Outlook 2010 GroupWise

Reading Pane automatically displayed (on the right but can be switched off or displayed at the bottom of the screen using View – Reading Pane…)

Quick Viewer available from a button or the View menu.

Favorite Folders section available so user can drag & drop any folder into this area and always have available near top of screen.

No Favorites area available.

Mail is stored under the Inbox. Mail is stored under the Mailbox.

Personal folders are stored under the main Mailbox folder. (You can create a folder called “Cabinet” under the main Mailbox by right-clicking on Mailbox

and selecting New Folder… then create your personal folders under the Cabinet to “ mimic what you were used to in GW!)

To do items are available as Tasks and appear in their own section button on the Navigation Pane, in the Calendar, and in the Mail on the To-Do Bar.

To do items are available as Checklist.

Deleted items will stay in the Deleted Items folder for 7 days and then automatically be deleted. Items that have been automatically deleted can then be retrieved for 7 more days but only by calling the Help Desk.

Deleted items are located under Trash. Items were automatically deleted after 7 days. Cannot recover deleted items once Trash is emptied.

Drafts folder holds all saved messages. Work in Progress folder holds all saved messages.

High priority message appears as red exclamation point and low priority as a blue down arrow.

High priority message appears as red envelope and low priority as a grey envelope.

Common FILE tab menu functions

Outlook 2010 has moved many common functions under the File tab. In previous versions of Outlook, many functions such as the Account Settings, Out of office, Rules, etc were under the Tools/Options menu. However now many of these functions are located under the File tab in Outlook 2010.

Note: Outlook 2010 has consolidated TOOLS options under the File Tab, Options. There are many User Preference settings which include Mail, Calendar, Contacts, etc.

Also under the File tab are the previously stated common configurations such as Account Settings, Automatic Out of Office Replies, Mailbox Cleanup and Rules and Alerts.

Calendar Proxy – Outlook 2010

Click Calendar in the Navigation Pane, click Share Calendar.

Add the person to Share your calendar and ensure the Allow Recipient to view your Calendar box is checked.

Folders/Folder Sharing – Outlook 2010

Right Click on the Folder to be shared, click Change Sharing Permissions, click the Permissions tab, Add the User, Set the Permission level for appropriate access.

NOTE: Users also need permission to the Mailbox Root and Inbox to view the Shared Sub-Folder. These steps are also required on the folder above the Shared folder such as the Inbox.

 Right Click the Mailbox Root (Mailbox – User)

 Add the User for permission, Check the Folder Visible box. The permission Level remains set to None

Right Click the Cabinet, click New Folder, Select Shared, type the Folder name and hit Next, then Select the users to Share the folder and add the appropriate permissions.

To Open the Shared folder – Outlook 2010 Go to Tools, Account Settings

Select your Exchange Account and click Change Click More Settings

Advanced Tab, click Add

Type the name of the mailbox that has been shared Click OK

To Open the Shared Folder- GroupWise

Click the Message to open, then follow the prompts to install the Shared Folder in your list
