VENDOR OBLIGATIONS

RENTAL FEE

The fee for the Vendor Market Booth is $384.35 ($295 + 13% HST, plus $51 for a Vendor Permit* to be issued by the City of Mississauga). This fee includes the cost of Vendor Liability Insurance.

Booth Space: 10’ x 10’ area

*In rare circumstances, you may be exempt from paying the $51 fee for the Vendor Permit. If you qualify for the exemption, please notify [email protected].

THIS FEE IS STRICTLY FOR BOOTH SPACE, INCLUDING POWER AT 120V. YOU ARE RESPONISIBLE FOR YOUR TENT, BOOTH, CHAIRS, LIGHTING AND ANY OTHER ITEMS NEEDED TO DO BUSINES AT THE EVENT. A single power receptacle of 120V is available but it is strongly recommended you bring a quiet

generator for your personal use as well as extension cords with additional receptacles if required. Community Crafters do not have access to water outlets.

TSSA CERTIFICATE OF INSPECTION

For all vendors who will be using propane or gas in your booth area, a Certificate of Inspection is required on file with the City of Mississauga in order to obtain a Mobile Licence Special Events permit. The certificate must be dated within 12 months of the event and submitted with your application to the Mississauga ITALFEST organizing committee. If this Certificate is not received, your application will be denied.

APPLICATION REVIEW PROCESS & ACCEPTANCE

Your application is subject to review. The Mississauga ITALFEST committee reserves the right to select the vendors that will be the most appropriate to the event. Exclusivity cannot be guaranteed but every effort will be made to limit the number of vendors offering similar products. Accepted vendors will be notified by telephone or by email. A vendor orientation meeting will be scheduled prior to the event. Upon acceptance, you MUST complete the Mobile Licence Special Events Vendor Application which will be provided to you by the Mississauga ITALFEST organizing committee.

LIABILITY INSURANCE

Upon acceptance, Mississauga ITALFEST 2015 will name accepted vendors on the Certificate of Insurance issued to Mississauga ITALFEST and The City of Mississauga, as additional insured.

NOTE: Upon review of your application, the City of Mississauga may require a vendor to have additional insurance. If you are aware of the need for additional insurance, please notify Mississauga ITALFEST at the time of your application.

3 PEEL REGIONAL HEALTH REQUIREMENTS (FOR FOOD VENDORS ONLY)

Upon acceptance, you MUST complete the Region of Peel Environmental Health Form online and follow the instructions for submitting the completed form to the region. It can be found at:

https://www.peelregion.ca/health/environnew/forms/vendor-info-form.asp. If not completed at least 15 days prior to the event, you risk the chance of participating at the event.

RAIN POLICY

Vendors should prepare for the possibility of rain and ensure that they are equipped with a rain plan. No REFUND, THIS IS A RAIN OR SHINE EVENT.

CANCELLATION POLICY

Cancellations will be considered if received in writing, by email only, by June 30, 2014. There will be a $150 administration fee for any cancellations.

NSF CHEQUES

NSF cheques will be returned to sender and invoiced a $25.00 administration fee and the applicant will forfeit their exhibit space.

BOOTH INSTALLATION & REMOVAL

Exhibitor must provide and set-up their own booths, tables, tents, lighting, chairs or any other items needed to do business at the event. In addition, vendors are required to secure their booths with proper weights or sandbags. Mississauga ITALFEST will not have any available on the day of the event. Vendor’s will have designated times to unload onsite and will be advised of date and time closer to the event.

TEAR DOWN/LOAD OUT: Saturday, August 22, 2014 11:00 pm - Midnight

CLEAN UP OF BOOTH AREA: Saturday, August 22, 2014 11:00 pm - Midnight

ALL BOOTHS MUST BE READY TO OPERATE BY SATURDAY, AUGUST 22, 2015 BY 11:00 AM EXHIBITS MUST BE OPEN AND FULLY STAFFED FROM 12:00 NOON TO 11:00 PM ALL BOOTHS MUST BE OFF PREMISES BY MIDNIGHT SATURDAY, AUGUST 22, 2015

Exhibitors must install, manage and conduct their exhibits in a neat and orderly manner and only in the space allotted to them. Signs and materials must not encroach upon or limit the line of sight to the neighbouring vendors nor shall you be a menace or nuisance to other vendors.

All Vendors are expected to remain onsite, and are expected to remain open for business during allotted hours. Vehicles are not permitted onsite after designated load-in time and public admittance.

Mississauga ITALFEST reserves the right to examine your display during the day and ask you to remove any objectionable items. The allotment of space is solely at the discretion of Mississauga ITALFEST. The contract between Mississauga ITALFEST and the exhibitor is limited to the rental space. NO

REPRESENTATION IS MADE BY THE ORGANIZING COMMITTEE OF THE FESTIVAL THAT THE USE OF SPACE WILL RESULT IN VENDOR PROFIT.

4 All exhibits must be removed from the site after the event closes and no later than midnight August 22, 2015. Articles left behind become the property of the Mississauga ITALFEST. Any excess garbage spills left by the exhibitor will result in additional charges for Mississauga ITALFEST assigned by the City of Mississauga. The exhibitor will be responsible for the costs of such clean up or there will be no further participation at future events.

Parking is available under the library grounds and at City Hall. Unauthorized vehicles will be towed at the owner’s expense.

SECURITY

Mississauga ITALFEST provides onsite security during load-in, day of, and load out times. Mississauga ITALFEST cannot be held responsible for any loss to exhibitors’ property arising by means of fire, theft, water damage, vandalism or any other cause whatsoever. Vendors are responsible for securing their own booth and merchandise at all times.

Exhibitors agree to abide by and to conform to all rules and regulations, from time to time, adopted or prescribed by Mississauga ITALFEST for the governance, safe operations, and management of the event. In default of the above conditions, the exhibitor space allotment may be cancelled at the sole

discretion of the organizing committee and the exhibit will be removed from the site.

Should any question arise not expressly provided for in these rules and regulations, the Board of Directors of Tomorrow’s Community of Hope and the organizing committee for Mississauga ITALFEST 2015 will resolve the matter as quickly as possible. This decision shall have the same force and effect as if it had been made by one of these rules and regulations as noted in the Vendor Obligations.
