Periodical -- To ensure that the personal files are made up to date at the prescribed intervals and are maintained in a complete and full form as possible, the Heads of Departments should open an annual periodical prescribing a report from the reporting officers to reach them before 15th February to the effect that the personal files of the officers under their control have been bought upto-date. The periodical should be in the form indicated below. So for as the Departments of Secretariat are concerned, the periodical should be maintained by respective O.P. section of the Department.

Time-Limit for preservation of personal file – Personal files of all the Government servants including non-gazetted Government servants should be retained for one year from the date of their retirement, resignation, removal or dismissal from service

The personal files of all deceased Government servants including non-gazetted Government Servants should be retained for one year form the date of their death.

Heads of Departments and offices should however, preserve such records for longer periods, if this is necessary. The personal files of all-India Service Officer are now treated as permanent records. This procedure will continue.

Certificate for resume of carrier of a Retired Government servant – Any retired Government servant who wants to have a resume of his carrier or a certificate regarding his overall performance may, within a period of one year from the date of retirement, apply to the Head of Department concerned or if, he himself the Head of Department to the Secretary to Government concerned for the issue of such a document and that a certificate based on the reports in the personal file may be issued to the applicant by the competent authority.
