Aivika One Lite is a simple, user-friendly document management solution which enables users to, in combination with ScannerVsion V5 , scan, digitize, route, store, search, preview, retrieve, organize and optimize their business critical information. Created with the philosophy of manageability, reliability and flexibility, but above all simplicity, Aivika One Lite and ScannerVision™ can operate from the panel of many popular multifunctional devices, or from the PC desktop.
With a touch of a button, even inexperienced users can start to utilize document workflows, formatting and correctly tagging critical information and ensuring it reaches the right destination: automation promotes efficiency, reduces errors, and saves money.

Aivika One Lite
introduction
Concept
The technology and functionality in Aivika One Lite is utilized by organizations to facilitate document search and retrieve. It is designed around the belief that operators should be insulated from the complexities of document processes and policies, in order to increase efficiency, minimize errors and reduce training requirements.
The functionality in Aivika One Lite™ can be categorized into four groups:
• CAPTURE: File capture via ScannerVision and sent to Aivika One Lite thanks to the specific connector.
• STORE: Transfer to document folder structure.
• SEARCH: Search documents contained inside the indexed repository.
• ORGANIZE: Move documents to different folders based on internal workflows.
Document workflow can be executed at any time by any user with the needed rights. The Document Workflows could be pre-defined processes or created on real time using the functionality “send document to:”

Components
Aivika One Lite is composed from 3 different modules*:
• Main Aivika One Lite Software: Main software. Server or client, depending on user permissions applied.
• Aivika One Lite License Check: Needed to activate Aivika One Lite. Will be responsible to check if there’s a valid license. Requires ScannerVision installed.
• Aivika One Lite ScannerVision connector: Links ScannerVisionengine with Aivika One Lite database document database

Hardware Recommendations
The hardware requirements for Aivika One Lite will depend greatly on the operating system selected, desired performance and workload placed onto it. Suggested configurations are as follows:

The above hardware requirements are for just software running. Aivika One Lite is a Document Management Software the storage space must be proportional to the number of documents to be stored, considering also the database size with index, approximately 1/3 part from the total space required for document storage.

Deployment Considerations
Installing
!
Aivika One Lite installation executable contains all pre-requisite runtime libraries with the exception of SQL Databases. Once configured, it operates as a Windows service and may be left unattended.
Product Licensing
Activation
You have to activate your Aivika One Lite installation before you would be able to start using it. Aivika One Lite requires ScannerVision V5 installed at same machine and before start using Aivika One Lite. Aivika One Lite Licensing app. will check with ScannerVision licensing system if there’s a valid license.

Installing Aivika One Lite
Always Admin Mode
Aivika One Lite installation must be executed with full Admin Rights. That’s important as installation process will need to install some services and database relations. All this tasks will require Admin rights.
Step 1: First steps and language selection

• Right click over “Aivika One Lite Installer.exe”
• Select “Run as administrator”

• Immediately Aivika One Lite install will appear
!

• Click over “NEXT” to continue or “CANCEL” to exit from installer
• Select the desired language:

Step 2: Server / Client installation
!

From the same installation file Aivika One lite can be installed like Server or Client. The
differences between both versions are:
Server mode
- The database and system services will be installed
- Aivika One Lite client will be installed
Client Mode
- Only Aivika One Lite client will be installed
In both cases, before starting with installation, Aivika One Lite installer will check if all the required software is pre-installed in the computer. If the software is not installed the own installer will show us where to download it. Pre-requisite software will be different for each
installation.

Installing Aivika One Lite like CLIENT
!
• Select “Client” and click over “Next”
!
• The pre-requisites screen will appear informing about what’s needed and what the status
is. If everything is installed just click “Next”, if anything is missing follow the provided link
to install it before continue:

• When everything is done click over “Next” to proceed with install.
!
!
!
!
• Select destination folder for Aivika One Lite application. Also inform about who will be
able to access the software ( all the users or the actual user ). Click “Next” to proceed and finish software install.

• Launch Aivika One Lite from your desktop
• Aivika One Lite Login screen will appear.
!
• The first time you log in to Aivika One Lite default user and password must be used.

▪ Data server name: Database where Aivika One Lite is configured. You must select the database from the provided list. If there’s nothing to select please make sure Aivika One Lite Server is installed and visible in your network, see “Aivika One Lite Server Install” to know more about.
▪ Data route: That’s the main folder where the document structure and the own documents will be stored.
▪ Network data route: This field will be automatically generated based on the info provided at “Data route” field. It will show the network shared name for the data route.

The folder selected to be used like DATA FOLDER must be shared and must have all the rights added to all the users. Follow next steps to do it*.
!
• Click over “Store” to finish software installation process.
• Open your “files browser” and locate the folder you selected at “Data Route”
• You’ll notice a “$” symbol has been added at the end of folder name, that’s OK
• Right click over the folder and select “Properties”
• Select “Share” tab
• Select “Advanced shared use”
• Click over “Permisions”
• Assign FULL CONTROL to ALL the users.
• Accept to share the folder

* The above steps illustrates the process with Microsoft Windows 7. Depending on the OS you are using some of the steps could be different.

Installing Aivika One Lite like SERVER

• Select “Server” and click over “Next”

• The pre-requisites screen will appear informing about what’s needed and what the status is.
If everything is installed just click “Next”, if anything is missing follow the provided link
to install it before continue.

• If you don’t have SQL Server previously installed in your machine it needs to be installed.
Aivika One Lite installer will guide you offering 3 different options:
▪ SQL Server Express 32 Bits: Will open the official download location at Microsoft website.
▪ SQL Server Express 64 Bits: Will open the official download location at Microsoft website.
▪ Local files: Select this option if you already downloaded the SQL Server
install files and you want to select the installer locally.

It’s very important to install SQL Server from the provided links as they contain parameters to correctly configure databases and SQL environment.
With the SQL installation a new instance is created with the name “SQLEXPRESS” . This new instance is protected by user and password:

• If you already have more than one instances from SQL Server at your computer , Aivika
One Lite installer will offer you the option to select which instance must be used. Select the desired instance and click “Next”
!
• After the instance selection ( if you have only one instance you’ll arrive automatically to
this point), you must proceed with the new database install. The first thing installer will do is test the connection. To connect with the SQL we can use two different authentication
methods, Windows ( selected by default) or the own SQL security.

• Press over “Connection Test” to perform the check. If the connection with SQL is correct a message like this will appear
!

• Aivika Lite One needs next services running:
▪ SQL Browser status
▪ SQL Agent
▪ SQL Full-text filter status
• Aivika One Lite installer will check now that there’s nothing blocking the service installation:

• Everything should appear with the green “v” symbol at the left to be able to continue
installing

• If during this process you see an screen like this:

▪ Unninstall from “Add and Remove Programs”:
• AutoIndex Service
• Listener Service
▪ Remove from SQL Admin ( All data will be lost!! ):
• DoCri database
• DoCrindex1 database

• When all the options are in green click “Next” to continue with Aivika One Lite Client
install
• Aivika One Lite Client install procedures are the same described at “Installing Aivika One
Lite like CLIENT”, refer to this section at this manual to continue with installation.
