event management is one such deeper level.

Event management is an option for consideration in determining the marketing mix and in implementing busi-ness strategy. An event is a show, or a meeting, or a conference arranged by an organizer to establish effective communication with a target audience. The organizer’s purpose is to convey a message which carries convic-tion to the audience and secures for the event organizer the support and commitment he is seeking from them. Increasingly, event management is getting professionalized and exposure to formal education is becoming a necessity for event strategists and event managers – especially those who are keen to enter or join the industry newly. Opportunities in the Event Management Industry are exploding and a survey carried out by XIME has borne out this fact. Opportunities include jobs at various levels as also entrepreneurial opportunities to set up event management companies specializing in specific types of events.

Broadly speaking there are two kinds of events to be managed: (a) business events and (b) social events. Business events include brand building, product launching, road shows, shareholder meetings, professional conferences, seminars, etc. Social events include marriages, religious ceremonies, community fes-tivals and so on. Now-a-days there are political events also which are coming into the purview of the event management industry. These include political meetings, mega rallies, political back office support events and so on. All events call for superior knowledge of the host industry as also the event management industry, to be able to conceptualize the event; and skills to transform the concept into a reality through the use of project management techniques, logistical support, choice of event related technology and a deep understanding of media, including digital media and social media.

XIME’s Certificate Programme in Event Management aims at facilitating aspiring entrants to this industry acquire appropriate levels of knowledge and skills in all these areas which are vital for success as professionals.

OBJECTIVES OF THE PROGRAMME

The Programme aims at the following learning objectives:

• Essential knowledge based on core event management functions and soft skills; • Skills in planning and organizing events;

• Skills of identifying and monitoring the business essentials of event management organizations; and • Build the competencies in organizing events as professional business activities/ services in sync with

related businesses such as travel and tourism management and hospitality management services.

Coverage

The six-month Programme provides essential knowledge base in core management functions and soft skills, besides equipping the participants with planning, organizing, and monitoring skills as needed for effective event management. The programme will not only develop them as field level event, the planners, and managers but also as smart entrepreneurs. It will also enable the candidate to build competencies in developing event management as a specialized function within large enterprises that may deal with complimentary and supplementary businesses such as travel and tourism management as well as hospitality management.

The Programme will be delivered by XIME’s highly professional and experienced faculty, backed by industry experts from various organizations associated with the event management domain. Classes will be at weekends across twenty-five weeks, held at facilities in Jyoti Nivas College and also at its main campus in Electronics City.

On successful completion of the Programme, the students will receive a Certificate in Event Management.

PROGRAMME STRUCTURE

The Programme will be offered over three terms, covering 12 subjects will be of two credit value each and will involve continuous evaluation and feedback.

Duration:

Six months – spread over three terms of 8 weeks each, commencing from 20th June, 2014. One week will be for orientation of the candidates to this domain.

Who should enroll?

The Programme is intended for :

1. Those who are interested in pursuing a career in organizing conferences, celebrations, travel, sports, tourism or hospitality events – in short, any event management.

2. Executives who coordinate events in corporates and wishing to enhance their knowledge and skills by going through a structured programme in event management.

3. Those who are now working in some related domains but would like to migrate to the domain of event management.

CURRICUlUM

Term 1

1. Basics of Event Management

The course offers basics of the event management business , as it emerged as an application of project management, covering the what, why, and how of the various functions that are to be performed in managing events. The business models and revenue models that help managing events as a profitable enterprise are introduced in this course.

The key elements of event management: identification of target audiences, design of event concept, planning and coordinating the technical aspects before actually launching the event and finally, creating the elements of how an event would develop and make the desired impact on users and participants of the event are introduced in this course.

2. Event Planning and Project Management

Identification and appreciation of the varied delivery requirements of events; Project management elements for professional conduct of an event; Identification of resources, work flow, balancing costs, time and quality in conducting an event and how to develop and prepare for uncertainties in managing an event; Role of Event Manager as a Project Leader.

3. Logistics and Operations Management

Aspects of event development to event logistics; Starting from site surveying, client service, supply chain identification, procurement, scheduling to the delivery of all resource components in a timely and budget complying and adhering to quality, safety, security and other operational fashion requirements.

4. Basic Accounting

Basics of accounts, including book keeping, double entry system of accounts, learning of how to prepare and understand financial statements; Accounting as information system; Financial management of resources and cash management; Fundamentals of costing; Exposure to common accounting package like Tally.

Term II

5. Effective Communication Skills:

Principles of effective business communication, including business etiquette, presentation and public speaking/ master of ceremonies skills, protocol etc.; Types of barriers to communication and how to overcome barriers; Business report writing/ 3 Ps in action. Understanding how communication works in business, how to communicate competently and effectively; Competent writing and speaking skills crucial to business.

6. Basics of Marketing

Role of events as marketing tools, effective marketing of the event management services using the marketing principles.

Basics of marketing mix, emphasizing promotional methods and basics of advertising with emphasis on internet based social media marketing, esp, Facebook and Twitter; Market segmentation, characteristics of segments; Customer relationship management; how to develop pricing of conducting an event.

7. Organizing Conferences and Expositions

Conducting meetings, conferences, holding business expositions that impress and drive the marketing pitch of the firm and strengthen the relations between business partners and collaborators is critical to

succeed; Concepts of organizing meetings, conferences and exhibitions as big ticket events; key considerations in successful conduct of large meetings, corporate conferences and trade expositions.

8. Team Management

Teams of multi-tasking, go-getting individuals, supporting each other to make the projects happen as designed, know each other, understand the requirements of others and attend to them, without being supervised and monitored for their job deliverables; How to build teams of staff members who can act together and ensure the success of events being handled; Inter-personal behaviour, group dynamics and developing teams through organizational understanding.

Term III

9. Time Management and Proactive Management for Crisis Prevention

To handle, all expected and unexpected developments while organizing and managing an event. Key soft skills of managing time in a professional and systematic way, and developing support systems to the project management approaches by preparing for and handling crises of various types. Preventing crises would be the aim.

10. Event Leadership-Small to Mega events

Types of events, characteristics of various events, characteristics of audience, entry and queuing method, crowd control, managing control behaviour, health and sanitary arrangements, transportation facilities, security arrangement, legal permissions and compliance of rules; Role of Leadership in crowd management, Characteristics of leader in managing crowd behaviour, understanding of qualities of leadership.

11. Web designing and internet planning for Events

Basic skills of how to use various templates in making attractive web pages that help showcase the events planned and develop them to link with social media as well as search engines like Google. To identify and access the internet resources and tools in a cost effective manner so as to develop and/ help develop supportive mechanisms in handling the web presence of the event planned.

12. Successful Management of an Event Business Firm

Business development, profitability and growth; understand and manage one’s stakeholders, facilitating them to prosper and sustain in the industry. Inputs on entrepreneurship, professional management of the organization, competitive skills and adaptive ability to the changing business environment; Understanding of various funding resources; facilitating to create a successful business model.

PEDAGOGY

Team Oriented Teaching

A variety of methods are used to teach different subjects. Lecture sessions are supplemented with case studies, individual and team exercises, assignments, seminar presentations, and live project(s). Consider-able emphasis will be placed on team assignments, team discussions and team work, besides live project participation.

Live Project

An essential to the successful completion of the programme, all participants are expected to work on a Live Project, to be designed and offered with the partnership of Event Management Firms. The Live Pro-jects will be announced towards the end of the first trimester and students will get four weeks’ time after the first term to do the live project.

EARN while you LEARN

Students have the option of undertaking paid event related work (approximately 20 days) with event com-panies during the period of the programme. They will not only get the experience of working in events run by reputed event management companies but also get paid for the same. Several event management companies in Bangalore have extended their support to the programme.

Comprehensive Evaluation System

Performance in each course is evaluated separately. It is based on a continuous and versatile system of periodic quizzes, surprise class tests, midterm test, home assignments, live projects, class participation and end-term written examination.

Attendance:

100% Attendance is required to successfully complete each trimester. However, in exceptional circum-stances XIME would consider condoning absences due to sickness, bereavements or officially assigned work by the organizations where a student is working for on behalf of the Institute. Such absences should not exceed 15 percent in a course.

• Any graduate from a recognized university with 50% of marks in the aggregate. • Candidates already experience in event management will be given preference. • Event Entrepreneurs can also apply

Important Dates

• Last date to apply: 5thFebruary 2015

• Programme commencement: 7th February 2015

FEE STRUCTURE

• Programme Fees: Rs. 40,000

• Fees are to be paid in two instalments: Rs. 20,000 at the time of enrolment and the balance Rs. 20,000 at the time of the commencement of the second term.

Campus a Venue for the Event Management Programme

Keeping in mind the demands and pressures on working professionals and students who seek a conven-ient location for attending a weekend class-room Programme, XIME is offering the proposed Event Man-agement Certificate Programme in the heart of Bangalore city, at Koramangala. However, Saturday classes will be held at the campus in Electronics City to facilitate the programme students to use the Institute library, computer centre and other facilities.

The City Centre has a well-equipped Class Room. All students are allowed to visit XIME main campus at Electronic City Phase – II to make use of its main library, computer centre and other facilities of the Institute.

Four students from Audencia B School, Nantes, France did their semester abroad programme at XIME. XIME has played host to students and faculty groups from institutes such as University of Redlands (USA), La Salle University (USA), Milano-Bicocca (Italy), St. Thomas University (USA), ITAM University, Mexico and University of Akron (USA). In continuation of a tradition that has been established, a number of XIME students attend classes at partner institutions abroad.

International Summer Placement

This year six students from XIME did their summer internships at University of Redlands, USA. They worked in the GIS department, School of Education and School of Business Department. Keeping in view the mission of giving its students international exposure, XIME regularly sends its students abroad for international summer placements. University of Redlands, California hosted students from XIME for summer projects when XIME students worked on different projects for the University. In Germany, they had internships at organizations such as Hypovereinz Bank, Permatech, Nobiscum and Sparkasse Bank. The Wuerzburg Schweinfurt University of Applied Sciences, Germany played host to these students. Negocia/Advancia B-Schools had also arranged summer projects for our students.
