Job Title: Operations Supervisor

Job Family: Production & Warehouse

Main function: Overall responsibility for the day-to-day supervision of designated teams to ensure

the timely manufacture, despatch and delivery of window blinds within budgeted and planned cost, quality and time parameters.

Role responsibilities: 1. Key Duties

a. Planning/Co-Ordination:

 Plan and co-ordinate, in conjunction with the other Supervisors as required, the timely manufacture or despatch of window blinds within your designated teams to achieve your team objectives and balanced scorecard Key Performance Indicators (KPIs) as determined by management.

 To ensure effective, safe, accurate and timely stock management.

 Provide cover for other teams / other Supervisors during periods of absence, holiday, etc. b. Quality:

 Be responsible for ensuring that the quality of the product and service within your area is maintained at the highest possible standards for the customer.

 Ensure ISO 9001 (2008) controls and procedures are strictly adhered to.  Meet weekly departmental/team quality targets.

 Carry out random quality inspections and ensure full checks are made on all remakes/ repairs/ special orders, etc.

 Work closely with the Quality department to identify recurring quality problems, agree, initiate and monitor relevant corrective action.

c. Health and Safety:

Implement the company’s Health and Safety Policy, ensuring safe working conditions and practices within your area of responsibility (e.g. manual handling, use of PPE, safe use of machinery and equipment, stacking & storage, etc.).

Carry out health & safety audits and inspections as required. Record & report findings and take, or follow-up on, relevant corrective action.

Ensure that a high standard of general housekeeping is maintained on a ‘clean as you go basis’. Ensure that full pre-use & shut down checks are carried out by users of machinery / equipment Represent the department on the Health & Safety Committee as required.

d. Maintenance:

 Liaise with the maintenance team to ensure preventive, breakdown and specialist maintenance of all machinery and equipment within your area, ensuring that all maintenance schedules and records are updated accordingly.

 Develop contingency plans to ensure minimum disruption and down time. e. New Product Development Process:

 Effective forward planning to ensure departmental actions under the New Product Development Process (NPDP) are completed on time and within budget.

f. Security:

 To be a key holder and to ensure buildings are opened, secured and locked up and the alarm set as required.

2. People Management

a. Overall responsibility for all aspects of the effective supervision, training & development and health, safety & welfare of your team. Ensure achievement of personnel related targets as set out in your Balanced Scorecard.

b. Provide strong leadership, direction and mentoring, thereby fostering and sustaining co-operation and team spirit.

c. Ensure compliance with all company rules and procedures and departmental work instructions, processes, systems, etc.

d. Set measurable and realistic KPIs, work standards and expectations, where appropriate, in line with company objectives and monitor and communicate these and progress against same. Regularly review, revise and re-issue as required. Take corrective action where appropriate.

e. Ensure structured and planned training and development for self and team to maximise skill levels, flexibility, absence cover, etc. Provide timely and constructive feedback on the effectiveness of training and make suggestions for improvements.

3. Continuous Improvement

a. Work closely with the Process Engineer to review and make practicable improvements to workflow, work processes and efficiencies within own area in line with company and departmental objectives (see Balanced Scorecard for detail). Use recognised business improvement techniques where practicable.

b. To continually review and report on resource requirements against anticipated scheduling/future business plans/new products eg; staffing levels, redeployment, training/cross training, machinery and equipment requirements whilst factoring in process and efficiency improvements.

4. Customer Service

a. Ensure timely, full and accurate communication with all relevant departments on any factors which will impact on delivery dates, commitments to customers, quality, etc.

b. Liaise with customers as required to ensure clarity of requirements, technical details, overcome problems, etc.

5. Communication

a. To keep the Manager and other relevant managers, supervisors and departments promptly advised on all relevant matters, problems or requirements.

b. To produce weekly/monthly reports for the Manager on progress against specific objectives / against your Balanced Scorecard KPIs and agree any corrective action.

c. To ensure weekly staff briefings are held together with such other forms of regular and effective employee communication as is deemed appropriate.

d. To ensure timely and accurate compliance with all administrative and reporting procedures and routines and that paperwork is forwarded to the relevant parties.

6. General

a. Acquire, retain and apply in-depth product and customer knowledge.

b. Any other reasonable duties which may be required by management from time to time.

Personnel Specification

Factor Essential Criteria Desirable Criteria

Attainments Educated to GCSE level or equivalent with a C grade pass in Maths and English

Qualification in Supervisory Management Relevant qualification in production or manufacturing

Forklift licence

Experience A minimum of 3 years’ recent, relevant supervisory experience gained within a manufacturing environment

Experience of managing teams within tight quality and efficiency parameters

Proficient in the use of Microsoft Office packages and in particular, Excel

Supervisory experience gained within a manufacturing environment

Experience of Quality Systems (preferably ISO 9001 (2008)

Knowledge/application of business improvement techniques

Experience of employee relations Experience of training/developing staff Experience of performance

management/reward systems

Special Aptitudes

Strong people management skills High level of interpersonal skills Excellent planning, organising and prioritising skills
