ONLINE PROGRAM LISTING INTERFACE OVERVIEW
In an effort to streamline the process to maintain accurate database records and website directory information, the American Physical Therapy Association (APTA) designed an online program listing interface portal. This portal allows residency and fellowship programs to update relevant information previously collected on the program’s accreditation application and annual reports. Once updated by the program, the information will automatically synch with APTA’s database as well as with the ABPTRFE website thereby providing an immediate update to the program’s directory content.
Please ensure you update the program information at least annually or whenever a change occurs as maintaining accurate and current information on the ABPTRFE website is vital.
LOGIN
Each residency and fellowship program has a unique login and password. This information is provided to the program upon confirmation of receipt of the program’s accreditation application.
Logging In
A link to the Online Program Listing Interface is located on the ABPTRFE website under the “For Programs” section of the website.
Upon clicking on the Online Program Listing Interface link, you will be directed to log into the APTA website. Please use the PROGRAM’S login information provided by APTA residency/fellowship staff and not your individual member login information.
UPDATING DATA
Once logged into the system, the program will be directed to a welcome page.
Along the top of the page, you will see the name of the program director and the program data page currently logged into. For those program directors that oversee more than one residency/fellowship program, please ensure you are updating data in the correct program.
On the left side of the page, there is a directory of sections within the site. Programs are required to maintain accurate data within all sections of the portal.
Specific Directions to Completing Fields
Those items identified with a red dot are required fields to be completed.
For additional assistance in completing data fields, information regarding the intent of the field will be identified by clicking the red question mark located to the right of the field if applicable.
After completing each page of the online program listing interface, please click the “Save” button. If the system detects errors in the information provided, the program will receive an error message after clicking “Save”. Please address these errors and click the “Save” message again.
General Information
There are 3 sections within the General Information page of the portal:
• Program Information: This section is restricted to APTA staff updating only.
• Program Address: Please use the address that all correspondence to the program should be directed to. • Contact Information: Please insert the contact information for the individual identified as program
director. If the program chooses to have a different individual listed on the program’s directory on the ABPTRFE website for potential applicants to contact regarding inquires about the program, please insert that individuals contact information under the Website Directory Contact section. Otherwise, if the program director is to be listed on the program’s directory on the ABPTRFE website, the Website Directory Contact section does not need to be completed.
*Please note the program director contact information will be listed on the program directory on the ABPTRFE website unless a website directory contact is provided. All correspondence from APTA will be addressed to the program director listed in this portal.
Detailed Information
The information provided in this section is for APTA-staff database use only. This information was formerly collected on the accreditation application and annually on the program’s annual report. If a program is
participating in RF-PTCAS, the information will be displayed on the program’s RF-PTCAS directory on the ABPTRFE website.
The first field requires a program to identify if they are a multi-site program. For the definition of a multi-site program versus a single-site or multi-facility program, please review the Accreditation Handbook on the ABPTRFE website.
Next, the program will be required to identify themselves as either a part-time program, full-time program, or both. For the definition of a part-time versus full-time program, please review the Accreditation Handbook on the ABPTRFE website.
After identifying the program as either part-time or full-time, please complete the fields in the respective detailed information section. For those programs that operate as both a part-time and full-time program, please complete the fields under both detailed information sections.
Application Details
This page should ONLY be completed for those programs utilizing RF-PTCAS. The information collected on this page will be used to create the program’s RF-PTCAS program directory on the ABPTRFE website.
There are 4 sections within the Application Details page of the portal: • General Application Information:
o Program Description: This field allows program to market themselves to potential applicants highlighting the program and any unique opportunities available to participants.
o Application Information: Provide the program’s application deadline date, when the program will send applicants their admission decisions, and the start date for the program. For those programs with more than one application deadline, please complete the subsequent fields outlining the details for those additional deadlines. Please note, when making a change to the program’s application deadline date during an active RF-PTCAS cycle (October-August), please contact Liaison International immediately so that RF-PTCAS can reflect the update:

o Interview Required: Indicate if the program requires applicants to undergo an interview. o Important Dates: If the program has specific dates regarding when interviews will be conducted,
please provide that information in this field.
• Prerequisites: If applicants are required to have taken specific coursework, obtained specific
certifications, or gained specific experience through their clinical training or work history, please provide the details of that information. For additional information regarding a program’s prerequisite
requirements, please direct the applicant to the program’s website by inserting the link to the program’s website in the field provided. Please do not include prerequisites required of all programs per ABPTRFE evaluative criteria (eg, must possess valid physical therapy license in state participant will be providing patient care). Information requested by the program as prerequisites will be provided within the applicant’s RF-PTCAS application in the respective section of the application.
• Supplemental Requirements beyond RF-PTCAS:
o Supplemental application fee required: Please indicate whether the program requires an application fee separate from the application fee required by an applicant in RF-PTCAS. Any supplemental application fees must be sent directly to the program by the applicant and not to RF-PTCAS.
o Supplemental application fee amount: If a supplemental fee is required by the program, please indicate the amount.
• References/Evaluations: RF-PTCAS does not require applicants to submit any references. Should your program want to collect references requirements, please include this request within the Program-Specific Page in RF-PTCAS.
Essay Questions
For the 2014-2015 RF-PTCAS application cycle, RF-PTCAS does not require any essays at the root level.
