I. PURPOSE

This guideline provides standards for the conduct of dissertation, thesis and research practicum courses, both for undergraduate and graduate programs

II. SCOPE

This is applicable to all faculty members and students of Mapua Institute of Technology

III. GUIDELINES

A. General Provisions

A.1 Dissertation, Thesis, Research Practicum Topic

1. All students enrolled in dissertation, thesis and research practicum courses must join a research group and choose an advisor/s.

2. The advisor will confer with the student and decide his dissertation, thesis, or research practicum topic.

3. When the research proposal has been drafted, the advisor and the student will choose their panel members.

4. The student will submit the form for advisors and panel memebers to the course coordinator or Dean. This form officially reports to the department/school the student’s thesis topic, and the names of the advisors and panel members.

A.2. Oral presentation of Dissertation, Thesis and Research Practicum Proposal

5. On a specified date arranged by the student, in coordination with the dissertation, thesis or research practicum coordinator, advisor and panel memebers, the dissertation, thesis or research practicum proposal will be scheduled for oral presentation. In case of doctoral dissertation, the proposal presentation will be scheduled only after the student has completed 50% of the research work.

7. The student must submit form for proposal oral examination to the course coordinator and Dean attesting the approval of the advisor to the oral presentation of the proposal.

8. The student must also pay the following proposal examination fees:

The proposal oral examination fee will be subdivided for group of undergraduate students doing a common research practicum or thesis. The proposal oral examination fee will be used to pay the honoraria of advisers and panel members. 9. Upon submission of the form and the recipt of the oral examination fee to the

course coordinator, the course coordinator will schedule the date of the oral presentation of the proposal, in coordination with the advisor and panel memnbers. Based on this submittal, the department or school, through the course coordinator, will elect the chairman of the committee from the panel memebers.

10. All students who are going to do the proposal, oral presentation must be enrolled.In case the student is not enrolled in any course, he must enroll prioir to the proposal oral examination by paying the residency fee.

11. One week prior to the oral presentation, the student should give a copy of the draft proposal to the coordinator, advisor, and the panel members.

12. During the proposal oral presentation, the course coordinator will act as representative of the department or school. The coordinator must ensure that all procedures are followed in the conduct of the proposal oral presentation.

13. Advisors and panel members will use the form RS-08-14 to RS-0817 to grade the dissertation, thesis or research practicum proposal work. The coordinator will not grade the proposal oral presentation.

14. Not later than three days after the proposal oral presentation, the coordinator will submit to DRIVE the result.

15. At the end of the quarter, the coordinator shall encode the corresponding grade of the student/s.

A.3.Final Oral Presentaion of Dissertation, Thesis or Research Practicum Work

16. When the student has completed the dissertation, thesis or practicum research work, the advisor can recommend the work for final oral presentation.

17. The student must submit the form to the coordinator attesting the approval of the advisor for the final oral presentation.

18. The student must also pay the following oral examination fees:

The final oral examination fee will be subdivided for group of undergraduate students doing a common research practicum or thesis. The final oral examination fee will be used to pay the honoraria of advisers and panel members.

19. Upon submission of the form, the receipt of final oral examination fee to the coordinator, the coordinator will schedule the date of the final oral presentation of the dissertation, thesis or research practicum, in coordination with the advisor and the panel members. The chair of the proposal examination committee should also be the chair of the final oral examination committee. The panel members during final oral presentation should also be the panel members during the final oral presentation. In case a panel member is no longer available, the coordinator, in consultation with the Dean will appoint another panel member.

20. One week prior to the final oral presentation, the student must:

a. give a copy of the research work to the coordinator, the advisor and all the panel members

b. submit a poster of the work to the course coordinator for posting

21. Advisors and panel members will use form RS-08-15 to grade the final dissertation, thesis or research practicum work. The course coordinator will not grade the final oral presentation.

22. The schedule of the final oral presentation of dissertation, thesis or research practicum work will be made public.

23. All students who are going to take the final oral presentation must be enrolled. In case the student is not enrolled in any course, he must enroll prior to the final oral presentation by paying the residency fee.

24. During the final oral presentation, the coordinator will act as the representative of the department or school. The coordinator must ensure that all procedures are followed in the conduct of the final oral presentation.

25. Not later than three days after the final oral presentation, the coordinator will submit to the Dean for approval the result by accomplishing form RS-08-18

26. At the end of the quarter, the course coordinator shall encode the corresponding grades of the students.

A.4. Final Submission of Dissertaion, Thesis or Practicum Research Work

27. When the dissertation, thesis or research work has been revised, based on the recommendations of the committee, the student must seek final approval of all the members of his examination committee using form RS-08-18.

28. Prioir to binding, the student must submit his work to the School of Languages, Humanities and Social Sciences (SLHS) for final editing.

29. After it has been edited, the student will submit one hard copy of the final form to the purchasing department for binding. One hard copy and one CD copy of the work will be given to the Lirary, another softcopy will be given to DRIVE.

30. When the hardcopy of the final form has been submitted to the purchasing department, form RS-08-18 and copies of the official receipts for binding must be submitted to the course adviser. It is only at this point that the course adviser can give the final grade to the student.

31. In case the SLHS cannot release the final edited version of the work on the deadline of the completion of requirements for graduation, the student can request that his final grade for dissertation/thesis/research practicum work be submitted to the coordinator and his name will be include in the roster of graduates after signing a waiver form. By signing the waiver form, the student agrees that until he cannot show proof of

completion from DRIVE, the Office of the Registrar will defer the release of his Diploma or Transcript of Records.

B. Assignment of Dissertation , Thesis and Research Practicum Coordinators

1. All dissertation, thesis and research practicum courses will be assigned to faculty members who have considerable research experience.

2. The faculty members assigned on these courses will act as the dissertation, thesis or research practicum coordinators.

3. As dissertation, thesis or research practicum coordinators, they are tasked to:

a. guide the students regarding the school policies and requiremnts in conducting dissertation, thesis or research practicum work

b. help the students in joining research groups c. help the students in choosing research advisor/s d. monitor the progress of the students

e. arrange logistics for the oral presentation of the dissertation, thesis or research practicum proposal or final oral examination of the dissertation, thesis or

f. collate the scores given by the panel members and advisor/s and submit the grade the students

4. The assigned dissertation, thesis or research practicum coordinator will be compensated from the course load assignment.

5. The coordinator cannot be the dissertation, thesis or research practicum advisor nor sit as one of the panel members of his student.

C. Dissertation, Thesis and Research practicum Advisorship

1. Dissertation, thesis and research practicum advisor/s shall be chosen by the student from the roster of full time and part time faculty members of the Mapua Institute of Technology. The choice must be based primarily on the faculty member’s research specialization and availability.

2. The highest educational attainment of all advisors must be at least equal to the degree to be awarded to the student.

3. Honoraria for dissertation, thesis, and research practicum advisors will be given after the successful oral presentation of the proposal and after the student’s submission of the final hard bound copy of the dissertation, thesis or research practicum work. 4. The honoraria will be given to each advisor:

5. In case the faculty member would like to credit the advisorship work as performance rating, he will no longer get the corresponding honorarium. In such case, certificates will only be issued after the student’s submission of the final hard bound copy.

6. Administrators and non- teaching employees of Mapua who do advisorship work shall also be given the corresponding honorarium.

7. At the end of the quarter, DRIVE will request the honoraria of the advisors using form RS-08-19. It must be specified on the form wheter the faculty member will credit the advisorship work towards his performance evaluation. The Faculty Performance Board will use this form as official supporting document for crediting advisorship work.

D. Panel Members

1. Dissertation, thesis and research practicum panel memebrs shall be chosen by the student from the roster of full time and part time faculty members of Mapua Institute of Technology. The choice must be based primarily on the faculty member’s research specialization and availability.

2. The following minimum number of panel members must be chosen:

Doctoral 2 internal + 2 external

3. External panel members can also be chosen in undergraduate and master’s programs.

4. The highest educational attainment of the panel members must be at least equal to the degree to be awarded to the student. Exception from this policy can only be applied toresearch practicum projects. In such case, approval must be sought from the

coordinator.

5. Honoraria for dissertation, thesis and practicum panel members will be given after the successful oral presentation of the proposal and aftyer the student’s submission of the final hard bound copy of the dissertation, thesis and research practicum.

6. The following honoraria will be given for each panel member:

E. System of Grading

1. For programs with two or more dissertation, thesis or research practicum courses, the grade in the oral presentation of the proposal will be the basis for the grade for the first course in the series.

2. The final oral examination and the final version of the dissertation, thesis or research practicum work will be the bases for the grade in the second course in the series.

3. Dissertation, thesis or research practicum courses will be graded as Pass (P)/ Fail (F).

4. In the event that the dissertation,thesis or research practicum course is not finished on the term it is enrolled, a grade of Continuing (C) will be given. Similar to a grade of 7.00, the of “C” will be replaced by the final grade (P or F) once the course is

completed. The procedure followed for completion of grades will also be followed for this situation.

5. While the grade of “C” is not yet completed, the dissertation, thesis or research practicum course will always appear in the student’s list of courses enrolled every quarter. While the student does not need to pay the tuition for this course in this particular situation, the dissertation, thesis or research practicum course units will be considered in the computation of total units enrolled by the student for that particular quarter.

6. The grade of “C” will appear in the official records of the student every quarter until it is completed and given a final grade of “P” or “F”.

7. The grade of “C” must be completed into a grade of “P” within one year for undergraduate and master’s programs and three years for doctoral programs. After such period, the student must re-enroll the course.

8. Grades of “P” and “C” will not be included in the computation of grade point average (GPA). However, a grade of “F” will be included in the computation of the GPA and will have a corresponding equivalent of 5.00.

F. Residency

If the only course left for the completion of the program is either dissertation, thesis or research practicum, the student must pay residency fee every quarter until he

completes the pending course. This requirement can only be waived if the student officially files for a leave of absence (LOA). The amount of residency fee to be paid id equal to the prevailing registration fee. The fee covers use of all the libraries of the institute.

G. Multiple Degrees

1. If the student is completeing morethan one undergraduate degree that requires thesis or research practicum projects, he can satisfy the requiremnets by submitting one

acceptable thesis or research practicum project. However, if one program requires a thesis and another one requires a practicum research project, the requirements can only be satisfied by the submission of an acceptable undergraduate thesis.

2. For BS-MS students, the undergraduate thesis or undergraduate research practicum project requirement will only be satisfied by the submission of an acceptable Master’s Thesis.

H. Change of Advisor and Panel Members

In the event that a student may need to change adviser or panel members, a student can request and justify the change of advisor by submitting the change of advisor form to the Dean. The Dean may act on the request himself or may constitute as a committee as the case may require.

I. Change of Dissertaion, thesis or practicum research topic

1. If the dissertation , thesis or practicum topic is changed after the successful oral presentation of the initial proposed topis, the student must seek prior consent from the coordinator and Dean/Subject chair using the form forchange of topic.

2. If the topic is musch different from the previously approved topic, the Dean/Subject Chair must ask the student to re-defend the proposal for the new topic.
