Based out in Florida, the team of Arc Laser Tag Arenas is one of the leading providers of laser tag arenas in the US. They offer customizable solutions to its customers by listening to their requirements and then coming up with the best suited proposal. The end result is always a unique laser tag arena for each of its customers. Arc Laser Tag Arena is a preferred choice because it likes to

experiment, innovate and deliver a laser tag arena that is always different from anyone else’s version.

Their sales team connects with each customer from the very beginning and tries to understand their requirements, their site and their market and helps them to create an arena that is a sure shot winner and helps to generate revenue by attracting more and more people. Arc Laser tag arena is committed to delivering quality and service to each of its prospect as well as existing clients.

The Challenge – Why did we do it?

Arc Laser Tag Arena, in addition to a new website, also wanted to have a robust CRM system to track each lead that would come to it through the proposed website. They wanted to track leads as well as carry out detailed analysis for each site through the online system, such that it would enable a sales rep to coordinate with the prospective lead, note down their details and offer them the best possible package, which would include all laser tag arena features that would be offered to the customer. Apart from these details being captured under the system, the client also wished to have an automated proposal creation mechanism and once the customer agreed on a proposal, the final contract would also be generated through the system.

The website would need to have an inviting UI interface through which the existing work of Arc Laser tag arena could be showcased, so that it could attract more people. Also the ability for Arc Laser Tag Arena being able to update their website content from the backend was very much essential in order to market their latest products and services. The website would be mobile responsive so that that anyone could access it on any device including smart phones and tablets.

Our Solution – What did we do?

The business analysis team at Technousa started with the requirement gathering from the client through telephonic meetings as well as captured relevant details from their already in use artifacts like proposals and contracts and after careful analysis came up with the complete website flow using wireframes. These wireframes were then discussed with the client and as per any suggestions / changes from client side; the final software specification document was drafted. As per the system requirements, Technousa proposed this system to be developed in .net MVC with the backend as SQL Server 2012.

We did the complete UI designing for the website and produced mobile responsive designs which were instantly approved by the client as he was very pleased with them.

The front end comprised of some trivial pages like the home page, about us, products, services and testimonials, the content for all of which could be managed through the backend CMS.

The website also had an attractive gallery to showcase the best work of Arc Laser Tag Arena and with the ability to mark their recent works in the gallery. The entire gallery module could be managed through the CMs. The main functionality in the front-end was the “Request for Quote” functionality which was present on almost every page of the website. This was the main point through which existing or new clients could express their interest in Arc Laser tag arenas and all the leads coming in through the request a quote module would be tracked through the backend CRM system.

Apart from the short “Request for quote” forms the website also offered the visitors to fill in a detailed “Request for quote” form which captured much more details related to the site, products that the client is interested in as well as any other requirements which would allow the sales representative at Arc Laser Tag Arena to understand the client requirements more easily.

Apart from “Request for Quote”, Contact Us page in the front-end also captured the interested customers, which would be tracked by the sales rep and if required could be treated like a normal lead.

The Admin / CMS section would be used to update the static page content in the front-end like for About Us, Why us, Services pages as well as some sections of the home page.

The admin section would also be used to add / edit Products (which would be different arenas) as well as product items (used in building each arena) along with it’s per square feet price or per piece price or both depending upon the type of product item.

Admin would also be able create new packages as well as edit / delete existing ones. Each package would have per square feet cost based upon the various product items that would be used to build the laser tag arena. The “per square feet” cost of a package would be calculated through the system based on the product items added to the respective package.

The main crux of the CRM system would be the ability to manage clients and their sites from the admin area. Each client could have multiple sites and each site would have its own details, as filled through “Request For quote” functionality and more details could be added / updated by the sales representative who would be in touch with the customer to know their requirements.

The site section would have comprehensive details like:  Details of the site – its type, size, location, etc.

 Number of rooms under a site and their respective size.

 External contractors involved in the project and their contact details.

 Product items that the client desires to have on their laser tag arena along with whether it would apply site wide or only to specific rooms.

 It would also capture any other notes from the client in a timeline fashion.

Once the requirements from the client are clear, the sales rep can create new packages or select from the available ones, select a suitable proposal template and create a detailed proposal which would have

placeholders where data would be populated from fixed content as well as other details under the respective site. The sales team member can edit each section of this proposal and then save it to generate a final proposal pdf, which can be sent to its client for approval.

Multiple proposals can be created for a site till the client is happy. Once a proposal is approved it can then be used to generate a final contract. Again the contract would be based on a specific package and have various details as per a contract template and the various sections of the contract can be edited by the user before saving the final contract pdf.

The sales representatives can also be added / edited / deleted through the admin section. When a sales representative would access the admin section they would have access to specific sections only like client / site management, proposals and contracts whereas the main admin can manage the entire site.

Last but not the least, this entire custom CRM has been integrated with Pipedrive CRM, thus allowing the leads through the front-end to be managed through the Pipedrive deals as well. The website CRM can operate either in custom or Pipedrive mode as per Arc Laser tag Arena’s requirements.

The mobile friendly website has helped Arc Laser Tag Arena to reach many remote parts of US and as result the organization has built many small to large and simple to complex arenas in the last few months. The online presence and ability to track each lead through the system as well as Pipedrive, have enabled the sales representatives at Arc Laser Tag Arenas to handle many more customers and also given the higher management the much required visibility of the ongoing work and its progress.

With many fold increase in clients, the revenue generation of Arc Laser tag Arena has gone up considerably and the client is very happy to reach a much wider customer base and plans many more future enhancements to the system in order to become a key player in this field in all regions of US.
