10. How do I change the commission?

Navigate to the “Admin” page and click on the “Tech List” button. Then click the edit button next to the employee to change the commission rates.

11. If I forget my password, where can I retrieve or change it?

Q Dispatch makes it easy to retrieve a lost password. Simply click the “restore password” button on the login screen and enter a valid username. The corresponding password will be emailed to the user. Changing a user’s password requires that user to login and open the account page at the top-right of the screen. From here, you must click on the “change” button next to the current password.

12. How do I manage my inventory or change the price of a part?

Inventory management is handled on the “Admin” page under the “Parts And Group Lists.” Individual parts can be sorted into groups and the price of any part can be updated at any time.

13. How do I change my company information?

Company information can be updated on the “Admin” page. Please note that changing the name of company in Q Dispatch can result in the loss of stored data. Please consult us if the name of your company changes or if you start a new company, as additional licenses may be necessary.

14. What kind of reports can Q Dispatch generate?

Q Dispatch can generate reports on your technicians, sources, receptionists and clients. Q Dispatch also generates detailed financial reports including: profit & loss summaries, breakdowns of payment types used, commissions paid out, material costs and outstanding balances owed.

15. Can Q Dispatch keep track of overtime and late-night services?

Q Dispatch can handle adjustments in pay for overtime and late-night work. These rates depend on the rates charged by individual service providers. Service provider information can be viewed and updated from the “Admin” page if there is any inaccuracy.

16. How can I see where services are being provided?

Simply click the “Locate Services On Map” button on the “Services” menu.

17. Can Q Dispatch help me manage high security keys?

Yes! Q Dispatch Locksmith Edition stores your multi-lock IDs, multi-lock numbers and key-cuts in one convenient location. You can search by the key cut number, the employee who provided the service or the phone number of the client.

1. How fast will my email or text message reach my employee?

As soon as you press the email or SMS button, your message will be sent to your employee. The time it takes to reach your employee is determined by the speed of the cellular network.

2. Where does the service go after it’s cancelled?

After you cancel your service, it will appear in the cancelled services link. If you cancelled the service by mistake or need to recall it, simply navigate to the cancelled services page and click the edit button.

3. How do I delete a service provider or tech from the system?

To delete a service provider or tech from the system, navigate to the administrator page. To delete a ser¬vice simply click on the “Delete Service” button and select the service. You cannot delete techs from the system because they need to be on record. If you would like to remove a specific tech from view, simply deactivate it.

4. Where and how do I edit a service?

To edit an active service click the edit tool on the homepage located in the farthest left column.

5. How do I re-assign a service after it has been cancelled?

To reassign a cancelled service navigate to the cancelled services page and select the tech employee. Find the service that you want to recall and click the edit link to reassign it.

6. How do I find a service?

If you know either the zip, phone, customer name or invoice number, enter any one of those into the search box located on the “Search For Services” page.

7. How do I reopen a closed report?

To reopen a closed report navigate to the “Closed Report” page and enter the date and tech information for the job. This can only be done by a manager or administrator.

8. Where does my backup go when I save it?

The backup is stored on an outsourced server and will be available for download to local storage. We keep only the latest version of your data. If more versions are needed, download your saved backups to your hard drive.

9. How do I restore my saved backup?

To restore your saved backup navigate to the “Backup” page and click the restore from backup button. The system will be restored according to the server maintenance schedule. To use your locally saved backup to restore your system contact [email protected]

Q CENTER:

The Q-Center is your homepage and is the center of your business. This screen will allow you to monitor every service and control them as needed. Keeping your list of active services updated in real time. You will know exactly what is happening at all times. This is what makes Q Dispatch the most powerful service monitoring system available.

From here you can edit the details of a service, bring up a map of the job area, print out a hard copy of the job details, contact the employee responsible for a particular service or view the pay-ment information. Q Dispatch offers two easy-to-use ways to contact your technicians with the complete job information. You can send an SMS through the system or send an email.

Scheduler Dispatch

The scheduler dispatch is a calendar view of all your jobs. It is similar to an Outlook format where you can view your jobs by day, week, or month.

Appointments

On the appointments screen you can set, assign, and view future appointments.

Agent

This is the screen that an Agent will see when he logs into the system. The Agent is only allowed to place services and send messages to other users in the system. There is also a Google Search bar here if the Agent needed to look up an address or search for something else.

Services

You can input as many services as needed into the system. You should uniquely identify each service to avoid confusion or misinterpretation. You can delete, edit or add new services from this view.

Open a flexible planner where you can manage work schedules, meetings and

other important appointments. The planner can display a daily, weekly or monthly views. You can display one person’s schedule at a time or see everyone’s schedules together on the same planner. You can also open a timeline for an individual user to see their schedule in further detail.

All reports are defined as either open or closed services and include detailed financial and service information. After viewing any report, you can choose to print a hardcopy for your records.

Open Source Report:

Open source reports are services that have not been completed yet organized by source. All of the important information regarding services rendered is available including: the customer name, the service provided, the appointment time, the technician who completed the job, the parts used, the total amount charged, the amount paid (broken down by payment type), the commission and the unique invoice number for that service.

Closed Source Report:

These are services that have been completed. They include all of the information in the open source report. Closed reports can be edited if necessary. Once you re-open a closed report and make changes the report will be saved as a separate report.

Open Tech Report:

Open tech reports include a summary of all open services that a technician has been assigned and the profits from those services. This report also includes every detail about the individual services provided and the payments received.

Closed Tech Report:

Closed tech reports include a summary of all closed services that a technician has completed. Closed reports can be edited if necessary. Once you re-open a closed report and make changes the report will be saved as a separate report.

Receptionist Report:

Each time a receptionist handles a service their actions are recorded. To find services handled by a specific receptionist, select the user name and the dates you would like to display.

Profit And Loss Report:

The profit and loss report is a comprehensive financial overview that includes every service you perform. Every service is listed along with a great deal of information. This report includes customer names, addresses, the date of the service, the type of service, the time and day of each service was performed, the cost of parts, the cost of labor, the amount broken down by payment type, the outstanding balance, the technician who performed the service, the overall price, the commission paid and your profit from the service.

Zip to Tech:

Builds a financial report which includes services accomplished by the tech, a profit and loss summary, breakdowns of payments used, commissions paid out, and material costs.

Zip to Rep:

Builds a financial report which includes services closed by the rep, a profit and loss summary, breakdowns of payments used, commissions paid out, and material costs.

Day/Night services – How many of that day’s services were completed during the day and which were completed at night. This allows you to staff accordingly based on patterns of when services are requested most and increase the number completed jobs.

Reports - Header Information

The percent commission charged night time services. The percent commission charged on cash.

The percent commission charged on day time services. The percent commission charged on checks.

The percent commission charged on credit cards.

Zip to Company:

Builds a financial report which includes services done by the company, a profit and loss summary, breakdowns of payments used, commissions paid out, and material costs.

Zip to Source:

Builds a financial report which includes services provided by other companies, a profit and loss summary, breakdowns of payments used, commissions paid out, and material costs.

Tax by State:

Builds a financial report that shows taxes owed to state based on each state’s tax rate.

Commission by State:

Calculates commission to be paid to a service provider on open services based on the commission you set by state.

High Security Code:

You can view information related to your high security key system customers in this report. Their contact information, lock, key cut and part numbers are stored here. You can search for specific reports by defining the customer name, phone number, invoice number or by the employee who performed the service.

Graphs:

The graphs feature allows you view information instantly. Select the timeframe to view your progress: Declined jobs – How many jobs were declined and the reason why. Reasons can be edited or added on Admin page under the “Decline” button. Viewing a graph allows you to see which reasons are predominate and allows you to make changes to your business to increase revenue.

Referral Sources – Track where you get the most business from. As you enter a service, ask your customer how they were referred to you. This will help keep your advertising accounts on track, discontinue sources that have not referred you business and focus more on the ones that have.

Admin Area

How Does The System Work?

The Q Dispatch system was designed from the ground up to be very user friendly. This help section was created to assist you in exploring all elements of this system and to allow you to fully benefit from the powerful tools we have included. After ordering Q Dispatch we will create your account. This includes your company information, a default or preferred service provider and local zones around the areas where you work. Adding additional work locations and service providers will be discussed later in this section.

Company Information:

Before you begin using Q Dispatch it is particularly important to input your company name, default service provider, email address, phone numbers, and your address and as part of your unique identity.

Set / Edit Night / Day:

Set the day and night time to determine extra commission for night jobs because scheduling and commission rates will be based on this information. If, on a specific day, your hours of operation are such that additional commission must be paid (generally this applies on weekends), then you must adjust your opening time for one minute past the starting hour.

Set / Edit Service Zone:

What county are you serving? The first step in defining your area of work is to select the counties in which you operate. A job can only be completed and closed if the service is performed in a zone your company is setup for. To input a service from outside your normal service zone, you will first need to set up a technician for that zone. You can also set your zone by zip code.

Assign Employee to Zone:

All employees are defined by the zone in which they work. Employees will be displayed only in the zone they are set up for. If there is only one employee assigned to a zone where a service is requested then they will be the only employee displayed.

Services Type:

Create and edit the most common services that your business does.

Comments List:

Create and edit the most common comments that will be used on your system.

Login Report:

Verify all login activity with the login report.

Users:

This shows a listing of all the users on the system. Here you can verify, edit, or create new users.

Service Providers List:

This is a list of all the service providers on the system.

Tech List:

This lists all the technicians on the system. You can also specify your preferred technician by using the star system. Those with the highest star ratings will be preferred over lower-rated individuals. You can also fill out a time sheet for your technicians. Q Dispatch is unique in that you can as-sign technicians to be hourly, commission only, or both. The calendar on the time sheet has drag and drop abilities for easier usability.

Expense:

Here you can set expenses such as gas or vehicle maintenance and delegate them to a specific technician or a group of technicians.

Delete Services:

If a service needs to be deleted for any reason, you can do so here. All services that are deleted can be recalled and re-assigned if necessary.

Deleted Services Record:

This shows all the services that have been deleted. You can re-assign a service from here.

Schedule Employee:

Use this to schedule your employees to work.

Parts and Group Lists:

Inventory management and component pricing can be handled on the “Admin” page under the “Parts And Group Lists” button. Parts are sorted by groups that can be edited or deleted if necessary.

Add a New Part:

Edit or add a new part to the parts and groups list.

Parts Sales List:

This lists the quantity of each part, the cost and who it was supplied by, the technician who sold it, the price it was sold for, and the person it was sold to.

Refer:

Create customized service referral lists to be used in the system

Decline:

Create customized reasons why a service is declined to be used in the system.

SMS to client :

An optional tool that allows you to create and send custom text messages to the client when a ser-vice is accepted or declined.

Security

We have incorporated an extremely strong security application to keep your business safe. Each company has its own validation process and its own gateway through which it accesses Q Dispatch . Our high-level encryption strongly deters any unwanted visitors from ever accessing your information. We also provide the option of adding a secure line, meaning that all of your system information and data will undergo further encryption.

Each user has rights defined by their user category. The user categories are: agent, dispatch, manager, accountant and admin. By default, there will be one admin in the system with a password that will be provided to you upon creating an account. For security reasons, the default admin can-not change its status to any other user type. It is recommended that you change your password after receiving your information from us. This assures maximum protection for you. Remember, that you are the only one who holds the key to your business, so keeping your password private is very important. As the admin, you can add users and assign them a level of status allowing them specific rights. Each user’s status will define what part of the system they will have access to. Some examples of the rights and restrictions that user groups can have include:

Agent:

Agents can only add new services.

Dispatch:

Dispatchers can add and edit services, send an SMS to employees, find an estimate, view unpaid or closed reports, find services by date and backup the system.

Managers:

Managers are allowed all the same rights as users and can edit services that have been closed.

Accountant:

Accountants can view and complete all financial tasks and reports.

Q Dispatch Setup

Before you begin using Q Dispatch there’s just a couple of steps you need to do on the Admin page to ensure optimal use of the system:

When you purchase Q Dispatch our specialists will create your account in one business day. Typi-cally, your account will be active within two hours of your purchase!

Q Dispatch is designed to allow you to add new users as your business grows. We currently offer the following packages:

Each user can use the controls in the top right of Q Dispatch to edit their email address, security question and password. The admin link will direct you to the admin control panel where you can view the status of all users, change a user’s status or delete a user. Selecting the “Users” link will guide you to a page where you can add to or edit the users list.

For security purposes, all user passwords are personal and cannot be viewed by the admin. If a password is lost or forgotten that user can use the “reset password” tool located at the login screen. As admin, the only way to change another user’s password, is to change the user’s email to your personal email and then use the “password reset” tool with their username. The new password will be sent to your personal email account allowing you to access their account.

Login Report:

Login reports are created for the admin to review and are located in the Admin menu. This is done so that you can keep track of the users logging in, the IP address they logged in from, the time of day and their activity. You can use this tool to monitor your users and adjust their security level if needed. Your login report will also include fraudulent attempts to login to the system. Any failed login attempts will be recorded for your review. You will know if an unwanted guest is attempting to gain access to your system. After five failed login attempts, a computer will be blocked from logging in for 45 minutes. An admin can unblock any users that have been blocked.

Q Dispatch separates your users into four categories by default. You can also customize Q Dispatch to suit your individual needs. When you add more users you can incorporate more of your business in one comprehensive system and boost your efficiency!

Creating New Users

Q Dispatch is designed to allow you to add new users at any time, according to your package. As your business grows there is no need to contact us. We will provide additional licenses to you automatically as you create new users up to your package limit. If you need more than your package limit, please contact us for pricing.

User License

When you purchase Q Dispatch our specialists will create your account in one business day. Typically your account will be active within one business day of your purchase.

We will create an administrator user account when you first purchase Q Dispatch . We recommend that you create a secure password to replace the one we provide. This user cannot be downgraded from admin status for security reasons so it is very important that you do not share your login informa-tion with anyone. If you want to request a custom name for this account you must notify us before we setup your account or it will simply be named “admin.”

Billing Schedule

To prevent service interruptions, when you purchase Q Dispatch we will bill you for the current month and the next 30 days on the first billing. If you are signing up in the middle of the month, we will prorate your bill for the remainder of the month. The billing cycle is on the 25th, regardless of the sign up date.

Billing Issues & Suspension of Services

You have six (6) days after a missed payment to bring your account current. During this time no ac-tion will be taken. After this period ends, you will have fourteen (14) days during which some features of Q Dispatch will be suspended, but you will still be able to login. If you have not paid by the end of this second period your account will be deactivated.

It is still possible to reactivate a deactivated account if you bring your account current. Once an ac-count is deactivated, you may be subject to a new setup fee to re-activate it. The likelihood of being charged a setup fee increases over time as an account is left inactive, so it is always best to pay off your balance as soon as possible.

Q Dispatch is a highly-secure application. Your SMS messages sent to employees, missions to and from credit card companies and the database with your confidential information all utilize strong en-cryption methods to protect your data.

Additionally, every company accesses Q Dispatch through their own secure tunnel.

For those who want additional security, Q Dispatch can transmit your data using SSL (Secure Sock-ets Layer) technology. SSL technology offers more advanced encryption of the sensitive information transmitted between our servers and your computer. This security upgrade will cost only $50 annually and a one-time $80 setup fee.

Transfer of Licenses

The Q Dispatch license applies to your company only. You may not add additional companies or transfer any purchased licenses to other companies. If you have a situation that requires you to modify your company’s information, please contact us. Attempting to change your company information your-self may result in the loss of data.

Proprietary Software License

The Q Dispatch End User License Agreement (EULA) includes: restrictions on use,modification, copy-ing and the republishcopy-ing of Q Dispatch . Please be aware that this is only a limited, non-exclusive license. The licensor is and remains the owner of all titles, rights and interests in the software.

Map Services

Q Dispatch integrates Google Maps. We will continue to work with Google to provide integrated use of map services, but make no guarantee about the availability of these services. Google Maps® is a registered trademark of Google Inc.
