The Position
Barnard Castle School is seeking to appoint an experienced Database officer.
The School
Barnard Castle School is a fully co-educational school for pupils aged 11-18. It has its own Preparatory School for boys and girls aged 4-11, situated on an adjacent site. There are 520 pupils in the Senior School and a further 210 in the Prep School. The Sixth Form currently numbers 140 pupils. The School accepts both day pupils and boarders, the latter currently numbering 150.
While academic achievement lies at the heart of what we do, as a Christian foundation we never forget the importance of fostering mutual respect and decency amongst our pupils. We believe that all our children have something to offer, and we are driven by a desire to find areas where each of them can excel. Every term we offer an extensive programme of extra-curricular activities and we are as proud of those who play chess for their House as those who play rugby for their country.
The School is situated in its own extensive grounds on the outskirts of an historic market town, recently noted as being the safest in England, in an area of outstanding natural beauty. It is well-resourced and enjoys an enviable reputation for its pupils’ achievements on a broad variety of fronts. It is also in proximity to and enjoys close relationships with departments in the universities of Durham, York and Newcastle. The School was inspected by ISI in April 2011. The inspectors found 8 areas “excellent” and rated three “good.” They described BarnardCastle as:
“A well-managed and well-resourced school which is professional and forward-looking in outlook and which has high aims for all its pupils, but which still encapsulates the traditionally unpretentious ethos of this immensely busy, friendly and happy boarding and day school.”

The Job Description
Reporting to: The Foundation Fundraising Consultant/The Foundation Director Responsible to: The Director of Operations
In order to meet the high standards expected of support staff in our school, the Director of Operations seeks to employ a Foundation Database Officer with the following qualities, experience, skills and abilities.
The Database Officer is a new role in School and will initially work closely the Foundation Consultant and Alumni Secretary in the Development Office.
The purpose of the role is to:
• Manage the Foundation database of over 6,000 alumni and parents to ensure that it can support the alumni communication and event programme and be an effective tool for the fundraising strategy. • Increase the level of communication and interaction with the alumni through daily updating of the
alumni website, facebook page and other social media as appropriate.
• Manage the potential donor subsection of the database to provide support for the fundraising approaches, responses and relationship development.
Essential Criteria:
• Suitably qualified in IT, database management and e-mail marketing • Advanced user of ICT
• Excellent communication (written and oral) skills. • Excellent interpersonal and team member skills
• A high level of accuracy and attention to detail in undertaking duties • Advanced user of customer relationship management software • Website updating experience including mobile website
• Social media advance level expertise. Desirable Criteria
• Preferably educated to degree level
• Experienced in an educational/institutional environment • Experience of e-mail and mobile text campaign management • Familiar with email marketing software
• Experience of working with affiliate networks
Duties
The duties of the Foundation Database Officer include (but are not limited to):-
• Management of the Foundation database to ensure that it is constantly up to date and includes relevant information on each record as to an individuals contact with the school through e-mail, attending an event, phone conversation or other communication.
• Daily updating of the alumni website, facebook page and other social media as appropriate
• Notify alumni of special events and activities to which they are invited at school, around the UK and abroad.
• Engage with alumni through e-mail campaigns and mobile text campaigns and keep up to date with the latest online marketing techniques
• Manage the online booking for alumni events
• Work with the Foundation Director and Alumni Events Manager to plan the communication strategy with alumni through email and print and help implement this through effective use of the database. • Establish the PMD subsection of the database and ensure that this group of people are not included
in any generic e-mailing or e-mailing camapaigns and always receive personalised individual contact. • Bringing all the alumni records up to date to include:
- Interests of alumni whilst at school or since leaving
- Information on friendships group at school and since leaving
- Identifying a database subsection of the year group leaders to help communicate with alumni and encourage attendance at events
This job description is not exhaustive and the post holder will be expected to undertake other reasonable duties required by the Foundation Consultant/Director and Director of Operations.
The Appointment
The Foundation Database officer is a new appointment and there is, therefore, a degree of flexibility in terms and conditions. The role is expected to develop and change over time and potentially working hours may increase.
The appointment is part time – 2 days per week.
The working hours are weekdays 8.30 am to 5 pm (with an hour for lunch) but start and finish times and working patterns are subject to negotiation.
Children of support staff may be educated at the School at a substantially reduced rate whilst they are employed by the School.
