Distributed Authoring Addendum

Uploading Digital Assets

This document pertains to uploading the following digital assets to be used on your website:

1. PDFs 2. Images

3. MS Word, Excel or PowerPoint documents

Note: This document does not include instructions for loading video or other types of digital assets into the CMS. Assets other than those outlined in this document need to be uploaded by a member of the Global Interactive Team. Contact (who should they contact) for assistance.

To upload digital assets into the CMS, you must be logged into the system and navigate to the content server page.

On the Content Server page:

1. Use the New Check In drop-down menu to select Standard Check-In.

The Standard Check-In page contains a long checklist of items. Some of the items are filled in by default and some require your input. Not all of the items need to be completed. The graphic and information below will assist you in completing the necessary items to complete your asset upload.

Content Check-In Form Checklist

The following items noted in the graphic above must be completed in order for your asset to be uploaded into the CMS.

1. Type – By default, Documents-General Content appears in this box. This can be left alone unless you are entering an image. If you are loading an image, you can click the Type Dropdown menu and select the second item in the list Images – Image Web Assets

2. Title – Your asset must have a name that is 24 characters or less in length with no spaces.

3. Author – Your system ID will automatically display in this box, no action is required.

4. Account – Select your business unit abbreviation from the dropdown list. For example if you are Medtronic ENT, you would select the abbreviation MDT/ENT.

5. Primary File – Using the Browse button, locate the file you wish to upload and select. The path to that file will automatically populate this box once selected.

6. Content ID – The content ID should be the same information you entered into the Title box above.

7. Web Site Object Type – From this dropdown list, select Image if you are loading an image file. If you are loading anything other than an image file, select Native Document from the dropdown list.

Once you have completed all of these items, you can hit the Check In button at the bottom of the page.

Once you have checked in your new digital asset, you will see this screen which confirms that your asset has been checked in and verifies the new Content ID that you created. This information can be used to search for your new asset when building your content.

If you neglected to fill in all the necessary fields or made an error in entering information, you would get an error message screen, like the one below, with detail on what needs to be fixed. To fix errors, you can hit the back button on your browser to return to the previous screen and complete the form again.

Digital Asset Guidelines

In addition to following the steps listed above, your digital assets need to follow style guidelines established to ensure a positive visitor experience. Prior to uploading your assets, make sure they conform to the following standards:

Product Photography

• Must meet brand standards, shot in full view.

• White background

• Tightly cropped

• No shadows

• Format: jpg, gif or png. If modifications need to be done, the source file is preferred (.psd)

• 72 dpi

• File Names: Must be unique and under 24 characters, all

lowercase. Recommended naming convention: buproductname.[extention]

Example: crdm-adapta.jpg. If the image is a thumbnail: crdm-adapta-thumb.jpg. If you prefer, eMarketing will revise the file name to meet standards after delivery of the asset to us.

Main Image Product Page

• Width max: 225 px

• Height max: 185 px

• File size not to exceed 25k

Thumbnails

(used on landing pages and right column of detail pages)

• Width max: 75 px

• Height max: 75 px

• File size not to exceed 15k

In-copy Illustrations, Graphs, and Graphical Charts

Specifications

• Color palette

Arrows, lines, etc. Blues (#4eafd0) (#20598e) Headlines: PMS Cool Gray 8 (#005195) Text: (#333333)

• White background

• Tightly cropped

• Format: JPEG, GIF or PNG

• 72 DPI

• File Names: Must be unique and under 24 characters, all lowercase.

In Column Display

• Width: 170px

• Height: 205px (approx)

• File size: less than 20k 2. Full width

3. Enlargement

At times it is preferable to display graphics at a larger view than space allows. In these cases, we will use a click to enlarge feature which displays a column size image to enlarge. A enlarged image displays on click.

• Width: 955px (max)

• Height: 460px (max)

• File size: less than 35k
