Import Viewer field descriptions

Field Description
HR Import Name This is a unique name for the specific HR Import definition.
Originally entered on the Definition page, this field is read only on the Import Viewer.
Template Name There are five available templates: Appointment, Employee, Earnings and Deductions, Labour Allocations and Rates.
Originally selected on the Definition page, this field is read only on the Import Viewer.
Row No. The row number for the shows in this column. If, for example, 100 rows were imported and 10 of those rows contained errors, they would appear in the Import Viewer with rows numbering 1 to 10.
Status The status of the import row is indicated by a symbol in this column.

Import validation is a two stage process. In the first step, the template is checked to confirm that the minimum requirements for that template are met, for example the inclusion of all required fields, so that the validation process can proceed to the second stage.
If the validation process determines that these minimum requirements are not met, validation ceases and the import row status becomes Ignored by Import. Rows that have been ignored by import appear in the Rejected field count on the page.
The second stage of validation confirms that each field of the data meets the database rules that apply to that field. For example, if a 15 character NI number was imported it would fail validation at this stage and the import status would be Processed but Failed. Rows that have been processed but failed appear in the Uncommitted field count on the Import Viewer page.
View Cell Changes When a cell is selected from a row appearing on the Import Viewer and the View Cell Changes button is selected, the Audit trail of cell changes window will open. All changes that have been made to that cell appear in the window. The user can select from any of the available options and select the Change To button to change the value that will appear in the row for that cell.

For example, in the Figure 3 - 12 – Audit trail of cell changes illustration above, to use the original value of BB987766D, the user would need to select that value and click on the Change To button.
Load Selection of the Load button will load the source data overwriting any cell values changed since the last load.
Save Clicking on this button will save any changes made to the import data using the using Import Viewer.
Close When this button is selected, a message will appear to confirm whether any unsaved changes are to be saved and the will close.
Re-Submitting the Edited Data
The Re-Submit buttons on the Review Results page are used to re-submit the uploaded data after it has been edited using the Import Viewer. Two slightly different Re-submit buttons are provided:
• Re-Submit – this button appears if you submitted the import as an update run.
• Re-Submit/Re-Submit Test Import – this button appears if you submitted the import as a Test Import.
Re-Submit
When you click this button, the edited import data is submitted for import update processing.
The import data will contain the uncommitted data from the previous run. This data will be processed on a row by row basis. A row is validated and if it is correct, is used to update ADP freedom. The processing will stop if an error is found in a data row.

Re-Submit/Re-Submit Test Import
When you click this button, you are asked whether you wish to re-submit the edited import data as a test import again (i.e. for re-validation only) or for import update processing (e.g. if you are confident you have resolved the errors fully).
The following dialog appears:

To submit the import data for update, click Submit. The data will be processed on a row by row basis, as described above.
To submit the import data for a test import only, click Test. For a test import run, the data will only be validated.
In both cases the import job is submitted for processing as a batch job, as before.

Once the process is complete you can use the Review Results page to view the latest results.

Exporting the Committed Data to a File
The Export Committed Data to File button on the Review Results page can be used to output the details of the ADP freedom updates that have been made by the import process to a CSV file. This will include any data changes you made using the Edit Data option in the Review Results page.
Each update that has been made by the import process is included on a separate row in the output file.
