RESENTATION OF THE VERSION

Version 14 provides numerous functional evolutions over the entire application.

This document is intended to present each new feature so that you can use them as quickly as possible.

Some of these new features are available as standard, and others are connected to sales options. They will be specified systematically in this document.

Availability:

The new Kelio "Light" Planning module is available in version 14 - In France for Kelio Prima range customers

- For Export, for Kelio Prima R2 and Intégral R2 customers

This module enables the collective management of employees' schedules, rest, absences and activities1. Your organisation's entire complexity is brought together on one global and centralised screen.

This module's intuitive and high performance ergonomy allows you to act individually or collectively on your planning. The information available is clear, accessible and updated in real time. Your assignments are checked by Kelio's powerful anomaly management and you are alerted immediately to any planning errors.

Powerful individual or collective indicators enable you to monitor the impact of your planning on your totals and results at all times. Customising them lets you work on both estimated and actual totals.

The light planning module is centralised between all Kelio users. The application is shared by everyone, which means that no manual file sharing is necessary.

4.1 A

REAL COMPANY PILOTING TOOL

4.1.1 Vital HR tool

The new Kelio Report module, available from Prima and across the whole Kelio range, will become your vital tool for managing your company piloting and help you prepare your company analysis.

In fact, Kelio Report provides you as standard with a set of management indicators and statistical tables that will help you with your day to day human resources management.

Your HR teams will now be able to find, measure, consolidate and analyse all the key indicators for their human resources to take the right decisions in terms of recruitment, career development, safety or training.

This gives you all the tools you need for your different steering committees or management reviews: management indicators and numerous graphic views.

4.1.2 The standard management indicators

From your Kelio production base, Kelio Report offers you a set of standard management indicators which enable you to use and consolidate a range of raw employee data.

These management indicators will become piloting tools for your company's different departments. In fact, these reports may be grouped together by theme:

- Personnel administration: Age pyramid, staff distribution by status and contract type, gender, age, seniority, nationality, etc.

- Personnel movement: Number of recruitments by status and by contract type, number of departures by status and reason for departure, etc.

- Absenteeism: Global absenteeism rate or by absence type (sickness, paid leave, etc.) absenteeism rate by gender, by status, etc.

- Health and Safety Commission monitoring: Seriousness of accidents at work and their frequency rate, etc.

Other reports will be added as the versions are developed. Come and have a look!

4.2 E

NHANCED MANAGEMENT INDICATOR CUSTOMISATION

4.2.1 Setup customisation

Thanks to its enhanced report engine, Kelio Report lets you set up the values for your management indicators: population, section, step, etc.

You may also customise your graphs by adding a title and comment and rename the documents you generate.

An explanatory phrase describes the result of each report.

You choose how you want to circulate your statistical reports:

- Immediate generation

- Sending by email with choice of recipient email addresses - Saving of the report in a specific folder

- Placing of the management indicators on an ftp server (practical for sharing reports with subsidiaries, etc.)

An automatic function can also be configured to receive this statistical table periodically (day, week, month) and according to the distribution mode. This is ideal if your Management wants indicators at the start of each month for their monthly meeting... Automate their generation!

4.2.2 Excel: a powerful tool that everyone knows

After configuring your management indicators, Kelio Report will then generate your reports in a familiar tool that everyone knows, Excel.

Generating these reports in Excel also lets you use all of this tool's configuration, saving and customisation features.

4.2.3 Customisation of the graph generated and other tabs

You will be able to customise your report in a few clicks by configuring the titles and comments, modifying the colours and format of the graph, or even by modifying the filters and value combinations.

Different tabs are created when the report is generated in Excel: - "Graphic": graphic presentation of the management indicators - "Dashboard": data table (combined dynamic table)

- "Results": presents key information about the report generated: version, number of employees processed and list of errors, where applicable.

Finally, if you need very specific reports related to your company or sector of activity, you can create them. Please contact your Bodet sales engineer.

5.1 SMS

AND EMAIL SENDING

5.1.1 A vital function

A new notification send from planning function has been added in V14. This action is possible in resource view and posted view, in standard, advanced and light planning.

The principle is to enable the administrator/planner to warn one or more of their colleagues quickly if the planning is changed.

The idea is to use telecommunications resources to broadcast the information: send an SMS and/or an email.

In fact, the planner/administrator plans an absence, modifies a schedule, adds an activity and so on. They can now send a warning message to the people concerned.

The planner clicks on any day or employee and may make a group send by selecting a set of employees over several days. They right-click and select Send notification message. This notification message may be an email or an SMS3 .

Usage examples:

Ex 1: A planner moves an employee who normally works mornings and adds them to the afternoon team.

Ex 2: A planner schedules training over 3 days for the whole marketing department.

Ex 3: A planner modifies an employee's workstation: instead of working in building A, they'll work in building B.

5.1.2 The advantages of this functionality

• Save time for planners by sharing information quickly

• Inform the employees concerned by these modifications in real time

• Improve employees' reaction times and so the company's overall productivity by informing them in real time of new working timetables.

5.1.3 Sending messages by SMS

After one or more employees are selected over one or more days, here is the screen for sending messages by SMS4.

Depending on the planner's rights, they can access all or certain telephone numbers. They can then choose the number(s) to send the message. If they make a selection error, the planner can uncheck a name if the person is not concerned by this notification.

The names in red and bold correspond to employees whose telephone number concerned is not entered in their file. So, the message will not be sent to this person.

The planner may enter up to 140 characters. A countdown of the number of characters remaining is indicated to make it easier to draft the message. Clicking on OK will send the same message automatically to X employees.

5.1.4 Sending messages by email

The same pre-selection is necessary when sending an email.

The following screen opens, offering the choice between business and personal email addresses.

It is the same systems with a set of colours for employees if an address is not entered.

Unlike SMS messages, there is no size limit for the body of the text. A subject may be entered.

You can receive a copy of this message by entering an email address. The message may be sent by clicking on OK.

Customising the message:

You can also customise the email by selecting the information you want to add to the bottom of it: daily schedules, absences, activities, etc. in order to complete your email and send information directly from planning.

A preview of this information is available by clicking on Preview.

The message's content and associated setup is kept between sends (via SMS or email) to enable you to react more quickly if an emergency occurs.

5.1.5 The advantage in configuring rights

The idea is to enable you to activate or deactivate the sending of a notification message by SMS and/or email if the planning is modified.

It is relevant to add this setup to the rights to avoid sending excessive numbers of SMS, which may very quickly become costly for the company if this option is available to everyone...

CCESS MODULE FEATURES

Searching in Kelio Protect and Security has been significantly improved. Searching is now multi-criteria and is no longer limited to surname and first name. The full effectiveness of this new feature can be seen with the quick search for a vehicle's owner via its registration plate.

The search field is one complex field among all the columns. The columns that can be displayed for this search field are the surname, first name, badge 1 and 2, section, Id. number, title, telephone number, post code, personal code, extended timeout on access points, anti pass-back, super pass right visitor receiving right, activate specific schedules, access profiles and free and predefined fields.

This search field is also present for visitors.

The columns that can be displayed are surname, first name, company, title, identity card, passport, driving licence, business telephone number, other number, email address, address, post code, town, section and free and predefined fields.

7.1 V

ISIT PLANNING ERGONOMY

The visit planning ergonomy has been reviewed for easier use!

The action buttons are directly linked to the planning. A shortcut has been created to the access opening.

A search by completion button enables you to look for visitor very quickly by entering any data in the lines concerning the visit.

The filters are available in the lower part of the planning. In addition, quantity has been added to these filters. You can very quickly see how many visits are in progress!

With this new version, you can now see more information, in particular the model, the free fields and the predefined fields.

The customisation of the columns is saved.

7.2 T

HE VISIT MODELS

There is now a new concept in the visitor module: the visit models. In fact, the visit file was restricted to certain concepts and made entry more complex for users. Entry has now been simplified by creating a visit model where you will choose the concepts to be displayed. For example, you may create a "pedestrian" visit model, whose concepts to be filled in are just the surname, first name and company.

Each of these concepts may be presented, hidden, visible and modifiable. Only the concepts that interest you must be present. However, there is a right in the profiles to see and modify the concepts that are hidden and in read only. For example, a caretaker can see a quantity that is to be delivered but cannot modify it. Another person with more rights will have first created the visit with the associated quantity.

There are many advantages to this sort of customisation; here are a few examples:

- Have visit models with different access profiles, so, depending on the model, the visitor will have the associated access rights. This simplifies the caretaker's tasks! - Automatically alert the person being visited that their visitor has arrived

- Effective and simple entry for the caretaker; possibility of only giving creation rights so that the caretaker does not create duplicate visitors

- Automatically close a visit by clocking on a dedicated reader (ideal operation for the badge collector)

7.3 A

CCESS OPENING

The reasons have been added for manual access opening. Their creation is identical to that of a predefined field and enables a fixed field to be filled in.

In addition, the access may be opened from the visit planning. This is a shortcut linked to the visit model.

So, to open an access for a visitor, you simply need to select the line that relates to them then click on access opening. The person and the accesses concerned are automatically pre-filled. This shortcut is very practical when managing visitors.

In the graphic supervision, the door , barrier , portal , turnstile and drum

icons appear. The indication on the access status has been improved.

New graphic elements are present, such as the entry of a text on the plan or the positioning of an arrow. The plan (jpeg image) may be kept in the graphic supervision display.

The new Bodet Kelio Pass access reader simplifies the range and offers a new connection mode on this type of IP POE product.

There are 5 basic models available in 4 versions. The models are:

- RS 485 125kHz (a single model for STID and HID)

- RS 485 Mifare CSN

- RS 485 Mifare Desfire Bodet No.

- IP 125 kHz (a single model for STID and HID)

- IP Mifare all options (CSN 4 and 7 bytes; Mifare classic Bodet No.; Mifare Desfire Bodet No.)

These 5 models are available in:

- Black and white model

- Grey and white model

- Overlapping vandal-proof model

- Embedded vandal-proof model

The new Desfire Bodet No. reader has the most secure communications mode on the market. The IP POE model enables easier installation, notably in time and attendance management with activity clocking and cost centre.

The vandal-proof models also have these new features. This new reader marks a new era in Bodet design. The breathing logo and the sound identity have been registered. Black and grey front panel colours are available.

The Mifare Desfire is also available for all your Visio, Prio, TCL 17 and table reader equipment. Only the biometric access reader does not have this new feature.

125 kHz STID and HID technology is now available for both these two readers.

Kelio V14 now enables up to 8 Aperio posts/cylinders to be managed with a single hub. This system is ideal for managing a corridor of doors.

Available in Mifare Desfire Bodet No., this product benefits from the latest secure encryption, identical to the new Bodet reader.

An antenna is also available to change the hub broadcast time into an oval rather than a circular shape.

11. T

HE TOUCH TERMINAL

The virtual keypad is now present on the touch terminal. It enables all the text fields present on our Intranet to be entered.

In addition, the terminal has been improved in mechanical terms, with a stylus for more precise navigation.

12. P

OST AND BADGE COLLECTOR

Automatic visit closure in Kelio Protect and Security is accompanied by the integration of a badge collector. Ideal for installation on a post, you can manage your visitor entries/exits with simplified badge management.

The post to accommodate the collector can be sold on its own to attach an intercom or reader to the front.

Otherwise, there are three references depending on the technology chosen (STID, HID or Mifare).

The models are equipped with a badge reception tray that can be accessed by a side door. This grey-coloured model is available in two versions:

- Light vehicle

- Light vehicle + heavy vehicle

HE NEW BADGES

After the plastic cards and keyrings, we are now offering a new leather badge. This attractive badge is available in 125 kHz or Mifare Desfire Bodet No.

The Desfire badge is also available in patch version; this is an ultra-fine sticker with a reading head inside. This patch may be stuck onto certain badges with different frequencies.

You can now make an absence request via a Smartphone.

The entry modes possible are date to date, date to date with half day and date to date hour to hour.

As on the Intranet, you select the type, then the entry mode and the dates. A comment field may be filled in before the request is created. You can consult your requests in progress and your balances at any time.

In addition, if you have a validator profile, you can process your requests via your Smartphone. So, you can access your employees' absence files to validate or refuse them. Thanks to your telephone you will be able to validate all your requests in one go for more simplicity.

ANAGING PRESENCE TIME FOR A THIRD PARTY

With Kelio Mobile you are now independent to record your team's presence times. On a site or for a mobile project, as manager you validate your employees' presence via your Smartphone.
