The enterprise content management (ECM) market is rapidly evolving, customers are warming to the notion of storing their content on external servers and competition is increasing as a result of cloud storage and enterprise management providers integrating core content management capabilities. ECM vendors are focusing development on simplification, automation, and integration to generate value for customers. This Value Matrix evaluates value based on usability and functionality, and how they are innovating to compete within the changing ECM market.
The amount of information guarded by organizations continues to grow as the cost to do so continues to fall. Information today loses its value as soon as it is received, with the half-life of strategic information being only 56 hours (Nucleus Research, M36 – The Half-Life of Data, May 2012). This knowledge, coupled with performance and cost concerns, have driven vendors to look at lifecycle management of data to further reduce costs and risk exposure by archiving and disposing of information that is no longer relevant. Nucleus found that customers are averaging $7.50 returned for every dollar spent in their ECM deployments (Nucleus Research, o200 – ECM Pays back $7.50 for every dollar spent, September 2014). Despite the relative maturity of the ECM market, vendors continue to develop and enhance offerings for cloud and hybrid deployments as users increasingly turn to these environments to produce higher ROI.
Nucleus has identified four driving forces that are being integrated into the product roadmap for ECM vendors moving into 2015, including:
Simplification. ECM vendors have increased focus on refining their UI to make their platforms more intuitive to the end user.
Automation. ECM vendors are looking to automate processes to improve data extractions and reduce the number of touches that content receives, thereby reducing human error.
Integration. ECM solutions are moving to integrate into other enterprise management platforms and seek to provide alternative functionality when cross-platform integration isn’t possible. These integrations provide a more streamlinedRESEARCH NOTE

As other enterprise management software and cloud storage services increasingly offer core content management capabilities, ECM vendors are pressured to differentiate their products with strategic integrations in key business applications, smart capture technology, and automated tagging. Additionally, vendors continue improve integrations with business analytics, CRM and ERP and OCR functionalities.

EMC
Customers, when looking at content management solutions by EMC, think first of Documentum. It is for this reason that Nucleus chose to analyze EMC Documentum separately from other products found in EMC’s parent federation portfolio. Earlier this year EMC released a bevy of new functions and features for Documentum, focusing on content management integrations with other systems. Documentum leverages its content and process management capabilities to improve collaboration and search capabilities in Microsoft SharePoint, SAP, Salesforce.com, and Microsoft Office. At present, many clients use Documentum’s older Webtop to manage their content; however, customers have begun switching to the newer and more user friendly D2 and xCP interfaces. D2 is a widget-based portal for library-centric data management, while xCP is a developer friendly platform oriented towards the management of forms and worflows.
EMC views its Documentum product line as separate from InfoArchive, however, these products are complementary and are often considered together as part of a broader purchase. EMC InfoArchive allows users to store structured and unstructured data in one place and is an appropriate solution for organizations that are neither ready nor able to retire their legacy systems. When looking into InfoArchive, Nucleus found that in reducing the number of archives required to store and retrieve data, it also reduces software layers and their associated licensing costs, speeds up decision making, and reduces time to market (Nucleus Research, o15 – EMC Documentum InfoArchive release, January 2014). EMC continues to invest in Documentum’s Syncplicity which provides document sharing, viewing, and editing capabilities across platforms. Syncplicity has been designed for each platform individually, to optimize the user experience. It supports private and public cloud, hybrid, and on-premise solutions. Like other vendors who offer similar deployment options, Documentum reduces barriers to adoption by allowing companies to gradually transition from on-premise to the cloud at their own pace.
HP AUTONOMY
Over the last year HP has developed its information governance through the integration of ECM capabilities. This integration provides customers with access to a broad range of services to manage and utilize content stored on-premise, in the cloud, and in hybrid solutions.
In August, HP Autonomy released HP Records Manager 8.1, improving the ease of document capture, search, and disposal. Other enhancements provide integration with
Office 365 and SharePoint. This integration will allow users to perform light modifications to documents and e-mails.
HP Records Management now leverages the power of IDOL and optical character recognition to improve the searching and classification of documents. IDOL allows users to search and analyze unstructured data. The tool searches documents being uploaded and compares them to existing documents to classify them. The optical character
recognition allows users to search formerly unsearchable files such as TIFF and PDF. These two tools packaged together benefits the customer in time saved in the documenting and searching of content.
The ECM market is currently reluctant to dispose of outdated documents due to increased compliance regulations for data storage, creating a swell of unsearchable content (Nucleus Research, o30 – Information governance and ECM, February 2014). HP’s Record Manager allows for control of the lifecycle of information and access rights, which improves searches, smoothes content management processes, reduces costs, and limites risk exposure. HP’s v8.1 update shows HP’s commitment to improving the customer experience in efficiently managing its content.
IBM
Over the last year IBM has been making strides in its ECM offerings and has cemented its position as a leader in the space. The last six months has seen a greater focus on
integrating with other IBM services and on improving the customer experience as a means of driving sales.
Last month IBM showed commitment to its international clientele with the addition of 26 new languages in its customer support program. IBM has also increased integration with Cognos and Watson. These integrations will help to improve customer reporting by improving accuracy and refinement of the information being pulled (Nucleus Research o220 – IBM announces Watson Analytics, October 2014). Under the hood, IBM, has added support for XML data and has worked to improve search times and decrease IBMs footprint on the clients’ servers.
IBM has a diverse portfolio of ECM products allowing for advanced capture, content management, and analytics. IBM’s products are sold pay-as-you-go, but the company has recently been investing in marketing more out-of-the-box bundled packages to ease pricing concerns and improve deployment times.
Nucleus expects IBM to continue to drive automation in information governance through continual improvement in auto-tagging, document capture, and disposal. Going forward, improvements in search technology will be critical for IBM as customers move increasingly to data lakes and store unstructured data that may be difficult to search.
M-FILES
M-Files’s enterprise content management solutions use a folder-less document management system that employs metadata to search, process, and archive content. A folder-less system may sound chaotic to those used to a Windows Explorer styled hierarchical structure, but the use of metadata is efficient, prevents document duplication, and allows for an intuitive user interface. Search results on M-Files are ranked in order of relevance and the preview feature allows for rapid confirmation.
M-Files is strategically partnered with 18 hardware and software vendors including
Microsoft, Salesforce, and Epson to improve system functionality and end-user experience. Moreover, the ease of an M-Files deployment, the adoption rate, and the high
functionality come at a lower price than other ECM vendors. In a recent case study of an M-Files customer, Nucleus found that the high functionality and low cost of an M-Files deployment allowed the customer to attain a 378 percent ROI (Nucleus Research, o67 – M-Files ROI case study – Booth & Associates, LLC, April 2014).
M-Files offers document management (DMS), quality management (QMS), and enterprise asset management (EAM) solutions. The customer is able to pick whether to deploy on-premise, in the cloud, or in a hybrid environment. Flexible deployment and high regulatory compliance capabilities have made M-Files a popular choice in the pharmaceutical and healthcare industries.
OPENTEXT
In the second half of 2014, OpenText has continued to make strides to make it easier to collaborate, share, and access content. On November 12, OpenText announced its new completely cloud-based content management platform, OpenText Core. Though OpenText offers hybrid-solutions for data storage, its focus on cloud-first development will help its customers attain a greater ROI (Nucleus Research m108 – Cloud Delivers 1.7 times more ROI, September 2012). OpenText Core integrates social features to improve collaboration on its platform, including Facebook-style “like” and commenting features. The sync requirement has also been removed, meaning that the document in the cloud is instantly updated, eliminating document duplication and protecting version integrity. Removing the sync feature also eliminates the need to store documents locally, allowing for increased mobile functionality.
OpenText currently has five suites on the market including; a content suite, a discovery suite, a customer experience Suite, an information exchange suite, and a business process suite. OpenText promotes these bundled product suites as simple and cost effective alternatives to competitors who offer products in complex, à la carte, pay-as-you-go packages.
OpenText continues to strengthen its partnerships with Oracle, Microsoft, and SAP. OpenText integrates ECM for Oracle E-Business Suite, allowing customers to integrate
data, extend application functionality and set-up AP automation. OpenText Core is integrated with Office 365, allowing the editing of documents through the application, and OpenText’s cloud solutions integrate into SharePoint.
Nucleus expects OpenText to extend the cloud-based rebuild of its ECM platform to its other product suites. Rebuilding its other enterprise management solutions from the ground up and around the cloud will create a valuable and flexible ecosystem for its customers.
ORACLE
Oracle’s WebCenter provides a strong platform well-suited for customers that are already embedded in the Oracle ecosystem. The platform is well suited for mobile applications and integrates with the full range of Oracle middleware and business solutions. The availability of Oracle’s Documents Cloud Service integrates file sharing and sync capabilities for online collaboration, creating a robust and user-friendly content management solution.
Oracle continues to make it easier for users to capture, manage, and collaborate on content directly from the application’s interface. Feature integration across Oracle’s business applications drive productivity by eliminating time wasted in switching between platform interfaces. Nucleus found that similar integrations within Salesforce were able to reduce unplanned downtime by 32 percent (Nucleus Research, o62 – SpringCM announces Salesforce integrations, April 2014). Deeper integration has the added benefit of increasing the accuracy of information used when pulling data from source to source.
Oracle’s recently redesigned WebCenter UI creates a simple and intuitive experience that translates well to mobile platforms. WebCenter’s consistent user interface and
functionality helps drive adoption, reduces learning time, increases productivity, and shortens payback time.
Leveraging the power of Oracle’s application integrations allows customers to achieve a positive ROI despite Oracle’s services being comparatively more expensive for smaller deployments. In investigating Oracle’s pricing, Nucleus found that customers said that pricing for Oracle products can be confusing. The exact requirements of an organization for a deployment, particularly when first entering the Oracle ecosystem, can be difficult to ascertain and the complexity of the Oracle pricing structure can inhibit customers from optimizing their investment.
Nucleus expects that Oracle will continue to improve the usability of its solutions with a continued focus on the user experience by simplifying UI design, improving automation, and developing deeper content management integrations with Oracle’s enterprise offerings, including; Business Intelligence, BPM, ERP, and CRM.
PERCEPTIVE SOFTWARE
Since 2011 Perceptive Software has acquired several companies and is leveraging its core strengths to become an ECM vendor able to reduce organizational complexity and therein drive value. Perceptive’s acquisition strategy has yielded:
Improved enterprise-wide search, archival, text mining, and mobile technology.
Web-based document imaging and workflow integration.
Medical imaging capture and management.Perceptive Content 7 is a fully integrated solution that is functional throughout the content lifecycle. In July, Perceptive announced its own cloud storage solution that will allow organizations to retire legacy equipment as well as streamline workflows. Perceptive Cloud natively supports audio/video streaming in HTML5 and Flash with support to add custom media players. This capability provides a benefit to departments that produce multi-media deliverables without directly increasing demands on local IT teams.
Customization continues to be a principal reason for the selection of Perceptive Software over its competitors. As Perceptive continues to add core functionality to meet the complex needs of new industry segments, Nucleus will be watching to see whether its platform’s increased capabilities come at the expense of usability and the overall customer experience.
SPRINGCM
Organizations continue to remain wary of moving to the cloud, though improvements in security measures and a superior ROI are beginning to change minds. For years SpringCM has offered only cloud-based content management solutions and, as a result, is positioned to capitalize on customers’ new willingness looking to try cloud solutions.
SpringCM integrates with Salesforce with a simple and dynamic interface that
automatically adds and removes action buttons based what is appropriate for the selected content, following the Dark Cockpit mantra. Furthermore, Spring CM integrates with Oracle Fusion CRM, Oracle Sales Cloud, and other cloud-based applications, making it a flexible and capable solution for most organizations.
Nucleus expects SpringCM to further develop strategic partnerships to allow for a richer feature set and a more streamlined user experience. Several competitors already allow editing in their applications of Office documents as a means to increase productivity. If SpringCM were to streamline the process of opening, editing and saving new
modifications it would increase value even more for its customers. EXPERT
ALFRESCO
Alfresco continues to develop its cloud, usability, and mobile feature set. Alfresco is an open-source solution allowing for high customization and is appropriate for most industries. Alfresco has a network of more than 200 partners around the world to provide services that can be tailored to unique and regional markets.
Alfresco has low deployment and operational costs and offers enterprise-class security on its cloud services. These attributes together both placate the concerns of organizations reluctant to migrate and facilitate rapid payback for those who do. With Alfresco’s open-source platform and vast global network of partners, users have the flexibility to modify the solution to meet the rapidly changing needs of a growing organization. Its partner network is a resource to help deploy, develop, customize, and enhance functionality.
Alfresco’s mobile application includes preset expiration periods for content that is shared with outside parties and full-time data encryption. Nucleus expects Alfresco to continue to grow its mobile offerings as part of its commitment to provide greater, secure access to content. Nucleus also anticipates Alfresco to add customer support features such as live chat and FAQs, which it currently lacks.
KOFAX
Kofax is a California based company with a vast network of more than 800 partners, globally. In January, Kofax released Mobile Capture Platform and has stayed relatively quiet in the second half of 2014. The platform enables customers to capture content that will be automatically extracted, sorted, classified, and distributed throughout the
organization for the development of new mobile applications. Companies will be able to utilize the stream of information and Kofax’s open platform to speed the development and time to market of mobile applications meeting customer’s needs.
Beyond capture technology, Kofax is working to develop enterprise planning solutions in ECM, BPM, and analytics.
ONBASE BY HYLAND
Formerly Hyland Software, the company felt the need to rebrand itself earlier this year to include the name of its most popular product, OnBase. In September, it release an update to its flagship product, OnBase 14, which includes over 4,000 updates to its current platform. Most notably these updates include improved encryption and support for Unicode. These enhancements show OnBase’s desire to attract large multi-national organizations who contend with security concerns externally and IT headaches caused by language barriers internally.
Further updates and integrations continue to drive appeal for smaller, more cost conscious enterprises. OnBase has added support for Google Drive and Google Docs. Google Drive is currently not a popular choice for cloud storage and because of this, it is doubtful that
many companies will find value in this integration. However, this does emphasize OnBase’s continued commitment to SMBs.
OnBase’s menu-based deployment is intuitive, allowing organizations with small IT departments the ability to implement and customize. The simple user interface reduces deployment costs as skilled IT technicians are not needed to tailor the product to the organization’s needs.
Nucleus Research expects OnBase to strengthen its functionality around business intelligence and analytics to enable users to further leverage the value of its content and streamline business processes.
XEROX
Xerox is currently in the process of revamping its ECM offerings in an attempt to strengthen usability and improve market awareness. At present, Xerox Docushare offers some of the most functional ECM services on the market, though its user interface makes accessing and using Docushare’s robust feature set cumbersome.
Xerox offers a variety of Docushare products including Cloud, Mobile, Enterprise and Express, an SMB package. Docushare automates business processes and life-cycle management, includes smart capture technology, and manages both paper and digital content from the same platform. Xerox’s Enterprise package integrates HCM functionality, governance, and compliance capabilities. In moving forward with Docushare, Xerox has been focusing on advancing mobile, social, cloud, and big data capabilities
FACILITATOR
Facilitators in this Matrix include Digitech, DocSTAR, Fabasoft, Intralinks, Microsoft, Newgen, and Software Innovation.
DIGITECH
Digitech’s PaperVision R77 is an easy to use and cost effective content management solution. Digitech is focusing on content management automation and is working to provide deep functionality and high usability out of the box. PaperVision R77 has a low price point and is suited to small and medium sized organizations who need cost effective, rapidly deployable solutions.
PaperVision Enterprise R77, released in February 2014, adds e-form and e-signature functionality, which increase workflow productivity by facilitating the electronic delivery and signing of forms. The use of e-forms also reduces the potential for human error in data entry, protecting data integrity. Nucleus has also found that the use of e-forms speeds up the decision making process by making the most recent information readily
available to users from the point of entry, increasing organizational responsiveness (Nucleus Research, o23 - Digitech PaperVision Enterprise R77, February 2014). Nucleus expects that Digitech will continue to automate processes for the capture, delivery, and management of content by streamlining the information handling process and reducing opportunities for error.
DOCSTAR
DocSTAR is a division of Astria Solutions Group, LLC and provides ECM software that is available as an on-premise or cloud solution. DocSTAR offers a clean, straightforward interface. The platform includes intelligent capture for the automatic classification and indexing of documents, automated workflows, version control, and mobile access. DocSTAR integrates with major ERP vendors including Microsoft Dynamics, Oracle, Netsuite, SAP, and SAGE. It is PCI and HIPAA compliant and offers AP automation. DocSTAR’s intuitive interface allows for a short learning curve and competitive price point makes it an appropriate solution for mid to large-sized organizations.
In the short term DocSTAR has planned enhancements to its OCR, intelligent data capture, and indexing technology. These enhancements promise to streamline the process of uploading, tagging, and searching content. Planned federated search enhancements will allow users to search multiple resources at the same time, saving the user time in locating and pulling together relevant information from a variety of sources. As DocSTAR
continues to invest in building up and building out their functionality, Nucleus will be watching to see if it will be able to move ahead of the market and land itself in a leadership spot.
FABASOFT
Fabasoft is a European-based ECM software manufacturer and cloud provider for both the public and private sectors. Its products enable business to business collaboration as well as DMS and file sharing. Its cloud platform is secure, has moved toward zero downtime, is encrypted, and has a 2-step verification process. To back up its assurance of security, Fabasoft has support teams in Austria, Germany, and Switzerland that can address regional problems that may arise.
Fabasoft has several notable features including Teamrooms, which enables different collaborative capabilities for employees based on each employee’s role in a company. Fabasoft also provides a center to host all of the data for a particular project. As a cloud product, it allows for mobile collaboration and for sharing business documents. Recently, Fabasoft has been working to streamline the use of V-DOK, a document management system for both local and government users.
INTRALINKS
Intralinks provides cloud-based enterprise content management solutions and
collaboration to a range of industries such as financial services, life sciences, technology, and manufacturing. In October, the company announced Intralinks VIA 2.0. In this new generation of its file sharing and collaboration solution, the company has reworked its user interface and security capabilities. In September, Intralinks announced the availability of Customer Managed Keys, which enables customers to manage the encryption keys that are used to protect its data in the cloud. This should ensure that data is available only to authorized users by giving complete provision and management control directly to the users.
MICROSOFT
Microsoft Office continues to be the most ubiquitous platform for business document creation; SharePoint leverages Office’s popularity to maintain its presence as the central link for content management within organizations. SharePoint has a strong presence as the interface that is used to access, manage, and distribute content.
Microsoft has made several SharePoint announcements over the last six months. Most notably Microsoft launched SharePoint Online, which for the first time allows SharePoint to act as a stand-alone cloud-based service. SharePoint has also enhanced ways to increase organizational collaboration with integration of Yammer, a Facebook-like news feed that allows colleagues to like and leave comments. With these benefits, Nucleus found that, one customer was able to reduce total man-hours and employees involved in product development by 30% and 45%, respectively (Nucleus Research, m120 - Yammer in Professional Services, October 2012).
In investigating user sentiment, Nucleus found that though improvements had been made to both the aesthetics and usability of SharePoint’s interface, the platform carries the stigma of being “ugly”. To aid in the adoption of SharePoint, Microsoft has partnered with Badgeville to add a layer of gamification to engage end-users and smooth the transition of new users to the service. However, if the underlying issues of aesthetics and user-friendliness have not sufficiently been resolved then only incremental productivity
improvements will be gained, such as with similar deployments in CRM. (Nucleus Research, n167 – Enterprise software must adopt the principles of the Dark Cockpit, November 2013) Cloud integration had been lacking but the recent announcement addressing this has improved Microsoft’s position. Nucleus expects Microsoft to continue to leverage smart acquisitions, including Skype, to improve its content management platform and facilitate team collaboration.
NEWGEN SOFTWARE
Newgen Software Omnidocs ECM Suite offers contextual and actionable content for streamlining businesses. It allows businesses to track and manage a customer throughout
the customer’s content lifecycle. In addition, Omnidocs allows for collaboration through social, mobile, and cloud capabilities. With extended components such as digital asset management, companies can utilize Newgen Software’s repository service for end-to-end management of rich media and other digital assets.
The Omnidocs ECM suite offers smart capture of bulk and mobile uploads and unifies information attained through multiple sources. The platform in unifying the data allows for information gleaned from BPM and WCM sources to be analyzed and used in other areas, allowing for strategic departmental cohesion. Additionally, Omnidocs integrates with business process management, Web content management, and records management capabilities.
SOFTWARE INNOVATION
Software Innovation is a Scandinavian ECM and information management provider primarily for construction and engineering firms such as oil and gas, the public sector, and healthcare sector. Its core products are ProArc, Business 360, and Public 360.
Software Innovation’s content management platforms’ user interfaces were built on SharePoint and Office UI, reducing the learning curve of its products for end users who are already familiar with the windows explorer style, hierarchical layout. Currently, Software Innovation deployments are limited to Scandinavia. In the coming years Nucleus expects to see strategic partnerships with international firms to expand its reach and market recognition.
CORE PROVIDER
Core Providers in this Matrix include Ever Team, Laserfiche, Objective Corporation, Systemware, and Unisys.
EVERTEAM
Everteam continues to expand its geographic hold in Europe, Africa, and the Middle East. It offers a wide range of integrations with SharePoint that allow companies to manage the lifecycle of content, while leveraging existing systems adopted across the organization. In 2014 Everteam has not released any new functionality for its core products. Everteam does have imminent plans to release Everteam.board, a Web-based portal designed especially for board members and committees to share and collaborate.
On the horizon, Everteam plans to release completely revamped versions of its core ECM products. These versions are being built from the ground up for the cloud. Base-level reconstruction for the cloud gives Everteam the chance to drive value for its clients and vastly improve in both functionality and usability. Nucleus will be watching for the results of their efforts, but until then, Nucleus expects Everteam to continue to lag behind the evolving market
LASERFICHE
Laserfiche offers two products, Rio and Avante, which provide content management solutions for enterprises and SMBs, respectively. Laserfiche’s user interface is intuitive and the platform itself is flexible enough to adapt to departmental needs. Laserfiche
incorporates document imaging, document management, business process management, and records management into its core offerings, making the out-of-the-box solution a powerful tool for small and mid-size companies.
Social BPM functionality provides a collaborative environment for teams and departments to utilize business processes for document management in both Laserfiche ECM suites. Laserfiche’s mobile application is available on both Android and iOS to help meet the demands of bring your own device (BYOD) business practices. Laserfiche intends to further develop its mobile offerings to cover more devices and provide more powerful content management and business process functionality.
OBJECTIVE CORPORATION
Objective Corporation ECM is designed specifically for the public sector and heavily regulated industries. Its customers include the Western Australian government and the New South Wales government. In May, Objective announced the launch of the Objective Enterprise Content Creation Platform, which allows for the creation, approval, and publishing of documents on a cloud-based solution. Objective addresses the challenges that are often faced by government agencies such as political change, community expectations, and financial pressure. The capabilities of the product include:
Document management for end-to-end user support
Records management to aid in compliance and accountability
A workflow platform that automates common tasks
Collaboration and management functionality for complicated engineering drawings
Integration with drafting applications such as AutoCAD, Microstation, and AutoVue
Ability to access information stored in databases, on desktops, intranets, web sites, ERP systems, and emails
In looking at Objective’s customers, Nucleus found that customer complaints were that the search functionality of the ECM platform does not always yield the most appropriate, timely, or useful content. While the complaint remains relatively minor, it represents a chink in Objective’s development strategy in which feature robustness is valued over feature performance. Nucleus expects Objective to continue to build out a robust feature set to offer a complete enterprise management solution.
SYSTEMWARE
Systemware offers a range of ECM capabilities including capture, document and process management, archiving, and records management system. While still requiring the continual cost of internal system support for the mainframe, the content cloud proposition offers a high level of security and does not require backup servers to protect data. This will enable customers to relieve network load, retire servers, reduce ongoing maintenance costs, and achieve superior ROI than otherwise possible with a strictly on-premise solution.

regarding the use and storage of data, and several large financial institution entrust Systemware to handle their data, showing Systemware’s competence in meeting these demands.

Unisys is a global IT company providing a wide array of products, ranging from
outsourcing to cybersecurity. Its primary ECM product, InfoImage, streamlines business processes by utilizing capture, data management, and workflow functionalities to deliver the appropriate content to the appropriate people within an organization. InfoImage is often utilized by government agencies and other large organizations with mission-critical operations.
In October, Unisys announced Forward! with NetApp storage systems. The new offering is intended to provide users with a unified solution for computing, storage, networking, and application resources. Unisys is expected to expand its cross functionality with greater integration with its ERP, CRM, and analytics offerings.
