OVERVIEW AND PURPOSE

What is CareConnect?

CareConnect is OhioHealth’s branded version of Epic software. It is the Electronic Medical Record (EMR) used for documenting on patients, scheduling, and caring for the patient with one chart across the OhioHealth system.

Definition of a Student

The purpose of this document is to define and document how new students complete their required CareConnect training. This includes students from nursing, medical, and other academic schools, colleges, or universities.

Policy

Successful completion of CareConnect training is required for all users before activation of UserID and password.

STUDENT ONBOARDING PROCESS

Academic Liaison

Determine clinical rotations for students

Contact OH Sponsor for student placement, with required data on

the form Inform student of UserID, training plan, eLearning, and

requirements Inform student that CareConnect

access is activated

OhioHealth Sponsor

Gather student information from Academic Liaison and add to

form

Contact OH Manager to validate Training Track(s)

Call the CCLCC (614-788-2560) to open REQ to onboard students

Email form to InfoSec@ohiohealth.com Communicate student UserID, training plan to Academic Liaison,

OH Manager

Inform Academic Liaison and OH Manager that CC access is active

Student

Receive UserID from Academic Liaison

If on OhioHealth computer, reset initial network password (follow

prompts)

If not on OhioHealth computer, call Help Desk (614) 566-HELP to reset

initial network password

Complete eLearning(s) for class(es)

Attend class(es) on time

Pass assessment(s)

NETWORK ACCOUNT

UserID

Students receive their OhioHealth User ID from their school’s Academic Liaison once it is created by OhioHealth.

Password

Students are assigned a temporary password that needs to be reset upon the first login. Logging in on an OhioHealth computer within the network, students can just follow the prompts while logging into eSource

(https://ohesource.ohiohealth.com). Any students attempting to login from outside the OhioHealth network must call the Help Desk at (614) 566-HELP to reset their password.

ACCESSING THE LMS

Before attending your first class at the Learning Center it is important to log into your LMS (Learning Management System) account to complete any prerequisite eLearning and verify your courses are listed. Once you have your account password and can log into eSource (steps above), you can successfully access the LMS from eSource.

Accessing the LMS (Learning Management System)

1. Navigate to OhioHealth’s Intranet, eSource: https://ohesource.ohiohealth.com

2. Sign in with your OPID and network password.

3. Click OhioHealth University on the left side of the screen.

4. The LMS opens. Here all eLearning, future courses, and previous course history related to learning at OhioHealth will be housed.

COMPLETING COURSES

Many CareConnect courses have pre-requisite eLearning modules that are required to be complete before the start of class. If the required modules are not complete, learners will be asked to leave and must reschedule the class.

1. Open the LMS by navigating to eSource and clicking OhioHealth University (see steps above).

3. The name of your training track(s) are in blue (i.e. Inpatient Medical Student) under Assigned Learning.

4. Click the training track name. (If you have multiple tracks, be sure to click through each of them)

5. The training track curriculum opens. Inside all courses are listed, including online and live-classes.

6. Click the Enroll button next to the first eLearning, complete the items under the eLearning.

7. Repeat for the next eLearning until you get to the name of your live class. A live class is indicated by the icon of a trainer in front of a white board.

8. Click Enroll for your live class. You can verify your class date and time as well.

9. Each line will unlock after the previous course is completed. Once you’ve completed all eLearning modules and enrolled for your class you are complete.

If you are having trouble logging into OhioHealth University, or don’t know your OPID or password, please call the Help Desk (614) 566-HELP.

GENERAL LEARNING CENTER INFORMATION

Address and Hours

Address: 2800 Corporate Exchange Drive, Columbus, OH 43231

Hours: The Learning Center is open 7 days a week, hours of operation 5:00 a.m. – 12:00 a.m. Computer Room / Playground is open from 5:00 a.m. to 12:00 a.m.

Building Access: Doors are open from 6:30 a.m. – 6:30 p.m. Monday thru Friday. Doors are open from 7:00 a.m. – 1:00 p.m. Saturday.

Doors are locked on Sunday.

Parking

All unmarked parking spaces at the 2800 Corporate Exchange location are available for use.

Break Rooms

The Learning Center has a break room with microwaves, refrigerator, vending machines, and tea/coffee/fruit.

CareConnect Playground

 The Playground computer lab is available for all end-users to practice and utilize before/after classes.  Students should bring their own ear buds if they are planning to complete eLearning. Ear buds are

available at the front desk to check out for use in the Playground.

Event Communication

 If the Learning Center is closed or classes are delayed due to inclement weather, the Learning Center’s phone message will contain these updates.

 The Learning Center will be closed only on holidays or in the event of a Level 3 Weather Emergency.

CARECONNECT LEARNING CENTER POLICIES

eLearning Requirements

 All eLearning assignments must be completed one hour prior to the learner’s scheduled class.  Learners will be dismissed from class if prerequisite eLearning modules are incomplete.

Attendance Requirements

On-time attendance is required; learners are dismissed from class if more than 10 minutes late.  Learners must sign class roster at the beginning of each class. It is the learner’s responsibility to sign in,

otherwise the learner will not be graded and not receive credit for the course.

 Early departure from class will result in class failure and the learner will not receive class credit.

Classroom Rules

 In all instances civility and respect for other students, Learning Center staff, and instructor is expected.  Book bags, briefcases, etc. are not allowed on desks during class.

Learners may not use cell phones in class; if a call is necessary, the learner should excuse him/herself from class and take the call to a common area within the Learning Center.

7  All ringers must be turned off.

 No phone or email use during class time (only during breaks).

 All earphones, headphones, headsets or any other accessory for cell phones may NOT be used in class, i.e., must be out of sight and not on one’s head or in one’s ear unless approved by the Credentialed Trainer for training purposes.

 No other devices (e.g., IPod, MP3 player, tablet, or personal laptop) are permitted for listening to or viewing music or other programming in class.

 Learners will be asked to leave class if they disregard classroom policy and will not be permitted to return.  Covered drinks and snacks are permitted in the classrooms.

 Learners are not permitted to bring children or pets to their classes.

Course Assessments

The learner’s grade will be based on the individual’s successful completion of class assessments. The passing score for all assessments is 80%. (Or Pass/Fail per application).

GAINING ACCESS AFTER TRAINING

Once training has been successfully completed, access is granted in time for the student’s next scheduled shift. Students use their OPID and network password to access CareConnect.

ELEARNING TROUBLE-SHOOTING

Video Progress Issues

If you get to the end of a CareConnect eLearning but the module remains ‘In Progress’, follow the steps below:

1. To complete an ‘In Progress’ CareConnect eLearning, click the appropriate Training Track link on the MyLearning tab.

3. Click the Online Lesson link to launch the eLearning.

4. The eLearning will open on the last page. With your mouse, click the slider control and drag it to the far left; to the beginning of the lesson.

5. You are now at the beginning of the eLearning. Complete the lesson again by ensuring to visit each page and perform each interaction as instructed.
