INTRODUCTION

The Secure File Transfer tool allows files to be transferred (sent or received) securely. This tool is available from the OMSNIC and Fortress websites. The websites for OMSNIC and Fortress can be accessed from www.dds4dds.com. Users do not need to be logged on to, or have a User ID for, www.dds4dds.com to use the Secure File Transfer tool.

Secure File Transfer should be used for, but not limited to, a file that:

Contains information covered by HIPAA

Contains legal documents

Is large in size

ACCESSING THE SECURE FILE TRANSFER TOOL

To begin Secure File Transfer, click the Secure File Transfer link on the left side of the homepage.

REGISTRATION

For a first time user, registration is required. The process can be triggered by:

Self‐registering on the OMSNIC website

An invitation sent by email from OMSNIC

SELF‐REGISTERING

To self‐register, follow the steps below.

1.

Click on the Secure File Transfer link on the OMSNIC homepage.

2.

Click on the register here link in the Registration section of the page.

Enter the required information (indicated by *) on the Secure File Transfer page. Click on Register.

Upon completion of the self‐registration process, an activation email will be sent to the email address you provided during registration. The email will contain an initial system generated password and a link to the Secure File Transfer site. The password may be changed using the “User Preferences” link discussed in this User Guide. Below is an example of the activation email.

Click Log in to transfer files to log in to Secure File Transfer.

Enter the email address and password provided in the email.

6.

Click on the Log In button to log in to Secure File Transfer.

7.

Click the Continue button.

The package can be sent or received from here. For more information on how to send or receive packages, see “Sending a Package (files)” or “Receiving and Accessing a Package (files)”.

REGISTERING VIA AN INVITATION SENT BY EMAIL FROM OMSNIC

OMSNIC may send a file through Secure File Transfer, to a user who does not yet have an account. In such a case, the recipient will receive an email message. Click the hyperlink on the word here to verify the intended recipient.

1.

The email message will contain your login information and a link to the Secure File Transfer login page. From the email, click https://files.omsnic.com/rmft/bhub.cgi. The screen below will display.

Enter the email address and password provided in the email.

3.

Click on the Log In button to log in to Secure File Transfer.

4.

At a minimum, enter the information required (indicated by *) to complete the account creation process.

5.

Click on the Continue button.

6.

The Package sent to you will be listed. Click on the Subject to open the document.

CHANGING YOUR PASSWORD

The system-generated password received in the activation email can be difficult to remember. Therefore, it is a good practice to change your password.

1.

To change your password, click on User Details in the left hand menu.

2.

Enter your current password in the Current Password text box.

3.

Enter your new password in the New Password and Verify Password text boxes.

4.

Click on the Apply button to save and change your password.

SENDING A PACKAGE (FILE)

Navigate to the Secure File Transfer site by following the link provided in the activation email; by selecting the “Log In” button in the right hand column of the Secure File Transfer webpage, or by following a saved

“Favorites” link.

1.

Log in with your user id and password.

2.

Click on the New icon in the left panel section.

A new window will open. Enter the information below.

a. To: Recipient(s) email address. Package can be sent to OMSNIC or Fortress only. (i.e. – an email address ending with omsnic.com or fortressins.com.

b. Subject: Brief description of package being sent

c. Message: Identifying information such as policy number or claim number.

Add the files to be included in the package.

3.

Click on the Send button to send the package to the recipient(s) included in the ”To“ section. A notification email will be sent to the recipient(s) informing them of a package waiting to be received.

Recipient email addresses MUST end with “omsnic.com” or “fortressins.com”. If not, the following error dialog box will display. Check for any typing error. Corrections can be made on this screen.

RECEIVING AND ACCESSING A PACKAGE (FILE)

A notification email message will be received by the recipient(s). The message will contain information provided when the package was sent, as well as a link to access the Secure File Transfer site to retrieve the package (files). Below is an example of the email being received by recipient(s).

Click the here link in the notification email message to access Secure File Transfer.

2.

Enter the user ID and password and click on the Log In button to log in to Secure File Transfer.

1.

To download the file(s), mark the checkbox located next to each file name. Click Download to start the file download.

The “Browse for Folder” window will open.

A new window showing the transfer (download) progress will be displayed. Upon completion of the transfer, click Done to return to the Secure File Transfer Inbox.

Packages can also be accessed by logging into Secure File Transfer and navigating through the Inbox.

When navigating through the Inbox, a list of all the packages you have received will be displayed.

PACKAGE (FILE) AVAILABILITY

The Recipient has 30 days to access the attached documents in a package. All packages will expire after 30 days.
