Using OwnCloud

OwnCloud is a very easy to use file storage and sharing system that you can access anywhere you have an internet connection.

1. Contact the IT Department to set up your account.

2. Once you have an account, go to http://www.tcatshelbyville.edu/staff-links, scroll down the page and click on the link that says: Staff/Faculty Cloud Server.

3. Login with the username and password given to you by the IT Department.

5. You will see your main screen. There are navigation buttons down the left side of the screen. If you would like to organize your files, you can add folders to the main screen. To add a new folder, click the “New” button on the top left.

6. You can also create a new text file or a new link by clicking the “New” button.

8. To rename a file, download it, share it or delete it, move your mouse pointer to the right of the file. You will see the links for these actions appear.

9. To open a folder, click on the folder and it opens.

10. To upload something to your folder, you can drag and drop it from your computer or you can click on the arrow to the right of the “New” button.

12. After clicking open, you will see a progress bar pop up in the upper right side of your screen. For very large files, you may see it for some time. For smaller files, it will flash quickly. Once the upload is complete, you will see your files on your cloud server.

13. You have a few options if you would like to share your files with someone else. If you share with someone who has an OwnCloud account, when you click the share link there will be a box to enter the user’s name. Once shared, they will see the file in their OwnCloud.

15. If you would like to share a file or folder with someone who does not have an OwnCloud account (students, colleagues, associates), you can create a link to the shared item to send to them. You can also choose whether to allow them to have write access, to upload to your shared folder as well as set an expiration date on the share. In addition, you can set a password on the share so that it is not freely available to the public.

16. To share with someone who does not have an OwnCloud account on our server, select the “Share with link” box after clicking on the share link.

**Note: At the present time, we do not have the “Email link to person” functioning, however, you can click in the box beneath the “Share with link” check box, highlight and copy the entire line of text (the text will extend beyond the visible part of the box, be sure to scroll across all of the text when highlighting) and paste it into an email to the person you would like to share with.

17. If you would like to password protect your shared folder (recommended), select the “Password protect” box and then enter a password on the next line.

18. If you want to allow others to upload files to your shared folder, select “Allow Public Upload.” This will allow anyone you send the link to who does not have an Owncloud account on our server to upload files to your shared folder.

19. You can also expire the share by selecting an expiration date. Select the “Set expiration date” check box and then click in the box that says “Expiration date”.

20. Once you click in the “Expiration date,” you will see a pop-up calendar where you can select the date you want the share to expire.

21. After clicking on the date, it will be entered into the “Expiration date” box.

22. To close out and save your settings, simply click anywhere on your screen outside of the settings box.

24. OwnCloud has a contacts app where you can add and organize your contacts and have access to the information from anywhere you have an internet connection.

25. There is also a calendar app where you can enter appointments, events and recurring events. You can also share your calendar with others.
