4.1. REPLACEMENT OF LOST/DAMAGED DOCUMENTS (OVER THE COUNTER)
Duplicate original of the Commercial license, Certificate of Incorporate/Registration, Certificate of Continuation and Certificate of Name Change can be obtained from the Registrar of Companies (ROC) office, in the event of lost/damaged original document.
Requirements:
Formal letter addressed to Registrar of Companies (ROC) Process:
Send a formal letter addressed to Registrar of Companies (ROC) stating reason why the company requires a duplicate original of the document.
Indicate in the letter how many duplicate original/s the company requires.
The ROC Officer will acknowledge the request and will send a confirmation once the duplicate Commercial License is ready for collection
Conditions:
The document will be issued in original with the watermark of ‘DUPLICATE ORIGINAL’
Payment should be made upon collection of the document
All signatures on any supportive documents must be signed by the authorized personnel recognized by ROC in the company.
Fees: The fee structure depends on type of legal entities – please refer to Table of fees in Appendix 3.
Application time:
Over the Counter: upon receiving all documents and fees.

Indicate in the email how many certified true copies you require (applicable when extracting information from the ROC records ex. Certification of commercial license, certificate of incorporation/registration…etc)
The person to be signing documents like: resolution, official letters, Power of Attorney, should appear before ROC Officer. Alternatively when applicable, the company secretary is authorized to sign instead.
Conditions:
True copy of the Article of Association can be requested only by the Director, Company Secretary and the Shareholders of the company.

• Passport copy of the person who will facilitate the opening of the branch (applicable for NOC to open a branch / subsidiary of DIFC entity in outside DIFC jurisdiction)

• Valid commercial license for the company (applicable when requesting for Letter of good standing & Certificate of Incumbency)

ORMThis form is required for the DIFC to issue an NOC letter addressed to EMPOST permitting your company to register a PO Box in the DIFC jurisdiction; depending on availability of mail boxes. Clients located in the Gate Building and Precinct Buildings will be allocated a PO Box in the Gate Building Marble Walk Level B1.
Clients based in the Gate Village, Currency Towers, Liberty House, Index Towers, Emirates Financial Towers, will be allocated a PO Box in the Gate Village Building 8.
• Ensure that all field are completed and details are typed in, as handwritten forms are not accepted
• Print both pages, sign and insert Company Stamp on each page
• Payment of AED300 in cash, cheque made payable to DIFC Investments or credit card is required for new PO Box applications or annual renewals
• Payment to be made at the Registry Services, The Gate Building, Level B1 Marble Walk (opposite Fedex)
• NOC Letter will be issued within one working day
• This is a yearly NOC Letter which will have a validity until 31 December of the issuing year
