The KeyMed® Scheduler is the most flexible,

user-friendly and efficient scheduling system available today. Schedule by multiple selection criteria. The scheduler, which is color-coded by resource and location allows your staff to quickly identify where and when each physician is working on any given day. KeyMed allows the user to view multiple resources on one screen to compare calendars and reschedule appointments quickly and efficiently, minimiz-ing any inconvenience to patient and staff. The KeyMed Managed Care Interface prompts the user whenever a referral is required for a patient. Information is entered prior to the patient’s arrival — time and frustration for your patient and staff are significantly reduced. The First Available search feature allows your staff member to provide a patient with an ap-pointment that most accommodates his or her schedule. It allows searches by physician, loca-tion, appointment type, day of the week, date or even a specific time.

You can quickly view multiple schedules side-by-side for your practice. Then by simply double or right clicking the appointment slot, KeyMed® will allow the user to easily

Billing can be as unique as the individual who manages it. KeyMed® posting allows your

staff to post charges, payments and adjustments multiple ways — visit/transaction, bulk or line item. From the EHR the charges will appear in the Inbound Queue.

Visit/Transaction posting allows the user to post charges, payments and adjustments from the same screen with a patient tree view (see figure above). This screen allows for easy access to patient information (i.e., insurance information/copays, etc.). Bulk Posting provides the ability to use only the keyboard to post charges from a stack

of superbills.

Line Posting allows you to quickly enter insurance payments from your EOBs. Inbound Queue brings in charges from KeyChart EHR electronically but still allows

your billers to verify the CPT, diagnosis codes and insurance information.. The KeyMed posting section also offers automated features that you define. These fea-tures include timely insurance filing, re-filing, automated posting of co-pays and auto-distributing payments across visits.

1. Not choosing a vendor that offers ophthalmic- specific software

If the software isn’t tailored for ophthalmology, you may not have the option to choose OD or OS in your EHR. You likely wouldn’t be able to easily enter refractions and visual acuities. You likely wouldn’t have a graph of your intraocu-lar pressures. You may not even have the ability to draw.

2. Not choosing software that is ONC Certified to the 2014 Edition of Health Information

Technology

If your EHR software is not ONC Certified HIT 2014 Edition, you will not be able to meet Meaningful Use for 2016 and 2017. This means you will automatically be taking the Medicare penalty. You would not be able to file your PQRS from your EHR.

3. Not choosing a vendor with US-based support and training employees

If your software vendor is trying to save money by employing overseas contractors to answer your telephone questions, they may not understand your questions and may not be able to provide answers in a timely manner. If the vendor chooses to use outside contractors for training, your training experience may be a waste of time and money if the contrac-tor isn’t knowledgeable in the software or if your pre-installation information isn’t passed to that person. Even if the con-tractor knows the software and receives your pre-installation information, you will likely never get to speak with him again after your training. You want trainers who will be available post training to answer questions.

4. Not seeing a full demonstration of the software

The best way to know what the software will do for you is to see a demonstration of the software you are interested in performed by a knowledgeable employee. Ask all of your questions. If there are functions your present software does, ask to see how this software performs like tasks. Don’t assume that just because your present software offers this feature that the new one automatically will. A good vendor will welcome your questions and will want you to feel comfortable with the software before you buy.

5. Not obtaining a complete quote before purchasing

A reputable vendor will provide a proposal showing you what software, hardware (if applicable), training, and support you will receive for your money. They will be able to answer your questions about what kind of hardware you need and what hardware you can use that you already have. They will be able to answer your questions about what kind of Internet connection you will need.

Don’t

gamble

with your practice!

These problems are all too common...

Problem:

The vendor you chose didn’t create a good conversion and

imple-mentation plan for your practice’s specific needs.

Cause:

The vendor’s implementation staff did not spend time talking with you

to determine your needs. They didn’t prepare to obtain data from your previous vendor in a timely manner. They didn’t prepare interfaces and connectivity prior to your training. Your practice wasn’t signed up with the clearinghouse so you could send your claims in a timely manner.

Result:

Your data isn’t converted on time to be put into your new system. Internet and hardware aren’t in place when you need them. Claims aren’t being paid because you aren’t signed up with the clearinghouse. Money isn’t coming in. Disaster!

How to prevent this:

Question your vendor of choice on their

implemen-tation process. Talk to references on how their implemenimplemen-tation was handled. If you have chosen a vendor and this process doesn’t seem to be going right, and if you can’t get answers that satisfy you that the process can get on track, check into cancelling this purchase.

Problem:

Unrealistic expectations from the salesperson

Cause:

The salesperson didn’t spend the time to show you what the software

does and doesn’t do. Instead, the salesperson answered your questions with answers like, “Now you would expect good software to do that, wouldn’t you?” He didn’t tell you or show you how the software performed the feature you asked about, but he led you to believe that his software did what you wanted.

Result:

You didn’t receive the important features and services you expected.

How to prevent this:

Ask to be shown how a feature works. Most

fea-tures can be demonstrated, but some feafea-tures such as sending claims to a clearing-house or posting ERAs probably can’t be demonstrated. Ask references about these features.

 Our software is designed for ophthalmologists with direction from ophthalmologists. Our EHR handles ophthalmic drawing templates, interfaces with your ophthalmic equipment, handles OD, OU,OS with ease, and provides IOP graphs. Our software correctly handles claims, eligibility, patient portal and referrals in and out of your practice. Our point-of-sale optical shop software can handle your glasses, contact lenses and other items sold in your optical shop.

 Software not designed for ophthalmology may not properly handle left and right eyes. It is unlikely that it can deal with refractions and intraocular pressures. Interfacing with your ophthal-mic diagnostic equipment is unusual. Forget about graphing your IOPs, and optical shop software is non-existent.

At Raleigh Ophthalmology, we use KeyMed for our practice management software. It has served us well since 2007—scheduling is quite simple and billing works well with payments received timely. It has customizable reports that capture data in different formats. We added KeyChart (EMR) in 2008. One feature we like a lot is the ability to customize templates based on the sub specialty aspects of our practice. We can also make changes on the fly which reduces the need to call support. We have had technicians join us from other prac-tices with EMR who have remarked how much they like our EMR due to the design and ease of use.
