What is OWA?

OWA is the Outlook Web Application. It is used to check mail, over the web, while away from the Booth computer connected to Outlook or Entourage. OWA can be accessed from the direct link. http://owa2010.chicagobooth.edu is used when access is needed to mail off campus, while traveling, on a public computer or at home. Your Booth username and password is required to access OWA. The VPN client is not needed to view email using OWA.

Login to OWA

1. Open a web browser.

2. Point it to: http://owa2010.chicagobooth.edu. 3. Log in with your Booth username and Password.

Sending Mail

How do I compose a message?

1. Login to OWA using the URL above. 2. Click on the New button.

3. A new message will appear.

4. Enter the pertinent information and click on the Send button.

How do add a signature to my outgoing mail?

1. Login to OWA.

4. In the Email Signature field, type and format the email signature. 5. In the lower right of the screen, click on the button.

How do I check spelling in a message?

1. Login to OWA 2010.

How do I save an unfinished Email without sending it?

Can I unsend a message?

1. No. Once you have clicked on the Send button, the message cannot be retracted.

What is the maximum size of a message I can send?

1. 20MB. Note that this is the size after all attachments have been MIME encoded. Encoding is necessary to convert a binary format to the text format used behind the scenes in email. Encoding can add up to 1/3 additional to the size of the file(s). We recommend that you compress large attachments using a product like WinZip. Or Booth users can use the File Sharing Service available on the portal.

How do I send an attachment?

1. Login to OWA 2010.

2. Click on the New button to start composing a message. 3. Click on the button.

4. Click on the Browse button.

5. Browse your computer for the file. 6. Click on the file.

7. Click on the Open button. 8. Click on the Attach button.

How do I enable the return receipt option?

1. Login to OWA 2010.

5. Click on the OK button.

6. If no changes are needed, click on the Close button.

Receiving Mail

How do I read a message?

1. Login to OWA 2010.

2. Double click on the message to read from the displayed list. 3. The message will appear.

How do I search for a message?

1. Login to OWA.

2. Type the search criterion.

3. Click on the magnifying glass to execute the search. 4. The results will appear below the search criteria.

What is the maximum size message I can receive?

Deleting Mail

If I delete a mail, can it be recovered?

1. When you initially delete a message, it goes into the Trash folder. You can recover it from there. 2. If a message is deleted from Trash, it is gone.

How do I delete a message?

1. Login to OWA 2010.

2. Click on the message to delete. 3. Click on the button.

How do I delete mail from my Deleted Items folder?

1. Login to OWA.

2. Right-mouse click on the Deleted Items folder. 3. Select Empty Deleted Items.

How long until mail in the Deleted Items folder is deleted?

1. There is no set policy.

2. Remember that messages in Deleted Items count towards your quota, so you should delete the mail in the deleted mail folder often.

Address Book

How do I add a person to my address book?

1. Login to OWA 2010.

2. Click on the contacts icon. 3. Click on the icon. 4. Fill in the fields necessary.

5. Click on the button.

How do I edit an existing contact?

1. Login to OWA 2010. 2. Click on the icon.

How do I view contacts in my address book?

1. Login to OWA 2010.

2. Click on the icon.

3. Roll the mouse over the contact to view. The information will appear to the right of the contact list.

How do I add a group to my address book?

1. Login to OWA 2010. 2. Click on the icon.

3. Click on the dropdown next to the icon. 4. Click on the Group item.

5. In the Group Name field, type an identifying name for the group list. 6. Click on the Members button to search for users to add.

7. Use the search field to search for a user. 8. Click on the user to add the user to the list. 9. Click on the OK button.

10. Click on the Add to Group button. The user’s name will appear in the group list under the members and group name items.

11. Click on the button.

How do I edit an existing group?

1. Login to OWA 2010. 2. Click on the icon.

3. Double click on the Group list to edit. 4. Click on the name to delete.

5. Click on the Remove from Group button.

Note: Do not click on the X button. This will delete the entire group.

6. Click on the button.

How do I send Email to an address book contact or group?

1. Login to OWA 2010.

5. Press the enter key to execute the search. 6. Click on the name from the list.

7. Click on the To, Cc or Bcc button depending on how you want to email this person. 8. Click on the OK button.

Mail Folder

How do I create a mail folder?

1. Login to OWA 2010.

2. Right-click on the folder where you want to create a new folder. a. For the most part, this will be the name of the account.

b. You can also create a folder under the Inbox folder, but could be any existing folder. 3. Select Create New Folder.

4. Type a name for the folder in the field. 5. Press the enter key.

How do I rename a folder?

1. Login to OWA 2010.

2. Right-mouse click on the folder to rename. 3. Select Rename.

4. Type a new name in the field. 5. Press the enter key.

How do I delete a folder?

1. Login to OWA 2010.

2. Right-mouse click on the folder to delete. 3. Select Delete from the menu.

How do I move a message to another folder?

1. Login to OWA 2010.

2. Click on the message to move.

3. Hold the mouse button down and drag to a different folder. 4. Release the mouse button.

How large is my Email Quota?

Email quotas are the same for all users at Booth.

Email 1. MBA Students 1 GB

2. PhD Students 1 GB

3. Staff 1 GB

4. Faculty 1 GB

Out of Office Message

How do I set an out of office message?

1. Log into OWA 2010.

2. Click on the Options button.

3. Click on the Tell people you’re on vacation link.

4. Select the Send automatic replies radio button.

5. Check the Send replies only during this time period checkbox. 6. Set the dates.

7. Type the message you want users within the Booth organization to receive in the first message field. 8. If you want messages sent to users outside of Booth, check the Send automatic reply messages to

External Senders checkbox.

9. Set the replies option as appropriate.

How do I forward or un-forward my mail?

Students can forward and un-forward their email by using the un/forward my email portlet in the portal.

Miscellaneous

How do I check my usage quota?

Users can check their email quota directly from the OWA application. 1. Roll the mouse over the icon next to the name on the account. 2. A popup appears detailing the space used on the Exchange server.
