1. Basic notation rules for all fields
As a rule, only write the first letter of every word in capitals.
If only uppercase is used for a title, artist and composer, it will be automatically converted to a combination of upper and lower case in the clearing center as long as change type 6 was not applied.
Use conventional notation for Germany.
Do not break up umlauts also known as vowel mutations (ä, ö, ü).
"ß" and "%"are allowed characters.
Avoid accents and semicolons.
Numbers are usually written as Arabic numerals, i.e. 3 instead of III, etc.

- For research reasons, a separator (dot or space) should be used between letters and numbers, i.e. Vol.1 or 5 songs.
- Create separation of different entries in a field using a "/" (slash).
- Avoid spaces before and after commas, "/", "+" and "-" as well as after abbreviations.
Exception: after the conjunctions "feat," "ft.," "vs." and "pres.," a space should follow for the sake of clarity.
These space conversions are carried out automatically in the clearing centre.
2. Title field
Use the product title (i.e. "album title," not individual tracks).
Simply use the same annotation as the original (including articles, do not abbreviate). There are 50 characters available which may not be exceeded.
Abbreviation suggestions
Should the original title be cut in spite of important information (i.e. volume number, date ranges, "Greatest Hits/Best Of" or other descriptive title words), then proceed as follows (only when space is lacking):
omit the article at the beginning
omit artists in the title field if they are already indicated in the artist field
instead of "Vol." + number (see above), specify only the number if necessary
in the worst case scenario, shorten (ideally, "and," "for," etc. should be shortened to the first letter) Essential information in the title includes the identification of content, differences compared to otherwise identical titles, artists, composers, and product types. The retailer must be able to differentiate items in terms of PHONONET content. Therefore, differences in content (remixes, other single titles, special editions, etc.) should be indicated in the title if space permits it.
Is there is not enough space, you can write any additional information about the product (i.e. live recording from 01.03.1996 or technical recording characteristics) in the title supplement field. As a rule, information pertaining to the title should not be written in the artist field.
Volume information in the title usually appears as "Vol." + number, i.e. Vol.1

2.1 Annotation of series titles (episode titles)
The title of a series and special episode title should be clearly separated from each other. In addition, the expansion of the "title supplement" field to include 120 characters and the increased demand of episode annotations in conjunction with radio dramas and television series provide new opportunities and challenges.
The title of the series should be written in the "title supplement" field.
Since there are many series with no artists in the true sense of the word or if the series title is much more important than the performer, the series title should be indicated in the artist field (i.e. "Benjamin the Elephant," "Unser Charly"). It is better to indicate the actor/actress/speaker in the "performer" field as needed.
For series titles, the first name should not be moved to the end of the artist field because this does not concern a "real artist" (i.e. do not write "Elephant, Benjamin").
The annotation of episode titles is as follows:

episode 081: The Secret of the Temple Cat Benjamin the Elephant Benjamin the Elephant Title field: the emphasis is on the episode number and the title of the episode.
These two components are separated by [colon space]. Title supplement field: this field contains the title of the series. Artist field: the title of the series is repeated in the artist field. Notes:
Episode numbers from 0-9 should ALWAYS be listed from 01 to 09 for sorting reasons. If there are at least 100 episodes, all the episodes should always be listed as three-digit numbers beginning with a zero (as in the example of Benjamin the Elephant: field title: episode 081: The Secret of the Temple Cat). Should there be a need for additional information about the item, it can be indicated in the "item info" field instead of the "title supplement" field.
3. Artist field
Preliminary note: mandatory thesaurus lists for artists (and composers) can be found on the WEEKS DVD listed under TOOLS\EDITOR\ under the file name kuenst.tes (and komp.tes).
3.1 Individual artists
3.1.1 Standard

Only the German and Dutch nobility predicates "von" and "van" should be placed after the first name. Other nobility predicates such as "De," "Di" or D’ should precede the last name.
Familial annotation "Jr." (for "Junior") should appear after the first name.
3.1.2 Special cases
In the following cases, the first part of the last name does not get placed at the end: O'Brien,Ian

3.2.3 Individual artists with an orchestra or accompanying group

3.3 Notation of two or more artists
3.3.1 Co-recordings of two individual artists
The following applies to non-classical music when two individual artists perform together: Co-recordings should use an ampersand (&), not + or "and" or "with."
There should be a blank space before and after "&." (avoid blank space only if space is limited: for example, Maffay,Peter&Lindenberg,Udo&Schneider,Helge&Sasha) General formula: last name, first name & first name, last name

3.3.2 Individual artist band
If a single artist plays together with a backup band, the ampersand (&) is generally used and the band’s article remains in front:

3.3.3 Compilation
If space permits, the first name of an artist should be written out even if there are several artists. The article belonging to a band name is placed at the end as usual.
When space is limited, only use the first letter of the artist’s first name or completely omit the first name. When there are more artists than input space, annotate it by placing "/ +" after the last-named artist. Important: for many artists, however, it is preferable to use the term "various" to identify a sampler. Indicate the following for original soundtracks: OST/various.

3.4 Special cases in the artist field
3.4.1 Vs. , Meets, Pres. , Feat.
Co-recordings can use Vs., Meets, Pres. or Feat. as an alternative to ampersand if the ampersand is listed on the cover. The first name or article of the second artist should be moved to the end.
When another name is mentioned by which the same artist is known (aka), it should also be moved to the end.

If the artist is a DJ, the term "(mixed by)" or "(compiled by)" should appear directly after his/her DJ name or name and first name. To clarify that a number of artists are mixed and compiled, use the term "various/" in front of the mixing/compiling artists.

3.4.3 OST/artist (or composer)
When an artist is involved in an original soundtrack of a film, "OST/" should precede his/her name (which stands for original soundtrack). In case of many contributors (sampler), use OST/various.
If the soundtrack is an original score, i.e. a through-composed work including work pieces (like classical music) by a film composer, the composer should appear in the artist field followed by "(composer)."

Important: indicate the right program type 116 ("musical") for musicals.
For musicals, the name of the ensemble should normally be indicated in the artist field and the cast should ideally be indicated. (It is especially important to name the original cast of original recordings including the recording location and year, if possible.)
If there is no cast annotation, then list the director and orchestra (including appropriate PHONONET abbreviations according to the classical guidelines, if applicable). Compilations should always use the term "various."
List the composers in the composer field. The title can be presented as (CS) for cross-section or (CR) for complete recording.

Children’s classical and classical video
The classical guidelines apply to children's classics and classic videos.
3.5.2 Videos (motion pictures and cartoons)
Motion pictures have their own "director" field in the item master data interface where the director may be entered (see example below). Screenwriters or illustrators may also be listed under "author" as an option.

3.5.3 Books and audio books
In the case of books (program type 904 or product type 0097) or audio books (program type 906), the author (regardless of which type: book, audio book, screenplay) should be indicated in the "author" field. For an audiobook, the speaker should be listed in the artist field. The director of a radio drama may optionally listed in the "director" field.
A book has no artist per se so simply insert a "-" in the artist field (hyphen without quotation marks). Annotation of books and audio books:

The author is Nick Johnstone in the fourth example. Particularly with respect to biographies, be careful to ensure that the person in question – Amy Winehouse in this case – is named in full in the title field.
3.5.4 Merchandise
Articles of merchandise are by nature artist-related so the artist must be referred to in the artist field like they would be in a normal record. Since there are often no exact program or product types for a medium, the medium must usually be specified in the title field with a more detailed description or its label. The artist must not be named again in the title field because he or she is already listed in the artist field. However, if there is no artist, the medium should be written in the artist field.

Karaoke (pop song): indicate the item as karaoke/[artist].
Other playback items: indicate as playbacks/[no instrument] in the artist field. In classical music, the "no instrument" section may also list a vocal range (i.e. tenor).
