Have Fun - Raise Funds

Once you have decided how you would like to raise funds for

us, we can then issue you with an Authority to Fundraise - a

document to authenticate your fundraising. (See our How we

support you page for more!)

Promoting your event is a really good way of raising awareness.

Make your promotional materials eye-catching. We can supply

you with our logo, photos are great, and we can add your event

to our website if you would like it to be open to the public.

Please see our Publicise your event page included in this pack,

for tips about sending a press release to your local paper.

If you are raising sponsorship you will find a Sponsorship &

Gift Aid Declaration Form for you to pass to family, friends and

colleagues. You can photocopy this if you need more sheets.

We would love to see pictures of your event so make sure you

take lots of photos on the day and email them to us.

We have included a Monies Return Form so you can

easily send us the funds you have raised.

Build a fundraising page

A fundraising page is a special website that’s accessible to your

family, friends and colleagues. You can share a special message of

inspiration, start a blog, share an image or video; all while raising

funds for us!

Anyone is invited to make donations and leave a message of

support to you, as the fundraiser. Donations are tallied and

displayed in the fundraiser page meter for everyone to see.

Donations are automatically processed and transferred to our

bank account so relieves you of the burden of handling cash.

In just minutes you can build your own page and approach

your supporters for a donation by emailing around the unique

link of your webpage. You could also share this information on

Facebook and Twitter to generate further support. Each donation

is recorded on your page along with any message of support from

your donors. So why not get a head start and create an online

fundraising page today!

With your Authority to Fundraise, you can show that we are

aware you are fundraising for us! We can also provide you

with collection boxes, buckets, a banner to help you raise

awareness and funds!

Depending on what support materials may be suitable for

your event, we can also provide you with, literature, posters,

certificates, stickers, running vests and t-shirts and an Online

Toolkit including our logo, a blank poster you can fill in yourself,

an email footer, Facebook banner and Facebook/Twitter link

images. All will help raise awareness of our life-saving Helicopter

Emergency Medical Service. Simply let us know what fundraising

support materials may be suitable for you.

Sending your local newspapers a press release is one of the best ways to publicise your event.

To try to ensure that your press release is featured, you need to make sure your piece is as interesting as possible. Local newspapers are contacted frequently by organisations vying for space.

Make sure that the first paragraphs include the crucial information you want the people in your area to know about your event or fundraising efforts, eg who, what, where, when, why and how.

You may also want to include a quote from somone involved and perhaps contact details should interested people want further information.

A good, high resolution photograph to accompany the press release often gives a better chance of being published.

Timing is important too. Think about sending your press release a month before your event takes place and again two weeks later to both prepare and remind the newspapers. Then, no more than a week after the event with a clear picture to maximise your chance of ensuring the most publicity for your event and for us!

Cheque Presentations

Whatever event you are planning to do, or have done, and

however much you raise the most important thing for us is to

say thank you!

We can arrange for a representative to come along to a cheque

presentation at your chosen location. Our representative will be

delighted to give you a 5-10 minute overview of the charity and

how your fundraising efforts enable the service to continue.*

All donations to the charity are gratefully received and we

acknowledge all of our fundraisers with a personalised thank you

letter.

Volunteers and staff from the Trust love the opportunity to

spread the word about the important life-saving work the

charity does everyday across the South East. If you would like our

representative from the Kent, Surrey & Sussex Air Ambulance to

give a short talk about the work we do, please let us know.

*This option is subject to availability of charity representatives. We need a minimum of two weeks notice for cheque presentations.

Doctor Richard Lyon

“... I feel very lucky to do this job; it

is a real privilege to be part of the

air ambulance team...”

I recently attended a very serious incident, where a 9 year old child had been hit by a motorcycle. Critical Care Paramedic Jon Sanders, and I, arrived on scene and performed a rapid medical assessment of the young

patient. He had sustained major head, chest and abdominal injuries, as well as serious leg fractures. We anaesthetised him in order to protect his airway, and optimise his chances of brain recovery. As a result of his injuries, the child had suffered significant blood loss, and therefore we performed a blood transfusion to ensure his vital organs had sufficient oxygen.

After providing critical treatment for this young patient at the scene, the decision was made to airlift him directly to Southampton major trauma centre, where we had alerted a specialist team to receive the patient.

The child ultimately went on to make an excellent recovery, which is very gratifying. Had we not attended this incident and provided the pre-hospital treatment that was so crucial at that time, the outcome potentially could have been much worse.

I feel very lucky to do this job; it is a real privilege to be part of the air ambulance team, helping people in their true moment of need. This case is a fine example of how the medical treatment we can perform at the scene of an

incident, can yield amazing results for our patients.

Introduction

• The intention of this document is to provide a readily accessible guideline for people thinking of organising a fundraising event or activity.

• These guidelines are not a substitute for proper legal advice, but to ensure that you are aware of the most important questions and how to go about getting the answers.

• These guidelines should only be treated as a minimum checklist of issues to consider - there may well be other issues that are equally important to consider for a particular event.

• We’re here to help, whether you are in the early planning stages or getting near to the day itself, we’re here to answer your fundraising queries and give you any advice you need. Just contact the Community Team on 01622 833833.

• We will always do our utmost to support everyone who is raising funds on our behalf and hope that the following guidelines will prove useful to you.

Keep it legal!

• If your fundraising involves collecting money or selling goods in a public place then you need to obtain permission and a licence from the local authority.

• Where events take place on private property you must obtain permission from the owner or manager.

• Please do not collect money door-to-door, as this is illegal without a licence.

• Selling raffle tickets without a licence from your local council is illegal. Small raffles are fine as long as they don’t contain cash prizes and are part of a larger event. Other raffles may be unlawful so you must check with us before holding these.

• If you are planning to fundraise for the Air Ambulance, please contact a member of the Community Team so we may support you in your efforts.

• If you are holding a competition you should ask for a copy of our standard “Competition Terms and Conditions”. This will ensure that you operate within the law.

After the event

• Please make sure that the money you raise or collect reaches the Kent, Surrey & Sussex Air Ambulance safely and as quickly as possible.

• Always make sure that all the money is counted by two people.

• Make cheques payable to ‘Kent, Surrey & Sussex Air Ambulance’ and send them to FREEPOST KSSAAT (no stamp required), together with the monies return form and a brief description of where and how the money was raised.

• Don’t forget to include your name, address, postcode and details of the event with the amount raised so that we can say ‘thank you’!

• If possible, please send us spare photos and any funny or unusual stories about the event. You could end up as headline news in your local newspaper!

Safety first

• You must comply with the Health and Safety at Work Act 1974 and all other relevant subordinate legislation.

• The Kent, Surrey & Sussex Air Ambulance cannot accept responsibility for accidents, so make sure that your event is safe for all concerned.

• If you are going to be carrying money around take care with personal security. Always use a safe route and always be accompanied and/or carry a personal alarm.

• Make sure that no-one is fundraising, working or spectating in an unsafe environment. Assess the risk involved and make sure that they are eliminated or minimized to an acceptable level, particularly in the case of children. For example, they must have suitable supervision and must only be allowed to use equipment that has been tested and maintained to the required safety standard. Remember that the Health and Safety Act applies to volunteers as well as employees. If you need further information on Health and Safety, visit the following website: www.hse.gov.uk • With adventure activities - for example, abseiling, parachuting, white water rafting or any other

hazardous event, particular care should be taken.

Publicity

We recommend that fundraisers contact their local radio/TV stations and newspapers directly. The Kent, Surrey & Sussex Air Ambulance Fundraising Office send out information to the media on a weekly basis, usually regarding operational and charity issues, and we find the media far more receptive to individual groups with regard to their attendance or promotion of events. Ticket Sales

Although the fundraising staff will do their utmost to promote your event and contact the local community we are unable to sell tickets, whether these be event or raffle tickets.

Prizes

The Kent, Surrey & Sussex Air Ambulance office is happy to provide you with an official document that you can use to approach local businesses to provide raffle prizes etc. This is called an Authority to Fundraise form. However the Fundraising staff are unable to source raffle prizes for individual events as we must maintain a neutral relationship with local businesses and suppliers. This applies to auction lots as well.

Event Insurance

Kent, Surrey & Sussex Air Ambulance Trust is insured for Public and Employers Liability risks at all events which it organises itself. However, many fundraising events are organised by other groups for the benefit of the Charity. In these cases, our insurers do not recognise Kent, Surrey & Sussex Air Ambulance Trust as being the promoter and as such it is incumbent upon the organiser/promoter to satisfy himself/herself that their own organisation has Liability Insurances for the event being planned and, if not, makes specific arrangements to cover that event.

Always ensure that you, or the owner of the land or building where the event will take place, have insurance for the event.

If sub-contractors or facilities are used, make sure that they have the requisite experience and insurance facilities.
