Configuration options for the OpenScape Extensions for Lotus Notes.
You can perform/change the settings for OpenScape Extensions for Lotus Notes in configuration dialogs.
NOTICE: If invoking the configuration pages merely displays the Network tab, the OpenScape server could not be connected yet.
In this case, try to connect the OpenScape server by specifying the user data, the network address and the port of the OpenScape server.
The following tabs are available for configuring the OpenScape Extensions for Lotus Notes:
• Network
Use this dialog to perform the settings for the user access and the connection to the OpenScape server.
• Audio / Video conference
Use this dialog to perform the settings for voice and video conferences.
• Web Conference
Use this dialog to perform the settings for web conferences.
• Presence Status
Use this dialog to perform the settings for copying the conference appoint-ments in order to control the presence status.
• User Interface
Use this dialog to define if the default configuration data should be used to create the conference or if you want to set the configuration data for each conference separately.
You reach the configuration dialogs in IBM Lotus Notes via the calendar dialog menu bar. In there, click on the Configuration button to open the configuration dialogs.
NOTICE: You can also configure configuration dialogs in the dialog of an opened calendar entry. To do this, click on Presence Status on the menu bar of the opened calendar entry and select Configuration from the menu that opens then.
Click the OK button to save the settings in the configuration dialogs and to close the settings dialog.
Click the Cancel button to discard your settings. The OpenScape Configuration settings dialog is closed.
NOTICE: Configuration modifications require a IBM Lotus Notes restart to take effect.

8.4.1 Configuring the Network
The configuration settings for connecting the OpenScape server.
In the Network dialog, you can modify the initial setting data for your user access and the connection to the OpenScape server or enter this data if you have not performed this settings in the Initial Configuration dialog yet.
You reach the configuration dialogs in IBM Lotus Notes via the calendar dialog menu bar. In there, click on the Configuration button to open the configuration dialogs.
NOTICE: You can also configure configuration dialogs in the dialog of an opened calendar entry. To do this, click on Presence Status on the menu bar of the opened calendar entry and select Configuration from the menu that opens then.
If required, switch to the Network tab in the configuration dialog.
NOTICE: If you do not know the Logon or connection data, please contact your system administrator.
8.4.1.1 How to Configure Access via your OpenScape User Account

Step by Step
1) Start the IBM Lotus Notes client under the user account for which this component has been installed.
2) Open the configuration dialog for the OpenScape Extensions for Lotus Notes.
You reach the configuration dialogs in IBM Lotus Notes via the calendar dialog menu bar. In there, click on the Configuration button to open the configuration dialogs.
The configuration dialog is displayed for editing.
3) In the OpenScape Server - Network access section, enter the following logon data for logging on with your OpenScape user account:
a) OpenScape User ID
Specify here your OpenScape user ID in the format <user ID@domain>. b) OpenScape Password
Enter here the OpenScape password you use for logging on to the OpenScape server.
c) Single sign on
This option is not set for default access.
4) In the OpenScape Server - Network Configuration section specify the data required for connecting your workstation to the application computer:

a) OpenScape Server - Host address
Depending on the OpenScape scenario, enter here the complete network address (FQDN) of the application computer. In doing so please heed the following computer assignment:
Integrated Deployment: FQDN of the application computer Small Deployment: FQDN of the application computer Large Deployment: FQDN of the front-end computer Very Large Deployment: FQDN of the front-end computer b) OpenScape Server - Port
Enter here the network port via which the communication to the appli-cation computer is configured.
Configuring access via your OpenScape user account is now complete.
NOTICE: If the OpenScape environment cannot be connected by specifying the user data, the network address and the port, the OpenScape Extensions for Lotus Notes cannot be fully
configured. When invoking the configuration dialog merely the Network tab is displayed for connecting the OpenScape environment.
You can now configure your conferences by configuring calendar entries in IBM Lotus Notes.
8.4.1.2 How to Configure Access via Single Sign-On
Configuration for accessing the OpenScape environment via Single Sign-On (SSO).
Prerequisites
• Single Sign-On must be active in your OpenScape environment.
If you are already logged in at your workstation, Single Sign-On (SSO) logs you on to the OpenScape environment automatically.
How to configure access via Single Sign-On after the installation or to change the existing configuration:
Step by Step
1) Start the IBM Lotus Notes client under the user account for which this component has been installed.
2) Open the configuration dialog for the OpenScape Extensions for Lotus Notes.

3) Select in the OpenScape Server - Network access section the Single sign on feature for logging on to the OpenScape environment via Single Sign-On.
The input lines for User ID and Password are blocked and displayed shaded gray.
4) In the OpenScape Server - Network Configuration section specify the data required for connecting your workstation to the application computer:
a) OpenScape Server - Host address
Enter here the fully qualified network address (FQDN) of the application computer.
b) OpenScape Server - Port
Enter here the network port via which the communication to the appli-cation computer is configured.
Configuring access via Single Sign-On is now complete.

8.4.2 Audio / Video Conference Configuration
Configuration of the audio / video conference default settings.
In the Audio /Video Conference dialog you can perform default settings for your audio conferences and schedule a video conference.
You reach the configuration dialogs in IBM Lotus Notes via the calendar dialog menu bar. In there, click on the Configuration button to open the configuration dialogs.
NOTICE: You can also configure configuration dialogs in the dialog of an opened calendar entry. To do this, click on Presence Status on the menu bar of the opened calendar entry and select Configuration from the menu that opens then.
If required, switch to the Audio / Video conference tab in the configuration dialog.
The Audio conference section provides the following configuration options:
• Record name
If you select this option, each conference participant is requested to specify his/her name before joining the conference. Only after recording their name, they can join the conference.
• Moderated conference
Use this option to determine whether to configure moderated or open confer-ences as default.

• Call direction
Select the corresponding option to determine whether the conference partic-ipants are called by the system or have to dial into the conference by themselves .
– If you have configured that the conference participants will be called by the system, the conference will start automatically when the start time is reached. Then, all conference participants are called by the system. At the same time, the web conference, if configured, will also start.
NOTICE: The web conference start must be confirmed by the moderator or the conference creator.
– If you have configured that the conference participants need to dial into the conference by themselves, the conference is started when the first conference participant has dialed in via the bridge number and the conference PIN. As long as this conference participant is the only one, he/
she hears music-on-hold. When the next conference participant joins the conference, the conference will be opened.
NOTICE: After you have dialed in or received the conference call, the system prompts you to join the conference. Click on to join the conference or on to reject taking part in the conference.
In the Video conference section, you can activate the checkbox Add video conference to configure the audio conference so that your conferences are always prepared for a video conference.
8.4.3 Configuring Web Conferences

You can default set your web conferences in the Web Conference dialog.

If required, switch to the Web conference tab in the configuration dialog.
The top section under Web conference provider access data shows the properties of the web conference connections used. Additional tabs indicate that several web conference providers are available. Each tab represents one web conference provider.
In the bottom section under Web conference default settings you can use the Add web conference option to determine that a web conference is automatically created with each conference you configure. The Preferred web conference provider combo box serves for selecting the desired web conference provider if several are available.
8.4.4 Presence Configuration
Configuring the presence synchronization.
Use the Presence dialog to perform the settings that update your presence state on the OpenScape server.
NOTICE: Modifications to the settings on this tab do not become effective until you restart the client IBM Lotus Notes.

The Presence configuration section provides the following configuration options:
• Use presence synchronization
When you select this option, the OpenScape presence status is automatically synchronized with your calendar data and your presence setting from the IBM Lotus Notes client. In your IBM Lotus Notes client, you can choose between the following presence settings:
– Free
Select this presence status if the presence status shall be set to Present during an appointment or meeting.
– Busy
Select this presence status if the presence status shall be set to Busy during an appointment or meeting.

– Out of office
Select this presence status if the presence status shall be set to Out of office during an appointment or meeting.
You reach the presence settings by pushing the Presence Status button, which you find in the New Calendar Entry dialog. Select the Presence status menu option to determine the presence settings for an appointment or meeting in the then opened menu.
The presence status synchronization triggers the following operational behavior:
– Independently of the presence status set before, your presence status changes automatically to the "In Meeting" status when an appointment begins. This setting will be kept for the duration of the appointment or meeting.
– At the end of the appointment or the meeting, the status "In Meeting" will change back to the status set before.
– If a user changes his/her status during an appointment or a meeting, e. g.
by using another client application, the status is not synchronized. This presence status set manually will then apply to this user and be displayed.
• Update time in seconds
Click in the input line to change the default time (60 seconds). Enter a new value for the synchronization time. Useful values are 60 (1 minute), 600 (10 minutes), 900 (15 minutes) or 1800 (30 minutes) to achieve an ideal synchronization depending on the concentration of appointments.
8.4.5 Configuring the User Interface

Use the User interface dialog to perform the settings for the conference user interface.
You reach the configuration dialogs in IBM Lotus Notes via the calendar dialog menu bar. In there, click on the Configuration button to open the configuration dialogs.
NOTICE: You can also configure configuration dialogs in the dialog of an opened calendar entry. To do this, click on Presence Status on the menu bar of the opened calendar entry and select Configuration from the menu that opens then.

If required, switch to the User Interface tab in the configuration dialog.
The Conference user interface section provides the following operating options:
• Use default conferencing options
Select this option to skip the settings dialog which is normally opened for the individual configuration of your conferences when you push the Add OpenScape conference button. That means that all conferences to be created are configured with the default settings that you defined before on the configuration pages.
NOTICE: You cannot change the configuration settings of an added conference retrospectively.
The Invitation text section provides the following configuration option:
• Language
In the Language combo box, select the language in which the invitation text will be sent to the conference participants via the meeting request. From the available languages, select the one you need as default setting for your conference invitations. By default, the invitation text first uses the language in which your IBM Lotus Notes client has been installed.
