Standards
At MakeOffices, creating a safe and healthy
workplace for our employees and members is our
top priority. As we anticipate the return of
on-site office work, we have been putting into place
our new operating plan. Taking into account the
recommendations of the CDC, local & national
government, and collaborating with our landlords,
other CRE industry leaders, and our team, we
have created a new operating plan focusing on
the health and wellness of our community. We’ve
also joined the Workplace Operator Readiness
Council (WORC), a group of 20 flexible workspace
providers around the world, developing guidelines
and new operating standards for workplaces. As
new information is released, we will be constantly
updating and reassessing our plan to ensure
that we are holding our approach to the highest
standards.

Self-Reporting Questionnaire
MakeOffices employees are required to complete a self-reporting questionnaire in order to identify possible exposure or positive tests so we can take appropriate action before they enter our workspace.
Self-Screening Per CDC Guidelines
Employees have been provided with the self-screening guidelines per the CDC in order to take a proactive approach to monitoring their own health in order to identify possible exposure or illness from COVID-19.
Personal Protective Equipment Guidelines
Employees have been provided the PPE guidelines as well as appropriate PPE which will be worn when in all the common areas.

MakeOffices will continue to operate on a modified on-site schedule and will remain accessible but in their offices while on-site.

Office Access
In the event of a positive COVID-19 case in the building or within our suite, we commit to providing members with prompt communication and transparency. The building management will also be alerted of a positive case with in our space to ensure proper cleaning throughout the building.
Member companies must report any known positive cases to their Community Manager. That member will not be allowed to reenter the space for a minimum of 14 days.
In the event of a positive case, any impacted spaces will receive special cleaning processes as outlined by the CDC. Fogging or electrostatic misting will be used with effected areas, including the member office.
Individuals that are impacted will be expected to follow CDC quarantine procedures prior to office reentry.

Cleaning Procedures
Disinfecting Stations
While you were home, we’ve been cleaning our spaces and preparing for your return. Our janitorial schedules have been enhanced and medical grade disinfectant is being used at all site for both day and night cleaning. High touch points and high traffic areas such as pantries, door handles, conference rooms, and printers will be cleaning frequently throughout the day. Self disinfecting stations and hand sanitizer have placed throughout the space for member use. Signage is placed in communal areas to remind all to commit to healthy hygiene and safe disinfecting practices.

We are updating our policies in common areas to instill
safe habits among all our members and staff.
Flow of Traffic
We have created a plan to control the flow of traffic, reduce unintended interactions, and maintain distancing while traveling around the site. Signs and distancing indicators have been placed in the walk ways to show where traffic should be moving.
Common Area Density
In order to allow for safe physical distancing while utilizing common areas around the site, we have spread out our seating. Chairs and seating areas have been removed where necessary.

Common seating areas have been modified to allow for safe
distancing. Chairs have been spaced 6’ apart at communal tables and soft seating areas have been spread out to allow for safe distancing. Our phone booths will remain open and will be sanitized
throughout the day. Seats will be removed in our multi-person huddle rooms and some will be become single person call rooms. Signage has been placed near the entrance of the room to indicate the new maximum capacity of each meeting space. Chairs have be arranged in a zig zag pattern to avoid direct face-to-face interactions.
Kitchens will still be accessible to members with reduced seating and a one way flow of traffic through the space. Temporarily, we have replaced our reusable dishware and utensils with compostable items. We also encourage all our members to bring their own reusable items, especially travel coffee mugs and water bottles, with them to reduce the amount of waste.
Visitor Policy On Site Events
Initially, visitors will not be permitted on-site and we will be taking a phased approach to opening up the site to outside guests.
Internally we have shifted to offering virtual events and will continue to do so for the foreseeable future. On-site events larger than 10 people will be prohibited until further notice.

Member Return to Office Recommendations
• Identify a workplace coordinator who will be responsible for COVID-19 issues and their impact at the workplace.
• If appropriate, develop a staggered schedule so the office is not at capacity upon reopening.
• Acquire PPE and disinfection materials for staff.
• Consider the current layout of your office space and what materials you may need to ensure 6’ of distancing between employees.
• Remind staff to be aware of their surroundings and to keep a safe distance from others.
• Implement cleaning protocols for staff to clean their own workstations.
• Consider additional janitorial services if appropriate.
• Limit technology and office supply sharing. Individuals should have their own materials.

Actively encourage sick employees to stay home
Develop other flexible policies for scheduling and telework (if feasible) and create leave policies
Promote etiquette for coughing, sneezing, & hand-washing Perform routine environmental cleaning
Provide education and training materials
Have conversations with employees about their concerns
Talk with companies that provide your business with contract or temporary employees about their plans
Plan to implement practices to minimize face-to-face contact between employees if social distancing is recommended by your state or local health department
Consider the need for travel and explore alternatives If an employee becomes sick while at work
Develop policies that encourage sick employees to stay at home without fear of reprisals, and ensure employees are aware of these policies.
Allow employees to stay home to care for sick family members or care for children if schools and childcare close.
Follow CDC guidelines for coughing and sneezing, encourage frequent hand washing, and provide tissues and other disinfectant within your office.
Routinely clean and disinfect all frequently touched surfaces, such as workstations and devices. Discourage sharing of tools and equipment, if feasible.
Make sure all materials are in an easy to understand format and in the appropriate language and literacy level for all employees, like fact sheets and posters.
Some employees may be at higher risk for severe illness, such as older adults and those with chronic medical conditions.
Discuss the importance of sick employees staying home and encourage them to develop non-punitive “emergency sick leave” policies
Actively encourage flexible work arrangements such as teleworking or staggered shifts.
Check CDC’s Traveler’s Health for the latest guidance and recommendations. Consider using the teleconferencing for meetings, when possible.
