Chapters that have a common living facility should complete the entire workbook.
Behavioral Expectations:
• Please describe how your chapter plans to hold members accountable to university, local, state and federal public health guidelines. Include:
o Expectations around facemask and other Personal Protective Equipment use (gloves,
faceshields, etc.)
o Plans for promoting frequent hand washing and cleanliness
o Communication plan for educating members of expectations prior to the beginning of
fall 2020 term and arrival on campus
The Chapter has a copy of our Housing Corporation plan that specifies Chapter responsibilities. These responsibilities are also repeated in our lease agreement with the Housing Corporation. Failure to comply with the lease agreement is grounds for individual evications. The House Manager has been provided with PPE for all members living in the Chapter house that includes: hand sanitizer stations at each entry door; washable cloth masks; temperature IR checker; oxygen monitor; and restrooms with adequate supplies for washing and drying hands.
2 Chapter Functions:
• Please describe your chapters plans for chapter functions including modifications/protocols for:
o Chapter meetings o Social Activities
Including events in apartments, rented properties, townhomes, single family homes, and “live-outs”
o Sisterhood/Brotherhood Events o Philanthropy events
o Community service delivery
o Recruitment or membership intake activities o New member education meetings
o New member presentations / reveals
There will be no funcitons inside the chapter house. Only members living in the Chapter house are allowed into the chapter house. All exterior doors locks are coded with codes known only to members occupying the Chapter house. All visitors requiring access to the Chapter house must be for business purposes only – not social visiting in the Chapter house by friends or members living outside the Chapter House. Potential new member candidates may be escorted into the Chapter house individually one at a time. All visitors are to be signed in on a sign-in sheet with relative information, temperature checked, and oxygen checked. Small events of less than 10 may meet in the backyard with the supervision of at least one Chapter officer.
3 Chapter Response Plan for Illness and/or confirmed COVID-19
• Please explain your chapter’s protocol for members that become ill or are confirmed to have COVID-19. Specifically include:
o Chapter communication plan
o How the plan will adjust if a member shares that they were directly exposed to someone
that was diagnosed with coronavirus
o Housing plan for members who are ill and members who test positive1 o Changes to meal operations/member behaviors1
The Chapter has set aside one quarantine room on the 1st floor with private bath and shower. If a member is showing signs of COVID-19 infection the Student Health Center is to be
contacted immediately – siganage with Health facility information is posted throughout the Chapter House. Anyone quarantined will not have kitchen prelivages . The Chapter
incoordination will discuss with OSU or local health officials, if an infected member may go home or remain under quarantine in Corvallis.
4 Housing and Meal Operations:
• Sleeping Porches and Other Arrangements:
o Please describe your chapter’s plan for density reduction in sleeping rooms/porches.
This should include:
Current living capacity of your facility and how this number has been adjusted
Number of members expected to return to the facility this fall
Number of new member spaces available
• Meal Service:
o Please describe your chapter’s plan for modified meal operations: o Will live-out members be permitted to access any meals?
o What protocols will be in place for vendors and other staff/providers while on property?
The Chapter House has a large sleeping porch, however, only six members will be living in the Chapter House this Fall Term, so spacing on the sleeping porch is easily achieved. There will be no meal plan and operations will continues as they have spring and summer terms with
members cooking their own meals or eating meals outside the Chapter House. There are protocols for cleaning the kitchen and members have been requested to complete the OHA on-line food handlers certification. As previously stated, members living out of the Chapter House are not permitted in the Chapter house.
5 Facility Management:
• Please describe your chapter’s safety protocol for in-house members including:
o Cleaning and disinfection materials, plans and frequency o Restroom protocol should be explained separately o Internal vs external cleaning services
o Details about summer cleaning plans (if any)
o Guest/visitor policy – does this apply to live-out members?
o The Chapter’s plan for acquiring proper cleaning supplies and disinfectant
• What modifications will occur in common areas to limit gatherings and enforce social distancing?
The Chapter House is receiving a deep cleaning of the kitchen prior to Septermber 15th. The restrooms will be professionally cleaned every week by a commercial cleaning service. The visitor policy has already been explained previously. The House Manager will oversee daily cleaning and sanitization of counter tops, floors, and cooking utensils. The House Manager obtained and stock piled necessary cleaning supplies during prior to September 1st and
possesses gift cards at both Home Depot and Lowe’s for the purchase of other need COVID-19 supplies.
6 Additional Information:
The Housing Corporation has written letters to the member families regarding those intending to live in the Chapter house, to those families whose sons have confirmed to live-in the Chapter house, and all member families providing them details about COVID-19 planning. A protocol for using washing machines and clothes dryers has been posted in the laundry area.
The following content is contained in the lease agreement:
NOTE: The Chapter House will have six members living-in – there was not enough economy of scale to afford a meal plan for less than 18 members.
COVID-19 VIRUS. The Corporation is imposing an occupancy limitation on the undergraduate Chapter members to, but not limited to, approximately 18 live-in members should Oregon State University decide to resume in-person classes and open dormitories for the Fall 2020-2021 academic year. In view of the COVID-19, the DTHC Board recognizes there are several specific laws, rules, recommendations, guidelines, and criteria published by many organizations for reasons of safety, sanitization, and health practice compliance. Reference is made to the Corporation’s COVID-19 Planning document dated May 29, 2020. Health officials have stated the COVID-19 virus is transmitted from person-to-person:
• Between people who are in close contact with one another (within about 6 feet).
• Through respiratory droplets produced when an infected person coughs, sneezes, or talks.
• These droplets can land in the mouths or noses of people who are nearby or possibly be
inhaled into the lungs.
• COVID-19 may be spread by people who are not showing symptoms.
How easily a virus spreads from person-to-person can vary. Some viruses are highly contagious, like measles, while other viruses do not spread as easily. Another factor is whether the spread is sustained, which means it goes from person-to-person without stopping. Guidance contained at
www.CDC.gov includes:
• Knowing how COVID-19 spreads
• Thoroughly wash hands often
• Maintaining distance (6 feet) between myself and other people
• Covering the nose and mouth with a cloth (face mask)
• Cleaning and disinfecting frequently touched surfaces
• Monitoring personal health for COVID-19 symptoms
The virus that causes COVID-19 is spreading very easily and sustainably between
people. Information from the ongoing COVID-19 pandemic suggests that this virus is spreading more efficiently than influenza, but not as efficiently as measles, which is highly contagious.
It may be possible that a person can get COVID-19 by touching a surface or object that has the virus on it and then touching their own mouth, nose, or possibly their eyes. This is not thought to be the main way the virus spreads, but health officials are still learning more about how this virus spreads.

Living groups require many of the same and more safety, sanitization, and health practices. The DTHC is requesting assistance from the distribution addresses. In this regard, before the DTHC can allow a limited member occupancy of the DT Chapter house for the Fall Academic year 2020 -2021 we must ensure all COVID-19 precautions for safety, sanitation, and health can be implemented, maintained, and followed.
