Management System & Philosophy

BT Transport & Logistics embraces the philosophy of Quality Systems and strives for continuous improvement. This section outlines how we do this.

Our management systems incorporate regular meetings, characterised by free and open discussion, together with systematic performance monitoring and business planning activities.

Management review meetings are scheduled monthly and consider a number of aspects such as monitoring key performance indicators and service level performance criteria. Other regular management meetings are concerned with forward planning issues or client relations.

All staff are coached by their supervisors in operational improvement and KPI management.

At BT Transport & Logistics, our continuous improvement philosophy with a focus on quality is at the core of our business. Our QMS expands beyond statistical process control to embrace a wider scope of management activities, looking at how we manage the company and our people and focusing on the entire process, not just simple measurements.

Our QMS is a comprehensive management system which:

Our KPIs are linked to Safety, Compliance and Financial Performance, and the data is reviewed quarterly and targets adjusted accordingly.

Our Management System Principles

Our Quality Management System

focuses on meeting the customer’s needs by providing quality services at a cost that provides value,

is driven by the quest for continuous improvement in all operations,

views the whole organisation and its customers as an internal and external system with a common aim,

focuses on the way tasks are accomplished rather than simply which tasks are accomplished, and

emphasises teamwork and a high level of participation by all employees.

Safe work practice is always our priority, and we are committed to improving our safety performance even fur-

ther every day.

During weekly meetings team members are asked to identify situations in which COR was or could have been compromised in their recent operations and steps are taken to ensure any risks are managed and minimised.

BT Transport & Logistics has a team of people dedicated to continuous improvement and accreditation, and we are ISO 9001 & 14001 and AS/NZS 4801 certified.

Transmate Transport Management Software

& Components

BT Transport & Logistics’ Transport Management Software is Transmate. The software is tailored to the needs of the busi- ness and covers all facets of transport operations, warehous- ing and accounts, and comprises electronic document man- agement and many more features.

A key advantage to our customers is the web portal, which grants our customers 24/7 access to the platform that enables them to view information and retrieve Proof of Delivery docu- ments (PODs), and to book transport jobs.

As a paperless solution, Transmate allows for Sign on Glass and Online POD access. PODs can be accessed via our cus- tomer portal, but they can also be received instantly from the point of delivery via email (subject to mobile network coverage at the delivery location).

Our drivers use an app for obtaining an electronic signature, completing and submitting the POD and, where applicable, digitally attaching additional client paperwork.

BT Customer Portal via Transmate Online

Our online portal is available to all customers, and offers a range of functions.

Certain types of loads that do not need a bespoke logistics solution can be booked online for prior agreed rates. This option is ideal for recurring freight, as sender and recipient addresses can be saved. Our team will be happy to discuss this option with you and explain how it works.

Furthermore the portal offers customers to:

View a list of all consignments, and whether they have been invoiced

See if PODs have been received

Contractor Engagement

Contractor Engagement 2.0: BT-accredited A-Grade sub-contractors can find available consignments on the BT Loading Bay

How it works

The BT Loading Bay is BT Transport & Logistics’ very own online job board, exclusively available to BT-accredited sub-contractors. The purpose of the platform is two-fold: our sub-contractors can view available consignments around Australia and apply for those they are interested in doing, and it gives our customers flexibility with the peace of mind knowing all contractors engaged meet our strict compliance requirements.

BT Job Board exclusively available to accredited sub-contractors

As stipulated in these documents,

contractors and specifically sub-contractor businesses are required to be approved and on-boarded into BT Transport & Logistics.

We do this via our Contractor Management System: Rapid Global’s Rapid Contractor Management.

The system requires sub-contractor businesses to provide evidence that is verified of their accreditation with NHVAS and / or WA Heavy Vehicle Accreditation, and Insurances (Worker’s Compensation, Motor Vehicle / Plant & Machinery comprehensive, Public Liability, Trailers in Control, Marine, Commercial Motor Policy Third Party Property Damage). Other documents also required include, but are not limited to, Prime Mover Speed Limiter Certificate and Heavy Vehicle Registration Certificate(s). Until all required documents have been verified within the Rapid Contractor Management system, a sub- contractor will not be approved to use.

Sub-contractor employees are required to be added and inducted into BT via our Rapid Global Management System module Rapid Induct. This requires all sub-contractor employees to complete the required BT induction process including: BT Induction – General, BT Induction – Transport, Heavy Vehicle Roll Over Prevention Awareness, supplying all relevant licences and / or tickets i.e. Drivers Licence, High Risk Licence – Forklift. All uploaded documents are verified by BT compliance staff.

Furthermore, the Rapid Contractor Management platform assists BT, our sub-contractors and their inducted employees with managing expiring and expired documents. The system provides notifications of upcoming expiry dates of licences and insurances, allowing the BT Compliance Team to request renewals prior to the expiry to avoid service interruptions.

Upon documents being expired, BT Operations staff are unable to select sub-contractors, vehicles or a sub-contractor driver via BT’s Transport Management System Transmate, if they have been suspended in the Rapid Contractor / Induct portals.

Contractor onboarding is paperless and available 24/7 via the online Rapid Contractor Management platform

BT Transport & Logistics has in place a Contractor Management Standard:

HSESTD30 - Contractor Management, as well as a Procedure: HSEOP090701 Contractor Management.

Contractor Management

Our team then gets in touch to confirm the job, and once the consignment is

covered, they remove it from the Loading Bay.

The consignment itself is

processed paperless, via the BT Transmate App.

How it works is simple: Our BT

Operations staff post details of available consignments, such as date, pickup and delivery locations, type of load, and any additional info that may be required.

Registered subbies can then view the listings and easily apply with the click of a button.
