A BRIEF

“e-TimeDESK” Employees Leave and Attendance Management Software is a comprehensive Web based Attendance Tracking software. It works with the desktop edition to give more flexibility to organization where the units are located at multiple places and/or transparency is maintained between the employees. The software has the advantage that the employees can feed the leaves as well as get the approval of the same through his boos.

The software can be directly installed on your intranet / internet and depending on the user privileges, the user/HOD/Top Management can track the attendance.

Note : Due to constant upgradation and addition of new features the look of the software can change. However the utilities to be provided will remain the same.

KEY FEATURES OF THE SOFTWARE

A. DYNAMIC LEAVE TYPE

The software has the feature of Dynamic Leave in the sense that any leave declared in the Desktop will be automatically reflected in the Web based software.

B. TWO TIRE APPROVAL PROCESS (OPTIONALLY CAN BE CHANGED TO SINGLE TIRE) This application developed has 3 level structure concepts.

First user submits the leave through the leave request form. This Leave is transferred to his first level authority for Approval. After Approval by first level, the leave application gets transferred to second level authority. If Leave is rejected by first level, it will not get transferred to second level. Second level authority can approve or reject the Leave.

If user himself is first level approval authority (HOD) in that case leave application will get transferred to second level for final approval. Second level authority can approve or reject this and it is the final approval or rejection of the leave.

C. BETTER TRANSPARECY /VIEW IN LEAVE/MANUAL ENTRY MODULE

Since the software has been developed keeping in mind full transparency, hence Leave Application is viewed in a systematic way.

Once the user submits the leave through the leave request form, the same is immediately viewed in the Leave Approval Window of the 1st Level Approval Authority. If 1st Level Approves/rejects, the same can be viewed prominently by the user

and the 2nd Level. If 2nd Level Approves/Rejects the same, the same can be viewed by user, 1st Level and 2nd Level.

D. ADVANCED EMAIL/SMS BASED OPTION

Once the user submits the leave through the leave request form, an email/SMS is automatically sent to the 1st Level

informing his that the user has asked for the Leave. This is done keeping in mind that the Approval Authority may not be logged into the Web based eTimeDESK at a point of time. Once the 1st Level Approves the Leave, an email is again sent to

the user informing him that his leave has been approved by 1st Level and the same email is sent to 2nd Level for Approval.

Once 2nd Level Approves, email is again sent to user as well as 1st Level informing the status of Approval/Rejection. SMS

option works if SMS Server is pre loaded in the server. E. ONLINE ATTENDANCE / LEAVE VIEW

The user can view his own Attendance & Leave Record in the software F. ATTACHMENT OPTION FOR SICK LEAVE CERTIFICATES The software has the feature to attach Medical Certificate for Sick Leave. G. OPTION TO ADD REMARKS

The software has the feature to add remarks for the Leave / Punch Approval and Rejection.

SCREEN VIEWS

The screen will depend upon the user rights. Like if he is a simple user then he would get :

• Home

• Leave Policy (if applicable and company has some Leave Policy)

• Attendance (To view his own Attendance in a concise form)

• Availed Leave ( The Leaves Details for the employee)

• Leave Request (To submit his Leave Application)

• Manual Request (To submit his manual punch request)

• Change Password (To change his login password)

• EALMS Help (Whom to contact for support)

• About E-TimeDESK (About the software)

• FAQ (Frequently asked Question )

• Sign Out (To log out of the system)

For Level 1 (HOD) and Level 2 (Top Management) in addition to the above he would be able to see :

• Leave Approval (To approve the Leave applied by his subordinates)

• Manual Approval (To approve the Manual Punches applied by his subordinates)

• Leave Records (To view the leave records of his subordinates)

• Reports (To view reports like Spot Late Arrival, Spot Absenteeism, Daily Performance, Daily Out Work and Monthly Performance)

1. Manual Request module

Manual entry is done when you are not able to Punch your attendance card so that you have an alternative option to submit attendance through this application feature.

PAYCODE, name, card number will be filled automatically when you will click the manual request form.

It is compulsory to fill Process date, in time and out time with date in 24:00 hour format as shown in the form. Remarks if any

Leave Approval This option will appear for authority level 1st and 2nd only.

The approval authority can view his employee working under his department.

First select “leave approval option” (upper) then select “leave approval” option in last click “Show status”

7. Leave Type , leave can be SL/CL type 8. Cause for leave.

11. In Level1 (LVL1) column :

• “Y” represent that leave application have been approved by first level.

• “N” represent that leave application required for 1st level approval. 12. In Applicable/Non-Applicable “A/NA” column :

• “Y” represent that Medical Certificate available.

• “N” represent that Medical Certificate available.

• Blank represent that other leave type and certificate is not required. 13. In “Certify.” column :

• “Show” represent that view the submitted certificate

• “N/A with pink color” represents that certificate not submitted. View leave rejected status :

First select “leave approval option” (upper), select “View Reject status” option then click “Show status”. In this option All rejected leave by 1st level and 2nd level will be shown.

View leave approved status :

First select “leave approval option” (upper), select “View approved status” option then click “Show status”. In this option All approved leave by 1st level and 2nd level will be shown.

Leave Cancellation

First select “leave approval option” (upper) select “Leave Cancellation Approval” option then click “Show status”

View Cancellation leave rejected status :

First select “leave cancellation option” (upper), select “View Rejected Cancel Leave” option then click “Show status”. In this “All rejected leave” by 1st level and 2nd level will be shown.

View Cancellation leave approved status :

First select “leave cancellation option” (upper) select “View Approved Cancel Leave” option then click “Show status”. In this option “All rejected leave” by 1st level and 2nd level will be shown.

Attendance Module

Attendance module: Click attendance option where you can view leave status. Select show button to view selected dates, attendance status will be shown in the grid view.

In this module leave status and attendance status will be shown. The attendance status represents summary of the attendance details.

Leave Records:

In leave records employee’s authority can see his/her employee’s balance leave status. To view this record select “Leave Records” option (upper) then click “View records” button.

In report module employee’s authority can see five type of report: 1. SPOT-LATEARRIVAL

2. SPOT- ABSENTEEISM 3. DAILY-PERFORMANCE 4. DAILY-OUT WORK

1 - SPOT-LATEARRIVAL :

In this report employee’s authority can find late arrival status of a particular as well as all employee status. For view status of this report first authority will select “SPOT-LATE ARRIVAL” and also select date then select click “Show Report” button.

2 - SPOT - ABSENTEEISM :

In this report employee’s authority can find absent status of a particular as well as all employee status. For view status of this report first authority will select “SPOT- ABSENTEEISM” and also select date then select click “Show Report” button.

2. DAILY-PERFORMANCE:

In this report employee’s authority can view DAILY-PERFORMANCE status of a particular as well as all employee status. For view status of this report first authority will select DAILY-PERFORMANCE” and also select date for which date then select click “Show Report” button.

3. DAILY-OUT WORK:

In this report employee’s authority can view DAILY-OUT WORK status of a particular as well as all employee status. For view status of this report first authority will select DAILY-OUT WORK” and also select date then select click “Show Report” button.

6. MONTHLY-PERFORMANCE:

In this report employee’s authority can view MONTHLY-PERFORMANCE status of a particular as well as all employee status. For view status of this report first authority will select MONTHLY-PERFORMANCE” and also select from date and till date then select click “Show Report” button.

Change password Module

In change password module employee can change current password. There are three fields and all field are compulsory fields to be filled in. 1st is Old password in this field you have to enter your current password , 2nd is New Password in this field enter new password and the 3rd field is to confirm new password this field must be identical or same as new password field(2nd field) restrict then click “Change Password”.

Employee has to remember that if User Id and Password is identical then suggestion for employee change password early from security reason.

Sign-Out

If you want to Sign-out from application just click out option. To properly exit from application use sign-out option.

In this menu only introduction of the company, license no. and other information

Help

Help option has two types of help, first is contact to internal person by mail second is Application manual. User has to click “Open manual” link option.
