New Layout
Customize Toolbox arrangement
Custom arrange your toolboxes in the Dataroom (using drag & drop or by clicking on the arrow key). Elimi-nate the toolbox from your screen with .
Add new Toolboxes or reintegrate the previously eliminated ones (in the upper right corner click on , then on “Add Boxes“):
Customize Folder Overview
Define what information will be shown in the folder overview. Remove unnecessary information like “Owner“, and instead insert “Description“.
Simple View – new Tab for Documents
New tab for documents: “General“, “Details“, and “Notifications“. The tab “General” lists the most important meta-information and displays a simple view. You can find more information under “Details”. Control your automatic notifications henceforth directly in the document.
Improved User Interface
New style sheets, colours and icons for a more comfortable Dataroom use.

Security Categories
Use document classes for your documents, for example: - Confidential
The security category determines the behaviour of classified documents, and limits the access rights of con-fidential documents additionally to the already existing Dataroom permissions.
Choose between special sending modes, separate download possibilities and separate editing rights. Choose the display form of “Brainmarked PDFs“:
- cover sheet, - watermark,
- custom PDF delivery…
The colour coded security categories help you distinguish classified documents.
New Publishing Processes
Simple publication of documents through “Hierarchical Publish”: define a source folder and a destination folder for the publication rules. If the file structure in the source folder changes, then the new folders will be automatically created in the destination folder when “Hierarchical Publish” is carried out. Secondly, there is a new publish process called „Free Publish“. During „Free Publish“, the source folder is defined by the Admin-istrator, but the destination folder is freely configurable during the process by the user himself.
Dataroom Index*
The Dataroom Index (Toolbox “Dataroom”) shows all objects in the Dataroom ordered in the sequence that they appear in the directory tree – including the object descriptions. Advantages: from the index you can con-trol the main Browser window below.
Optimization of the Secure Document Viewer (SDV)*
The SDV creates the first pages of a document and gives these to the user, while the transformation of the last pages is still in progress. Advantage: in long documents the first pages will quickly be shown – thus re-ducing the user’s waiting time. The functions “rotate” and “zoom” were additionally incorporated.
Document Collection as PDF – now with a table of contents*
As soon as you freeze a document collection, you can download it as a cohesive “Brainmarked PDF”. New: all documents in the document collection are listed in a table of contents with page specification:
Forgotten your password?
Easy login for invited users with permanently shown links for “Forgotten your password?” and “Registered?” on the login page.
Dataroom Selector
New arrangement of the Datarooms in the Dataroom Selector, for example according to “my last login” and according to the Dataroom Center.
User display information and arrangement
Arrange the users’ display information according to e-mail, name, etc. There is a filter for the Dataroom groups in “lists view“. All profile photos appear in miniature form.
Autocomplete for e-mail addresses
Sending and choosing of the addressees/participants can now be done with the autocomplete function. You can also use the autocomplete function in the assigning of permissions.
Background Operation
Time consuming operations can now be carried out in the backround, for example copy, or change permis-sion. Meanwhile the user can continue working in the Dataroom. He will be notified when the task is finished.
Trashcan
New: a button to empy the trashcan (eliminate all objects).
My Profile
Download Options (tab “Preferences”)
Set your “Download Options”. Control the Dataroom behaviour when clicking on the document’s name in the file view:
- “Display object view“ (same behaviour as in previous versions. Dataroom springs to the document’s tab “General”).
- “Download the documents directly from the list view” (New: you are in the folder view and click on the document’s name. The document’s content opens directly. The Dataroom remains on the folder view).
- “Download the document and show object view” (New: you are in the folder view and click on a document’s name. The document’s content opens directly, and the Dataroom springs to the docu-ment’s tab “General“).
- “Prefer regular download over direct edit“: Being authorized to edit a document, you can substitute the default write acces by a read-only access. The document (e.g. Microsoft Word, Excel, Power-point) will open write protected when downloaded directly from the folder view.
Create your own e-mail Signature (tab “Contact Details”)
Your signature will be automatically included in invitation e-mails and when sending objects, and can be modified if necessary.
Test your local WebDAV Version (tab “General”)
Here you can test which webfolder component you have installed. You require the current webfolder compo-nent from Microsoft to work seamlessly with WebDAV: open the Dataroom in Windows Explorer, direct editing from the Dataroom in Microsoft Word, Excel, and Powerpoint is possible.

New display of the Dataroom Permissions
Tab “Permissions“: new display of permissions (same as object level) with group selector field and check boxes for each permission. The currently assigned permissions will be displayed on the left column (gray), and the new rights are displayed on the right.
Assign permissions to documents
Trashcan Retention
Tab “Settings”: set a time limit to the permanence of the documents in the trashcan (in days). Older docu-ments will be automatically destroyed.
Make a user group visible to all members of the Dataroom
Tab “Users” / “Manage Dataroom Groups”: a user group can be made visible to all other users in the Da-taroom – independent of the settings under the tab “Permissions” (Meaningful for example for the group DR_ADMINS: If all user groups shall contact the Dataroom Administrators for support but are not entitled to see each other in the Dataroom)
Define security categories*
Tab “Security”: here you can define new security categories or edit already existing ones.
Activity Reports for each user*
Tab “Professional“: additional statistical information at a user level - see “Activity Report“. These statistics can be activated or deactivated as needed in each Dataroom Center or Dataroom.
E-Mail sender’s address changes
When sending e-mails directly from the Dataroom, the System will from now on use the following sender’s default address:
This is due to spam-filter requirements. Your E-Mail Client (such as Microsoft Outlook) will render the sender’s name though, e.g.

If you should use the „Reply-to“ feature of your E-Mail Client, the sender’s E-Mail Address will be deployed, e.g.
