COURSE ADMINISTRATION CHECKLIST for Directors of

Undergraduate Education

- based on Regulations and Guidelines for Undergraduate and Postgraduate Education at SLU

Before the start of the course

Element

Description

Admission All courses are applied for by students through

Studentportalen/antagning.se (VHS). All admissions are made by the Admissions Office (SUS), Ultuna (Uppsala).

Admission Control The Education Administrator checks admissions of students accepted on conditional terms. In cases of doubt, a discussion is held with the Director of Undergraduate Education, the Director of Studies for the program or the Course Director.

The Course Director activates the course website at least eight weeks before the start of the course.

- The course website is always accessible but students can only access it if it has been activated which is done after login by clicking the button “Activate the Course Website”. When the course website has been activated it is not possible to deactivate it.

- Names of lecturers, education administrators etc. are entered under the heading “Course Team”.

- A list of course literature must be available on the course website at least 8 weeks before the start of the course. Copies of the list of course literature are submitted to the library. A template of the course literature list is available at the LTJ-Faculty´s website (under the heading Education).

- A preliminary schedule must be available at least 4 weeks before the start of the course. The course schedule must give details of the time, location and course components and must also list:

• Compulsory components • Examination times

• Provisional time for re-examination

• Scheduled time for course evaluation (desirable) - Grading criteria must be made available on the course website. - Virtual classroom, Fronter, can be ordered through

utbildningssystem@slu.se

Booking of Premises The Course Director submits details of the premises to be booked to the Education Administrator. Cancellation free of charge is possible up to 14 days before the reservation date. A link to local guidelines is available on the Student Service Centre website.

Welcome Information Start of the Course Course Website Conditional Admission

The Course Director or the Education Administrator sends welcome information to independent students who have been admitted through Enrolment Services. This information should include:

- Time and place for the start of the course. - Link to the course website.

- Students who have been admitted on condition must meet the admission requirements by the start of the course (the Education Administrator verifies this).

Name List The Education Administrator sends the name list of admitted students to the Course Director about a week before the course starts. When the names, e-mail addresses and mobile phone numbers of all students have been registered in Ladok the Course Director will be able to see the data on the course website.

The course grading criteria are listed and explained (should be uploaded onto the course website).

Student self-registration Since 2013 students need to self-register to access all courses. Self-registration is possible from five days before to one week after the start of the course. After this time it is only the Education Administrator who can register a student. Students with conditions can only be registered by the Education Administrator.

3-Week Checkup Three weeks into the course, the number of students on a course has to be checked by the Course Director and the Education Administrator. Students who have dropped out are registered as (early) dropouts in Ladok. Student Representative Elected to

Summarize the Course Evaluation At the start of the course, the student group elects a representative for the course evaluation. The Course Director enters the name of the elected representative on the course website. The student is paid SEK 400. The fee is taxable.

Course Evaluation The course evaluation should be activated by the Course Director as soon as possible after the start of the course in order to give students an

opportunity to enter comments during the period of the course. The Course Director is able to add additional questions to the standard questions before

- The proctor will make a compulsory check of legitimation. - Written examinations shall be conducted so that the student´s

identity is not known by the examiner when the exam is graded. This is done by using a code list. The list is securely stored by the Education Administrator until the examination results are defined and published.

- The Course Director is responsible for ensuring that the correct number of numbered exam papers, jotting paper, code list and envelope etc. are available at the examination.

Tip: The locked staff room in “Agricum” can be used for storing exam materials.

- The examination review must take place before the re-examination.

- Examination review will be offered by any means before a re-examination.

- Students wishing to have the examiner’s decision reviewed may collect a copy of their examination paper. Uncollected exam papers are stored by the Education Administrator for a maximum of two years.

- The first opportunity for a re-examination (scheduled) must be offered at the earliest 10 and at the latest 25 working days after the results of the ordinary examination have been announced. Students are entitled to participate in five examinations for each component of the course. When a course ends students are entitled to a new examination within 3 years. The Course Director documents the number of exams that the students have

participated in.

- The examiner can decide on an adapted examination for students with a statement of teaching support.

Documentation and Reporting of

Results during the Course The Course Director announces the results of examinations on parts of the course to students and reports any part results to the Education Administrator within 15 working days after the examination. The Course Director is responsible for documenting and filing the part results and recording compliance with compulsory components.

After the course

Description

Reporting of Grades Grades are reported by the Education Administrator within 15 working days after the end of the course. The examiner must sign the list of results and immediately return it to the Education Administrator before definitive recording of credits can be carried out. The examination date stated at reporting must be the date the examination that has been passed was carried out, not when the lecturer has finished the grading.

General Re-examinations Two occasions per year: before the start of the autumn and spring term. Application is made to the Education Administrator at least 3 weeks in advance. The Education Administrator is responsible for announcing and organizing examinations, booking premises and invigilators, and supplying and collecting examination papers. Submission of additional data and the like can be made on these occasions.

Comments on the Course

Evaluation Comments on the course evaluation must be uploaded onto the course website by the Education Director and student representative no later than one month after the evaluation has been closed.

Course Certificates Course certificates are only sent out in response to a specific request. Filing The Course Director is responsible for ensuring that the examination material, schedule, literature list and course evaluation are filed in the institution to which the course belongs. The Education Administrator is responsible for filing registration and grading lists from Ladok.

course director.

Urkund All work must be checked for plagiarism in Urkund by the Course Director.

Epsilon The Course Director sends an approved version of the work as a PDF file to the Education Administrator, who is responsible for ensuring that the work is published in Epsilon. The library’s website specifies the factual data that must be included on both the front page and the title page. Approval Forms Approval/grading forms are sent to the Education Administrator so that

grades can be registered in Ladok.

Filing Hard copies of independent work must be filed by the institution which is responsible for the course. .

Course cancellation See Regulation 2.3 Cancellation of course.

A course that forms part of the agreed range of courses offered can only be cancelled in exceptional circumstances and if there are mitigating reasons. The Head of Department makes a request for cancellation of the course to the Vice Dean of Undergraduate Education.

Course Accreditation /Course

Sections The student sends an application with supporting documents to the Registrar. The Education Officer deals with the application and forwards it to the Director of Studies for the program.

Application for Exemption from

the Eligibility Requirements The student sends a written application for a dispensation from the eligibility requirements to Student Services (SUS, Ultuna), which deals with the issue and makes a decision on granting a dispensation. Leave of Absence (Study Break)/
