Kofax Front-Office Server Configuration Guide for Microsoft Exchange
Kofax, Inc. 5
Introduction
This guide shows how to configure Kofax Front-Office Server to send documents by email through a Microsoft Exchange server. When you release a document to email, index fields appear for entering recipient email addresses, a subject, and any message you want to provide. Click the Lookup button to the right of an email address field to open a window where you can select addresses from the embedded database, the Contacts folder, or the directory service.

System Requirements
Before configuring Microsoft Exchange and Kofax Front-Office Server, do the following:
Install Kofax Front-Office Server.
Make sure that the Microsoft Exchange server is connected to a network that is available to
Kofax Front-Office Server.
Setting Up User Accounts
Kofax Front-Office Server and Microsoft Exchange use separate security systems. To send documents to Microsoft Exchange, you need to log on with a valid Microsoft Exchange user account as follows:
Users sending documents through Kofax Front-Office Server Web Client are prompted to
enter a Microsoft Exchange user name and account when they expand the list of destinations. Once they have logged on successfully, the credentials are saved.
Administrators setting up global and group shortcuts can save a Microsoft Exchange user
name and password for the Microsoft Exchange destination type. The credentials are used as defaults when creating shortcuts for Microsoft Exchange destinations. Administrators can override the defaults by assigning different user accounts to individual shortcuts. After the credentials have been saved, users or administrators are not prompted for a Microsoft Exchange user name and password unless they were changed.

To display an email destination on the MFP front panel, create and deploy shortcuts with Kofax Front-Office Server Web Client and Kofax Front-Office Server Administration Console. Refer to the Help for these applications for information.
About Email Address Lookup Fields
In the Web Client and HP MFPs, Lookup fields retrieve email addresses and fax numbers from these sources as follows:
A table in the Use for the name of the product. For example Ascent Capture database: users
with data for the particular search (email address or fax number) will be returned from the search. This search is automatically enabled: no configuration is needed.
The users in the connected directory service: users with data for the particular search
(email address or fax number) will be returned from the search. This search is
automatically enabled: no configuration is needed. Of course, for configurations not using a directory service nothing will be returned for this source.
The Microsoft Outlook Contacts list of the logged on user. Contacts matching the search
criteria and that have data that match the search type (email address or fax number) will be returned in the results list. To enable the Contacts search, follow the instructions in To configure Kofax Front-Office Server for Microsoft Exchange below.
Important For the Contacts list lookup to work, Outlook must be configured with the
Kofax Front-Office Server Configuration Guide for Microsoft Exchange
Kofax, Inc. 7
Refer to the Kofax Front-Office Server Administrator’s Guide for information about these data sources.
The data retrieved from the Kofax Front-Office Server database, directory service, and personal address book is combined to create the list that appears in the Web Client and HP MFPs.
Frequently Asked Questions
If the software does not work correctly, or if you have questions about how the software operates, refer to the information in this section. You can find additional information and software updates on the Kofax Web site.
Why does Microsoft Exchange not display as a destination type in Kofax Front-Office Server Web Client and Kofax Front-Office Server Administration Console?
Check the following:
Make sure you have performed the procedures shown in Configuring Kofax Front-Office
Server on page 6.
Enable the Microsoft Exchange destination type in Kofax Front-Office Server
Administration Console.
Refresh the browser window.
What address book appears when I click the Lookup button to the right of an email address field?
Kofax Front-Office Server Web Client retrieves the email addresses from your Contacts folder. If you need an email address that is in a different address book, copy the address into the Contacts folder.
How do I send documents to a destination from the MFP?
Create shortcuts in Kofax Front-Office Server Administration Console and Kofax Front-Office Server Web Client. Shortcuts created with Kofax Front-Office Server Administration Console are available to all users of an MFP. Users can create their own shortcuts with Kofax Front-Office Server Web Client.
Why am I unable to email documents with Microsoft Exchange from the MFP?
Make sure that you have established credentials for a Microsoft Exchange user in Kofax Front-Office Server Administration Console. Refer to Setting Up User Accounts on page 5.
Why do I get an “insufficient space to store resource” error message when I attempt to send a document to Microsoft Exchange as an email message?
The size of the document cannot exceed the size that is configured in Microsoft Exchange for receiving a message. For assistance, see your system administrator.
