LFF Filmmaker Services Co-Manager

Salary £36,024- £42,127 plus generous benefits package

Fixed Term Contract from 2 July - 2 November 2018

The BFI’s Festival team is looking for a Filmmaker Services Co-Manager, on a contract basis from 2 July through to 2 November 2018, to work alongside a the Programme and Filmmaker Services Manager to lead busy Programme & Filmmaker Services and

Hospitality teams, delivering a world class filmmaker experience at the 62nd BFI London Film Festival, to be held between 10 – 21 October 2018.

The post will work closely with the BFI LFF Artistic Director and alongside the Programme and Filmmaker Services Manager to plan and lead the team to deliver communications and services for filmmaker guests, from invitations and travel to accompanying filmmakers to Q&As and ensuring warm and welcoming filmmaker hospitality during their stay.

You will lead the team in raising investment from cultural partners to contribute to the overall Visiting Filmmakers Budget, which you will manage.

The post holder will also work with the Artistic Director and Programmers in maintaining excellent relationships with high-level external stakeholders, especially sales agents and distributors, to encourage co-investment in filmmaker travel while ensuring their experience of the Festival is highly positive and supports their business and cultural aspirations.

The successful candidate will have worked in Film Festival environments or related fields for at least five years, and will have experience of guest services and delivering complex objectives within given time and budgetary requirements. Demonstrable organisational and negotiation skills are a must, as is the ability to work under pressure, for long hours in key delivery periods. The post holder will also have excellent people management skills and the ability to maintain effective working relationships with a broad range of individuals, including internal as well as external colleagues and partners.

The package - salary and benefits

All roles at the BFI are individually evaluated. This role is graded at Level 3A and the salary range is £36,024 to £42,127. The pay points on the pay scale are:

£36,024 £37,470 £38,970 £40,527 £42,127

We would normally aim to recruit to the minimum point of the pay scale, but will match to the nearest point within our pay scale (where possible) the successful candidate's current salary within a similar external role, if that is higher than our minimum point.

Accountable to: Artistic Director of Festivals

Location: BFI Southbank

Main Aims

The BFI London Film Festival Filmmaker Services Manager will work alongside the year-round Programme and Filmmaker Services Manager to oversee a busy team whose aim is to provide primary communications with visiting filmmaker guests, ensuring that filmmakers have a world class experience while presenting their film within the Festival. The Programme & Filmmaker Services team are pivotal in making the festival a welcoming, vibrant and well-organised experience, ensuring that guests on all films will want to return to future BFI Festivals.

The Filmmaker Services Manager will be responsible for the visiting filmmakers budget and will seek co-investment from distributors, sales agents and cultural agencies, ensuring we can support the maximum number of filmmaker guests to attend.

This post will also oversee the team delivering Filmmaker Hospitality Services at the Festival.

Key Responsibilities

 Oversee a busy Programme & Filmmaker Services (PFS) team on all aspects of filmmaker guest services, including but not limited to travel and accommodation, car bookings, welcome packs and filmmaker dinners;

 Manage and support the Hospitality Assistant Manager to secure best deals for nightly filmmaker dinners and selected filmmaker delegate receptions;

 Ensure PFS team work closely with the Hospitality team to communicate hospitality and networking opportunities for filmmaker guests;

 Manage and recruit teams where required, working alongside Programme and Filmmaker Services Co-Manager post;

 Manage distributor, sales agent and key film partner relationships on all aspects of Guest Services, working alongside Festival Artistic Director, Festival Gala Producer;

 Production Manager and overseeing the Hospitality Assistant Manager;

 Work with Artistic Director and Programmers to identity key filmmaker invitations and to oversee the PFS team in their administration;

 Work with distributors and filmmakers to determine talent availability ahead of scheduling in early August;

 Manage the filmmaker travel and hospitality budgets;

 Act as lead point of contact with UK distributors on cost-sharing for filmmaker travel;

 Act as lead point of contact on cultural partners and embassies, securing additional funding to meet income targets for filmmaker travel, overseeing reciprocal benefits such as logo credits and ticket allocations;

 Work alongside Festival Programmers to communicate screenings schedule to rights holders ahead of going to print and track any updates;

 Contribute regularly to internal meetings and also Press team briefings, confirming Guests who will be in attendance;

 Oversee team communication with filmmakers, talent and distributors on all screening production details such as onstage times, running order, car

requirements; then update PR, Production and Venue teams to ensure smooth red carpet production, intros and Q&As;

 Oversee team to manage all ticket allocations for distributor and filmmaker guests, including communicating allocations; maintaining contact in the run up to screenings to allocate these guest tickets and releasing unallocated tickets to the Festivals Systems Co-ordinator in a timely manner;

 Contribute to Opening, Closing and Gala Guest Lists;

 Work collaboratively with Sponsorship colleagues to access in kind benefits and services for filmmaker guests, including monitoring hotel, airline bookings, being respectful of sponsorship relationships and helping filmmaker guest to access other in kind hospitality benefits where available;

 Coordinate Festival follow up with filmmakers, distributors and sales agents, including thank you notes, sample press coverage and reports on attendance where requested;

 Maintain excellent records on the shared database and in any personal spreadsheets, ensuring that these are handed over to the permanent Festival team;

 Produce a final report, and debrief with the Artistic Director and Programme and Filmmaker Services Manager (co-manager) after the Festival;

 Ensure that all BFI financial and procurement rules and procedures are adhered to;

Management

 To ensure that all team members are managed and developed in accordance with the BFI’s Performance Management Scheme; including all people have regular individual and team meetings, have agreed objectives which they are appraised against, with Personal Development Plans to support their development. To work with Human Resources to ensure that opportunities for development are identified and any performance challenges identified and resolved early.

 To hold regular all Department communication and team building

 To encourage and develop cross team working and collaboration between teams, with teams outside the Department and Directorate, and with external partners and stakeholders.

 To track progress of the department against KPIs and provide regular management reports as required.

Person Specification Minimum Requirements

 Minimum GCSE Maths and English or equivalent

 At least 5 years’ previous experience working in a similar Festival Guest Services or Hospitality environment, or comparable field

 Experience managing teams of people in a busy environment

 Exceptional IT skills and ability to manage databases and systems

 Experience of managing a budget and negotiating partnership contributions on spending

 Interest in international film culture and detailed knowledge of the UK film distribution and the international sales sectors

 Experience of team working in a high-pressure environment

 Excellent organisational skills with the ability to prioritise and to manage and meet deadlines whilst working in a busy environment.

 A proactive and customer focused approach delivered within a best practice framework

 Excellent communication and presentation skills with the ability to liaise effectively with other departments and with external clients/partners and service providers

 Good team player with an understanding of the complexities and challenges of large-scale organisations.

 Ability to work flexible hours, late evenings and weekend working is essential to this role

 The ability to develop and maintain good working relationships with BFI colleagues, partners and stakeholders

 A demonstrable commitment to the principles of diversity and inclusion and its practical application and integration in the work environment.
