SCULPTURE TERRACE 35 MAX. One of Charlotte’s newest and most exciting cultural venues, the Bechtler Museum of Modern Art is a powerful and imaginative setting for corporate and nonprofit events and meetings. Located in the heart of Uptown Charlotte on the campus of Levine Center for the Arts, the Bechtler’s location offers easy access to office buildings, parks, hotels and attractions.

LOBBY 225 MAX.

The Bechtler’s lobby can comfortably accommodate up to 140 guests for a seated function and 225 for a standing reception. Designed by world-renowned architect Mario Botta, the Bechtler Museum of Modern Art offers a sophisticated, modern simplicity with granite floors, a vibrant 23-foot-tall wall drawing by conceptual artist Sol LeWitt and portraits of the Bechtler family by famed Pop artist Andy Warhol.

LOBBY/PLAZA 400 MAX.

For meetings, workshops, retreats and programs, the Bechtler’s classroom is equipped with Wi-Fi, video conferencing and audio-visual equipment. A number of classroom layouts are available. Most configurations accommodate 25 to 50 people.

The lobby/plaza combination accommodates 400 for a standing reception and 220 for a seated function. Events on the plaza take place under the museum’s dominant architectural feature, the fourth-floor gallery, which makes a dramatic statement as it juts out from the core of the building, cantilevered and suspended by a swelling column. Here, guests may enjoy cocktails or a seated dinner with the whimsical Firebird sculpture as the backdrop.

PLANNING AN EVENT

ƒ The Bechtler Museum of Modern Art is a perfect setting for corporate and nonprofit receptions, dinners, presentations, meetings and other related events. The museum does not rent space for social occasions such as weddings, birthday parties or anniversary celebrations. Nor does the museum rent space for art auctions, art shows and performances.

ƒ When planning an event at the Bechtler Museum of Modern Art, facility rental clients will work closely with the Events Manager and contracted vendors. The Events Manager coordinates event logistics, manages facility and art collection compliance and serves as a liaison between the facility rental client, vendors and museum staff. The museum’s Events Manager does not perform the duties of an event planner.

ƒ The Bechtler Museum of Modern Art is available at a nonprofit rental rate (discounted 20% from the corporate rate) upon receipt of non-profit documentation. Nonprofit organizations may host fundraisers on the premises of the Bechtler Museum of Modern Art.

ƒ Groups intending to use the Bechtler Museum of Modern Art for the purpose of making a profit will not be permitted to rent space. A group may charge its attendees to cover operational event expenses only.

ƒ The Bechtler Museum of Modern Art reserves the right to review the event plans, including décor and entertainment. Fundraising for political parties, political action committees and individual candidates is allowed, but signage outside or inside the building facing the public is prohibited.

GALLERIES AND TOURS

ƒ It is recommended that all facility rental clients arrange for a guided tour of the museum for event attendees. Tours are led by a Bechtler Museum of Modern Art docent

and are available for an additional fee.

ƒ The galleries are not included in the general license fee and are closed to all guests of an event in which a guided tour has not been previously arranged. Guests may self-explore the galleries at the cost of additional support staff.

MERCHANDISE

ƒ The Bechtler Museum of Modern Art’s museum store offers a wide variety of items that provide guests with unique reminders of their museum experience. The museum store may be open and staffed during events for an additional charge.

ƒ With advance notice, the Bechtler Museum of Modern Art staff is able to assist in selecting and wrapping museum store gifts for guests. Special orders may be placed prior to the event for attendees.

PARKING

ƒ Event attendees receive discounted parking at the Levine Center for the Arts garage, located below the Duke Energy Center at 550 South Tryon Street. The visitor entrance to the parking garage is located on West Stonewall Street. Attendees must bring ticket for discounted rate.

ƒ It is recommended that facility rental clients consider hiring a valet parking service or arrange for prepaid parking for event guests. Parking vendor information is available upon request.

FOOD AND BEVERAGE

ƒ To protect the art collection, food and beverages are not permitted in the galleries.

ƒ Facility rental clients may select a catering service from the Bechtler Museum of Modern Art’s approved vendor list. A catering buyout fee of $250 will be applied with use of a catering vendor that is not on the approved list. All catering vendors must be licensed in North Carolina for food service and preparation and provide Certificate of Liability Insurance adding the Bechtler as an additional insured.

ƒ The Bechtler Museum of Modern Art reserves the right to discontinue the service of alcoholic beverages at any time during a function. Food must be served in conjunction with alcohol service.

CREATING EVENT INVITATIONS

ƒ All invitations (hard copy and digital), advertisements, flyers, e-mail communications or other forms of announcement that include the Bechtler Museum of Modern Art logo, name or address must be reviewed and approved by the museum prior to dissemination.

ƒ The Levine Center for the Arts designation must be included in the event location descriptor.

ƒ If facility rental clients plan to use a photograph of the Bechtler Museum of Modern Art or the Firebird on the event invitation, please submit the request for use to the Events Manager a minimum of one week prior to distribution.

ƒ Event invitations including Bechtler data may not be distributed without prior approval of the museum’s Director of Communications and Marketing.

POLICIES AND GUIDELINES

The Bechtler Museum of Modern Art has policies to guide and assist when planning your event. All reservations and agreements made are subject to the rules and regulations of the Bechtler Museum of Modern Art and subject to the following conditions:

SIGNS AND DECORATIONS

ƒ The Bechtler Museum of Modern Art reserves the right to pre-approve all signage, printed materials, decorations and décor, including plant and floral arrangements.

ƒ Signs and decorations may not be affixed to any interior or exterior surface of the Bechtler Museum of Modern Art, including the entryway.

ƒ Open flames are not permitted. Candles in decorative glass containers are permitted in certain locations with prior approval from the Events Manager. Candles are not permitted at the front desk.

ƒ Confetti, rice, bird seed, helium balloons, flammable props or live animals (with the exception of service animals) are not permitted on the property.

ƒ Plants and flowers must be free of insects and obtained from a florist. Please check any plants prior to entering the museum.

ƒ Ice sculptures and water fountains are not permitted on the premises.

ƒ At the conclusion of the event, all decorations and any other articles brought into the Bechtler Museum of Modern Art must be removed from the premises.

DELIVERIES AND CLEAN UP

ƒ Please provide a list to the Events Manager 1 week in advance of the event of all vendors and those authorized by your group to enter the museum during set up.

ƒ Scheduled deliveries and rental removal must be coordinated with the Events Manager and conducted along Levine Avenue of the Arts upon receipt of a valid 1-day unloading/loading permit.

ƒ Upon checking in with Events Manager, the Bechtler Museum of Modern Art reserves the right to refuse any delivery that does not arrive at the designated time and set up may not occur until the agreed time noted in the license agreement.

OUTDOOR EVENTS

ƒ The Bechtler Museum of Modern Art reserves the right to make final decisions regarding food and beverage service on the plaza and second-floor sculpture terrace. The decisions will be based upon Charlotte City Code, venue compliance, the safety of guests/employees, and current and/or forecasted weather conditions.

ƒ Events requiring entertainment on the plaza and/or second-floor sculpture terrace, must comply with the City of Charlotte Noise Ordinance Policy. Additional requests will be considered on a case-by-case basis

ƒ Facility rental clients must request and receive approval from the Events Manager to erect tents and other temporary outdoor structures.

PHOTOGRAPHY

ƒ Photography and videotaping in the galleries is permitted only with prior written approval from the Director of Communications and Marketing, curator or President and CEO of the Bechtler Museum of Modern Art.

ƒ Facility rental clients may not reproduce works of art from the Bechtler Museum of Modern Art collection or exhibitions on printed event materials or merchandise.

TOBACCO AND FIREARMS

ƒ Firearms are not permitted on the premises at any time. ƒ Smoking is not permitted anywhere on the museum

premises, including outdoor spaces (plaza, sculpture terrace) or areas directly adjacent to the museum building.

LOST AND FOUND

ƒ The Bechtler Museum of Modern Art will not assume or accept responsibility for damage or loss of any items or articles left on the premises by the client prior to, during, or following the event.

DEPOSIT AND PAYMENT

ƒ A 50% nonrefundable license fee deposit or $150, whichever is greater, and a signed agreement with the Bechtler Museum of Modern Art are required to reserve the space and time for an event.

ƒ License fees are based on a 6-hour rental. Additional fees will apply to final invoicing for clients who exceed that limit. ƒ Payment in full is due 10 business days after receipt of the

final invoice.

ƒ Nonstandard electrical usage will incur additional fees, which will be applied to the final invoice.

Services such as museum store operation and private gallery tours are available for an added fee. The extra services require additional support staff ($20/hour) and security ($25/hour) for a minimum of 3 hours.

LICENSE FEES

ƒ Agreed upon event start and end times are fixed and are not subject to negotiation on the day of the event. To avoid incurring additional charges, clients and vendors must exit the premises no later than 1 hour after the conclusion of the event, as stated in the license agreement.

ƒ License fees include: basic space set up and break down of Bechtler equipment, minimum general maintenance for the event space, and museum support staff. Support staff is not included with a classroom rental but can be added for an additional fee.

ƒ License fees do not include: vendor charges such as catering and parking services, hospitality rental equipment (glassware, tables, tents, décor, linens, etc.), coat check materials, audio visual equipment and additional museum support staff.

ƒ Rates are subject to change without prior notification.

ƒ A signature on the contract serves as a waiver of responsibility for the Bechtler Museum of Modern Art at any event where alcoholic beverages are served.

ALCOHOLIC BEVERAGE INFORMATION

ƒ Available for use is a portable audio system consisting of 4 speakers with built-in amplification and 2 wireless microphones with stands. The system has an auxiliary input for external sources such as an iPod or MP3 device. CD use is also possible.

ƒ In the classroom, the Bechtler can accommodate basic audio visual presentations from a laptop. The space is equipped with 2 projectors, 2 projection screens and 1 LCD screen. It is recommended that the facility rental client test the compatibility of the on-site equipment at least 5 days prior to the event.

ƒ Projectors require a laptop for projection. The LCD screen can project from laptop, DVD or Blu-Ray. Blu-Ray DVDS must be provided to the Events Manager 5 days prior to the event. The portable audio system is required to hear from the source.

ƒ One Polycom video-conferencing cart is available for use in the classroom for video conferences with outside sites. The Events Manager will need 10 days notice before use of the video-conferencing system to test connectivity with the other site.
