Use the Rules window to create the rules that determine how indexed documents automatically update the status of financial aid tracking requirements in the RRRAREQ table. For example, you can create a rule that allows an indexed savings statement to automatically update Banner to indicate that the document is “received.” These rules can also result in new requirements.

Note

The tracking requirement active indicator and the fund code active indicator in Banner Financial Aid determine whether a tracking

requirement can be set up for Banner requirements linking on ERALINK.

Rules defined on this window are used if you choose RULES-BASED as the tracking status when a document is indexed.

The Rules window contains the following fields:

Fields Descriptions

Document Type Document type associated with the linking rule. An indexed document with this document type, tracking requirement, fund code (optional), and SBGI code (optional) can create or update appropriate Banner data.

Choices come from the BDMS Document Type Validation (ETVDTYP) list of values.

Tracking Requirement

Tracking requirement associated with the linking rule. An indexed document with this tracking requirement, document type, fund code (optional), and SBGI code (optional) can create or update appropriate Banner data.

Choices come from the Tracking Requirement Code Validation (RTVTREQ) list of values.

For a tracking requirement to be defined on ERALINK, the tracking requirement must be flagged as “active” on the Requirements Tracking Validation Form (RTVTREQ). Active tracking requirements show a Y in the Active Indicator column in the list of values on ERALINK.

Note: If a tracking requirement currently exists in the ERBLINK table (as shown on ERALINK) and the active indicator is changed to N on RTVTREQ, then the tracking requirement does not display on ERALINK even though the record still exists in the ERBLINK table.

Fund Fund code optionally associated with the linking rule. An indexed document with this fund code, document type, tracking requirement, and SBGI code (optional) can create or update appropriate Banner data.

Choices come from the Fund Code Validation (RFRBASE) list of values.

For a fund code to be associated with a tracking requirement on ERALINK, the fund code must be flagged as “active” on the Fund Base Data Form (RFRBASE). Active fund codes show a Y in the Active Indicator column in the list of values on ERALINK.

Note: If a tracking requirement currently exists in the ERBLINK table (as shown on ERALINK) and the active indicator for the fund code is changed to N on RFRBASE, then the tracking requirement does not display on ERALINK even though the record still exists in the ERBLINK table.

SBGI Source/background (SBGI) code optionally associated with the linking rule. An indexed document with this SBGI code, document type, tracking requirement, and fund code (optional) can create or update appropriate Banner data.

Choices come from the Source/Background Institution Code Validation Form (STVSBGI).

Effective Aid Year From

Aid year when the linking rule takes effect. This field and the Effective Aid Year To field together define the range of aid years when the rule is valid. The absence of a value indicates all aid years are included. An indexed document can update Banner data only if the aid year associated with the document falls within this range.

Choices come from the Aid Year Validation (ROBINST) list of values.

Effective Aid Year To

Aid year beyond which the linking rule is no longer in effect.

This field and the Effective Aid Year From field together define the range of aid years when the rule is valid. The absence of a value indicates all aid years are included. An indexed document can update Banner data only if the aid year associated with the document falls within this range.

Choices come from the Aid Year Validation (ROBINST) list of values.

Tracking Status Index

Tracking status code assigned to the financial aid tracking requirement in Banner when BDMS indexes the document.

Choices come from the Tracking Req Status Validation (RTVTRST) list of values.

Tracking Status Unindex

Tracking status code assigned to the financial aid tracking requirement in Banner when the document is removed from BDMS storage, or modified to no longer fulfill the requirement.

Choices come from the Tracking Req Status Validation (RTVTRST) list of values.

Period Period optionally associated with the linking rule. An indexed document with this period, document type, tracking

requirement, fund code (optional), and SGBI code (optional) can create or update appropriate Banner data.

Choices come from the Period (ROBPRDS) list of values.

For a period to be associated with a tracking requirement on ERALINK, the tracking requirement must be flagged as “period eligible” on the Requirements Tracking Validation Form (RTVTREQ).

Permit Requirement Insert

Check box that indicates whether an indexed document can create a new tracking requirement in Banner if the requirement does not currently exist for an ID.

Permit Requirement Update

Check box that indicates whether an indexed document can update the status of the tracking requirement in Banner if the requirement already has a status.

Permit Feedback Insert

Check box that indicates whether a message is displayed in BDMS when an indexed document inserts a new tracking requirement into Banner. This message notifies the user that Banner data was inserted.

Permit Feedback Update

Check box that indicates whether a message is displayed in BDMS when an indexed document updates the status of a tracking requirement in Banner. This message notifies the user that Banner data was updated.

User ID User who created or last updated the linking rule.

Activity Date Date when the linking rule was created or last updated.
