This orientation will assist you in getting to know the computer labs at Yukon College and covers topics such as:

The orientation will take approximately 15-30 minutes to review. The information presented here will assist you in making your studies at Yukon College a success!

Computer Lab Policy
Computer Use Policy Summary
You are solely responsible for the actions of anyone using your account. Therefore, do not allow others to use your account. They should use their own account. If they are not students, they may purchase computer time through the Admissions Office ($100 per term).
Never tell anyone your password for your account. Treat it like your bank card PIN. If you suspect someone is tampering with your account, notify IT Services immediately.
Locking your Computer
If you leave your computer for any length of time, press the Ctrl-Alt-Del keys simultaneously on your keyboard and then click on the "Lock-Computer" button. This way others cannot sit down and start using your computer account.
Unlocking your Computer
To get back in, press the Ctrl-Alt-Del keys simultaneously and enter your password as if logging in. The use of Yukon College computer resources is a privilege. It is not a right. Respect the equipment and the resources that are on loan to you.

There are about 75 computers available to you as a student of Yukon College. There are roughly 5 students per computer at Yukon College. This means you will probably get a computer when you need one, but there may be times when the lab you want is booked for a class or is down for maintenance.

Finding a computer to use
The computers in the labs are available if:
The computer labs are open. Hours of operation are posted outside each lab.
There are no classes in session.
If class is in session, you may use a computer only if you have permission from the instructor teaching the class (ask before the start of the class) and if the door is not closed. If the door is closed do not enter the computer lab.
When using a lab with a class in session, please try to use computers in the back of the classroom. Also, be respectful and work silently so that you do not interrupt the class.
Instructors have the right to ask students who are not in their class to leave.
All computers have the same software, with a couple of exceptions
Computers with attached scanners are in labs A2702, A2408 and C2200 (Library Lab). These computers are the computers that are beside the scanner and have additional software installed to operate the scanner. Computers that have extra software will have a sign above them tell you what extra software is installed on that computer. All computers have Microsoft Word for typing up essays, letters, term papers, etc. All computers have an Internet connection for web surfing and emailing.
Lab A2702 has Adobe Creative Cloud installed on all the computers. It is the latest in the Adobe Creative Suite of software.
Picking a Computer to Use in the Lab
You may use any of the computers in the computer labs except for the instructor computer (this computer is usually at the front of the lab and has a label on the monitor). Some computers have specialty software or hardware which is only available on those computers. Try not to use those computers if you are not going to use the specialty software and hardware. That way if someone needs it they can use it. If it is the only computer left, you may use it.
Lab Schedules
Lab schedules are posted at various locations, including:
On the Computer Lab Information Board in each computer lab.
On the Computer Lab Information Board outside IT Services (room C1320).
The lab schedules are posted every Monday morning. This way you can plan around booked classes. There is no schedule for the Library Lab. This lab is always free from classes.
Dealing with Computer Problems
The Computer Isn't Working
When a computer, keyboard or mouse doesn't work, a CD or DVD becomes stuck in the drive, the computer will not turn on, or nothing comes up on the screen, please report this computer to Yukon College IT Services (directions will be given later).
DO NOT TRY TO FIX IT YOURSELF.
The Computer Is Locked Up
Try pressing the following keys. Hold down the [Ctrl] key, then hold down the [Alt] key, then finally press the [Delete] key and then let go of all three keys. Wait a couple of seconds (10 seconds max). A window should appear. In this window there should be a Shut Down button. Press this button and wait 30 seconds or until you see a message stating you may turn off the computer. Turn the computer off, wait 10 seconds. Turn the computer back on and continue using the computer. If it happens again, please notify IT Services so they can look into the problem.
Ok, that is a lot to remember, so here is another option that you can do. Turn the computer off by holding down the power for 5 seconds to force a shutdown, wait 10 seconds, turn the computer back on. Try using the computer again.
If the computer continues to lock up, please notify IT Services by sending an email explaining what programs you were running and when the computer stopped working. Giving IT Services this information will assist them in making sure the computers are running properly.

The Computer Lab Monitors are students. They will be able to help out with most things. For problems that they cannot assist with, please see the IT Services staff in room C1320 weekdays.
Questions regarding assignments need to be directed to your instructor. IT Services will most likely not be able to answer them. IT Services will not help you with your homework!
Online Program Help
Each program on the computer has help available. To access this help select the Help Menu from the current program or press the F1 key. You can then use the search feature to find what you are looking for. Any how-to questions regarding the program will be available in the online program help files.
Getting Help Continued
Before you call for help...
Try these tips first: Try to reproduce the problem.
Make notes, especially note any error messages. This will help you as you begin troubleshooting, and will be useful should you have to call an IT Services staff.
Eliminate other factors. Get down to the fewest conditions that will enable you to reproduce the problem. For example, is it a single formula in a spreadsheet? Going to a particular web page? Using a specific command in your word processor?
Look for common factors. For example, if all your Word documents cause the problem but other applications are fine, the problem is likely with Word. If your machine crashes every time you use a particular font in any application, the font is likely corrupted. If the problem is with a document you're working on but other documents created with the same application work fine, consider recreating it. Cutting and pasting from the old version can save lots of time here, but make sure you don't copy the part that's causing the problem.
Read the manual or your textbook. If the answer isn't in there, check with your instructor. If it’s a course web page that is causing the problem your instructor may have solutions.

Printing
Notes on Printing
Printing is available at a cost. Each student is allotted $40.00 worth of printing per term, which is included in the technology fee.
Black and white printing costs $0.10 per page, with a 50% discount if you print double-sided. Print double-sided whenever possible.
If your printing balance reaches $0.00 before the term ends you may purchase additional pages from the Bookstore.
Printing multiple copies of a document is not permitted. If you attempt to print more than one copy of a document at a time the print job will be deleted. You will not be charged for print jobs that are deleted.
Print jobs that are larger than 20 pages will produce a popup suggesting you print the document double-sided at a 50% discount.
The printers are heavily used and may at times not produce "perfect" printouts. Most instructors will not demand perfect printouts.
Yukon College currently only offers black and white laser-quality printing.
Checking your balance and transaction history:
A program called PaperCut is used to maintain the Yukon College’s printing system.
When you log onto a lab computer for the first time you’ll be prompted to log into the PaperCut system to establish your account.
A small popup window will show each time you log in, displaying your current balance. o Clicking on the Details link will bring up a website that will let you see more detailed
information about your PaperCut account, including Transaction History and Recent Print Jobs, as well as a Transfer feature that enables the user to transfer an amount to another user.
You start with $40.00 and for each black and white page printed the count is reduced by $0.10. When the balance reaches $0.00 you are out of printing and will have to purchase more at the Bookstore.
o After you’ve purchased more printing from the Bookstore go to IT Services in room C1320 to have the amount added to your PaperCut account.

How Printing Works at the College
Printing at the College is done through a network. (A network is a bunch of computers, printers, and other devices all connected together). Therefore, printing here is different than if you have a home computer and printer attached to it.
This is what happens when you print:
When you instruct the computer to print, it sends your document from the computer you are working on to another computer (called a Print Server).
This Print Server then sends the document to the printer. If for some reason the printer isn't ready, the Print Server waits for the printer to become ready. When the printer becomes ready, the Print Server then sends your document. Finally the document comes out of the printer.
Due to the number of requests that the Print Server receives, your document may not come out of the printer right away. It takes the print orders in sequence; it's first come, first served, so please be patient. If your document has a lot of graphics (such as a Power Point Presentation), it will take longer to print because the printer and printer drivers (software that translates what you see on the screen into a printable format) must render the print job accordingly.
Where is my print job?
Generally the default printer is the one that is closest to you in the lab. However, there are times when it may be appropriate to select an alternate printer. Use the following printer names and locations as a reference.
The PCL driver is set as the default, but you can select the PS (PostScript) driver to use with either printer if appropriate. If your print job doesn’t render properly with the PCL driver, try printing it using the PS driver.

Printing Continued
Common Printing Problems:
The Printer is out of paperPlease notify IT Services. They will refill the printer. Please do not use your own paper. Some paper doesn't work properly in laser printers. If the paper isn't loaded properly, it will jam the printer. The Printer has jammed
DO NOT TRY TO FIX IT. Please notify IT Services. The paper has to be removed properly or you will damage the printer.
I printed my document and nothing is coming out
Remember - only one copy of the document will print. If you selected more than one copy the print job will be deleted.
Is the right printer selected? Check the default printer located in Start --> Devices and Printers.
Do you have enough printing in your quota? Check the PaperCut utility for your balance. If the balance is $0.00 you are out of printing.
If none of the above solutions is the reason your document did not print please notify IT Services to look into the problem.
The printer is printing out of control
Press the STOP button on the printer and contact IT Services.
Printing Tips
Always Preview your document before sending it to the printer. Most programs offer a Print Preview under the File Menu. Select Print Preview and review your document to make sure it looks good before printing. You can often see page setup problems in the Print Preview.
If you make a small change to your document, print only the page that is affected rather than the full document. If you make a change to a document, check in Print Preview if the page before and after are the same as the printed copy you have. If so, just print the page you need.
If you make a change half way through your document, only print the last half of the document.
If you need to make multiple copies, use the photocopier in the Library. Producing multiple copies on the laser printers is much more costly than photocopying.
If you need to make transparencies, print the document on regular paper and then photocopy it onto transparencies. Running transparencies through the printers can damage them.
Do not pull the paper when it is coming out of the printer. Let the printer push the paper out.
Sometimes the printer has to warm up before printing, so be patient in getting your printout.
Protecting Your Data
Good Practice for Computer Security
Never tell anyone your student number or your password.
We recommend that you change your password to a unique one that only you know.
Be very suspicious if you get an e-mail message asking you to do something to compromise the security of your account even if it seems to have come from Yukon College IT Services. Please report any message like this to IT Services.
E-Mail IS NOT a private channel of communication. It is just like a post card sent through the mail system. Most of the time it doesn't get read by anyone else, but it is open.
When prohibited activity is alleged or detected, Yukon College will pursue the owner of the account. Therefore do not allow others to use your account.
There is always the possibility of a system crash, network outage, power outage, or some other interruption of your work which may result in loss of your data, files, or software. Please take steps to minimize your risk; frequently back up any work that is important to you.
Your Privacy
In an operational sense, Yukon College IT Services regards files in your account and data on the network as private: that is, employees of Yukon College do not routinely look at this information. However, the College reserves the right to view or scan any file or software stored on College systems or transmitted over College networks, and will do so periodically to verify that software and hardware are working correctly, to look for particular kinds of data or software (such as computer viruses), or to audit the use of College resources. Violations of policy that come to the Yukon College IT Services' attention during these and other activities will be acted upon. You should be aware that electronic mail and messages sent through computer networks, including the Internet, may not remain confidential while in transit or on the destination computer system.
Also note that your data on the Yukon College computing systems is backed up periodically. In case of data loss we may be able to perform a recovery from backup archives. Contact IT Services if you need to have data restored. Understand however, that this is not a fail-safe method, and the best way to keep your files safe is to get into the habit of keeping your files organized and stored in multiple places. It is recommended that you keep a copy of your documents in your personal directory on the Yukon College system, on a USB flash drive and at home on a personal computer or in a web-based file storage
repository. If any of these storage media are lost or damaged then you will always have a backup.

How to Find the Programs
All the programs that are available to you at Yukon College are accessible via the Start Button. To display the programs click on the Start Button and then move the mouse to the All Programs line. A half of a second later, another menu will appear, move the mouse up and down this menu to see other sub menus and programs. Once you find the program you want to run, click once on the program name in the menus. Don't be afraid to try out other programs. If you get stuck, just click on the top right corner to close the program. You cannot damage the programs by running them.
Shutting Down the Computer Properly
If you fail to do so, you risk locking your computer account or losing your data. To unlock the account or try to recover your data you must contact IT Services.
All computers use the following shut-down procedure:
1. Close all the programs you have opened and were using. The quickest way is to click all the Close buttons that you can see on the screen.
2. If you have a CD or DVD in the drive, remove it now. If you have a USB flash drive inserted, use the Safely Remove Hardware function, then remove it.
3. Click on the Start button at the bottom left corner of the screen. 4. Click on the Shut Down button.
5. The computer will automatically log off your account and power down.
What is your Personal Storage Space?
Personal Storage Space or P:\ Drive is a 150MB (MegaByte) space on a Yukon College server, for you to save your personal files. It is a private area which can be opened only with your account name. If you decide to store files in the Personal Storage Space, you should only keep the ones that you are currently working on. When you are finished working with a file, move it to a USB flash drive. The reason for this is that if your Personal Storage Space becomes full, you will experience problems. (See IT Services for help) Double click on the Computer icon on the desktop, then double-click (P:) Home. The P:\ drive contains your My Documents folder, which is a good place to store all your course-related documents. The actual location is on a Yukon College server. This folder is the best place to store your files. Additionally, a USB
Internet and Email
Internet
The Internet is a great source of information on many topics. You will be able to research for your term papers, find information about your classes, other colleges and universities, news, weather, what movies are in town, and much more.
The lab computers have several different browsers installed, including:

The Internet is a vast resource of information available to you within a matter of seconds. Yukon College provides this resource to you for educational purposes only. Viewing sites that are inappropriate and disrespectful are not allowed. You are responsible for being respectful of the other students in the lab. If complaints are received about what is on your screen, Yukon College IT Services may disable your account and arrange a meeting with your academic advisor. If you are unsure about anything, please stop by and ask IT Services in room C1320.
Email is provided through MyYC, a link available on the Yukon College Website. Yukon College will use this email address to communicate with you about upcoming events, funding possibilities, and more.
Accessing MyYC
MyYC is the web-based portal where students access their Yukon College email, as well as other resources to assist with course work. Any browser will work, however MyYC displays best in Mozilla Firefox. Please ensure the browser allows pop-ups and can play Flash content.

MyYC can be accessed from the main College webpage at www.yukoncollege.yk.ca by clicking MyYC Login.
Login Information
Students returning from previous semesters – please use the username and password you used last term.
New students – please use the following: Log In ID:
Your login ID is the first initial of your first name and your full last name (no spaces or hyphens).
For example: John Anderson’s login ID is janderson; John Anderson-Cooper’s login ID is jandersoncooper Password:
Your password is your Banner Self-Service PIN; If you’ve never logged into Banner Self-Service, the default password is your birthdate in DDMMYY format.
For example: John Anderson’s birthdate is January 31, 1980 so his password is 310180
When you log in the first time you will be asked to change your password, and select two verification questions. The new password can be any combination of letters and/or numbers between 6 – 64 characters in length. The two verification questions are mandatory and will be presented to assist you with password recovery.
Once you successfully log into MyYC you will see the Dashboard. To access your email, click the E-mail link under Personal Tools on the left side of the screen.
