Define Control Parameters for Completion Confirmations

This configuration step primarily sets defaults that will appear on the completion confirmation screen for the user. Control parameters can be defined for each plant/order type combina-tion and can be the same or different from each other, as required. The magnifying glass icon leads to detailed configura-tion for each plant/order type combinaconfigura-tion. The screen areas of the detail screen are described below.

Default Values:

 Final Confirmation—When this checkbox is checked, the Final Confirmation checkbox on the completion confirmation screen will default to being checked.

Unless the user removes the check mark, the first com-pletion confirmation will also serve as the last comple-tion confirmacomple-tion for that operacomple-tion. If this checkbox is not checked, the Final Confirmation checkbox on the completion confirmation screen will not be checked

and the user should check it during the last confirma-tion for that operaconfirma-tion.

 Post open reservs.—This checkbox does not cause materi-als to be issued (goods issued) to a work order. It causes the Final Issue checkbox to be checked for the appropriate materials on a work order indicating that no further goods issues are expected for each material associated with this operation on the work order. The Backflushing checkbox for the material, however, will cause goods issues for outstanding reservations to a work order.

 Propose dates—When checked, allows the system to pro-vide a date default on the Completion Confirmation screen.

 Propose activities—This checkbox, when checked, allows the system to provide a default for the “Actual Work” field on the completion confirmation screen.

The default used will be the remaining planned time for that operation. The default can be overridden by the user. Regardless of whether this checkbox is checked, the system can calculate the “Remaining Work” field value by subtracting the actual time entered from the remaining planned time.

 Milestone automatic.—This checkbox, when checked, will enable the system to automatically transfer a per-centage complete for an operation for project manage-ment purposes. If it is not important to track operations to the level of percentage complete, it is not necessary to check this checkbox. This functionality is only relevant for work order operations related to proj-ects in the SAP PS (Project Systems) module.

Checks:

 Date in future—When this checkbox is checked, the system will allow a completion confirmation to be entered for a future date. If a confirmation is attempted to be entered for a future date, an error message will be

presented. If the box is not checked, confirmations for future dates may not be entered.

 WrkDev. active—This checkbox allows the system to validate the actual time entered against the actual time expected. The next field, “Work deviation, ” controls the percentage within which a deviation is acceptable.

If the “Work deviation” field is blank (the same as zero), then no deviation should be acceptable. That is, the actual time entered must be the same as the planned time. However, setting a zero deviation appears to be a problem on at least some systems, so it may be benefi-cial that it is rarely, if ever, required.

When the “WrkDev. active” checkbox is checked and a percentage value is entered in the “Work deviation” field, a warning message stating that the actual work plus the remaining work deviates by more than the percentage from the planned work. The message will appear if the user attempts to enter a final confirmation outside the deviation percentage, or any confirmation greater than the planned time plus the acceptable deviation.

A final note: Setting the deviation to zero would effec-tively eliminate the possibility of planned vs. actual analysis.

 Work deviation—This field operates in conjunction with the previous field. See the previous field,

“WrkDev. active, ” for a description of this field.

 DurtnDev.active—This checkbox operates in much the same way as the “WrkDev. active” checkbox, except it pertains to duration instead of work time. If this check-box is checked, the system issues a warning during completion confirmation if the duration of an opera-tion will exceed the planned duraopera-tion by more than a specified deviation. The deviation is specified in the fol-lowing field, “Duration deviation.”

 Duration deviation—This field works in conjunction with the previous checkbox, “DurtnDev.active, ” and

provides an acceptable deviation between the actual duration (elapsed time, not work time) and the planned duration of an operation.

Logs/Error handling:

 Actual costs—When this checkbox is checked, the sys-tem can generate a log of actual costs during every confirmation.

 Termination for Incorrect Act.Costs—This checkbox, which is only active if the previous checkbox is checked, allows the system to stop (terminate) the confirmation if actual costs are presumed to be incorrect. This is based on certain conditions, which can be found in the SAP help for this checkbox.

 Goods movement—When this checkbox is checked, the system can generate a log of goods movements during every confirmation.

 Termination for Incorrect Goods Movt—This checkbox, which is only active if the previous checkbox is checked, allows the system to stop (terminate) the confirmation if goods movements are presumed to be incorrect. This is based on certain conditions, which can be found in the SAP help for this checkbox.

Mass Confirmation:

 Rough Reversal—When this checkbox is checked, the system can perform a reversal for many operations with as little impact on system performance as possible. The trade-off is that information specific to individual oper-ations may no longer be accurate. This type of reversal should only be performed when performance is more critical than the detailed information at the operation level.

 Simplified Forecast Work Canceltn—This checkbox is only required when cancellations of confirmations cause problems with the “Forecasted Work” field on the com-pletion confirmation screen. Checking this checkbox

causes the “Forecasted Work” value to equal the planned work value. See the SAP help for this checkbox for fur-ther information.

 Execute Milestone Functions—This checkbox is only rele-vant for PS (Project Systems) module-related work order operations. For confirmations performed in the back-ground (batch), the system will only permit milestone-related functionality if this checkbox is checked. If this plant/order type combination is not relative to the PS module or if milestone activity is not required during the confirmation, then this box should not be checked.

Material Movements:

 All components—This checkbox applies to individual time confirmation, not to overall time confirmation. When this checkbox is checked, the system is permitted to dis-play all of the materials relevant to the operation, not only those materials for which the backflush indicator is set.

Selection:

When performing completion confirmations in the Plant Maintenance module, it is possible to obtain a list of operations to be confirmed for a specific work order. The following check-boxes control the defaults as to whether confirmable operations appear in the list and/or whether operations that have already been confirmed appear in the list.

 Confirmed ops—Operations that have already been con-firmed will also appear in the list of operations.

 Confirmable—Confirmable operations will also appear in the list of operations. This option is more useful for other modules that use the confirmation process. Plant Maintenance operations that have not yet been con-firmed will normally appear in the confirmation list regardless of the setting of this checkbox.

HR update:

 No HR update—This checkbox controls whether con-firmation data is transferred from the PM (Plant

Maintenance) module to the HR (Human Resources) module. The checkbox should only be unchecked if both the PM and HR modules are in use and the HR module depends on the PM module for time data. If CATS (Cross Application Time Sheet) functionality is being used in conjunction with the HR module, it is likely that the process is reversed and the PM module will inherit time confirmations from the HR module, in which case this checkbox can be checked. Regardless of whether this checkbox is checked, additional func-tions must be performed to actually transfer data from the PM module to the HR module. See the SAP help on this checkbox for additional information.

In short, the “No HR update” checkbox should be checked unless confirmations entered in the PM module should be transferred to the HR module. If confirmations will not be transferred to the HR module, leaving this checkbox unchecked may cause an “Unprocessed future change recs” error message when attempting to close a work order, usually a work order with confirmations asso-ciated with an employee number.

 No date update—Unless the previous box is unchecked, this checkbox has no effect. If HR updating from the PM module is performed, this checkbox prevents actual dates from being updated in the HR module.

Control Data:

 Process control—There is no need to enter any value in this field unless there is a need to affect automatic goods receipt, backflushing, and posting of actual costs in the background. A process control key must have been defined in order for one to be entered here. See the item “Define Execution Time for Confirmation Processes, ” below. If no control key is entered, the aforementioned items are performed in “real time.” See the SAP help for this field for more information regard-ing the definition and use of the process control keys.
