Authenticate and Print your Jobs
How to add a new printer/copier ( Windows XP ):
Click on “Start”, then select “Printers and Faxes” Select “Add a printer” (1), then “A network printer, or a printer…” (2). Click “Next” (3).Make sure “Find a printer in the directory, …” is selected on the next screen. Hit “Next” Make sure “In: Entire Directory” is selected. Type “wgs” in the “Name” field, then click on “Find Now”. Find the printer you’d like to add in the Search Results and double‐click to install. Back to Index
How to add a new printer ( Windows 7 ):
Click on “Start”, then select “Devices and Printers” Select “Add a printer” (1), then “Add a network, wireless or Bluetooth printer” (2). Click “Next” (3).Click on “The printer that I want isn’t listed” Make sure “Find a printer in the directory, …” is selected on the next screen. Hit “Next” Remove the default value “WGS\” from the “Location” field, and typ “wgs” in the “Name” field (1), then click on “Find Now”. Find the printer you’d like to add in the Search Results (3) and double‐click to install. Back to Index
Setup Windows XP to print on copiers:
Click on “Start”, then select “Printers and Faxes” Right‐Click the Copier and select “Properties”
Go to the “Advanced Options” tab (1), check the “User Authentication” (2) checkbox and hit “OK” (3). Right‐Click the copier again. This time click on “Printing Preferences”.
Navigate to the “Valid Access” tab (1), click on “Authentications…” (2) and type your employee ID and passwords in the fields (3). Click “OK”. To safe settings, click “OK” (4) again. Right‐Click the copier and select “Printing Preferences” you’ll see this screen. In the field “Job Type” you can select the following jobs: Normal Print (will spit out your documents, whether you are at the copier or not) Locked Print ( requires a password when sending the printjob. You then will have to go to the copier, select you print job and enter the password to actually print it ) Hold Print ( the printer won’t print your job until you go to the copier, authenticate yourself and select the job to print ) Back to Index

Click on “Start”, then select “Devices and Printers” Right‐Click the Copier and select “Printer properties”

Authenticating and retrieving a print job:
Click on “Login” Enter you employee ID by using the touchscreen or the keypad below the screen. Then tap on “OK”.
Enter your password ( same as the password you use to logon to your computer ). Press “OK”. Once you see this screen, you’re successfully authenticated and you can now use the copier.
When you’re done using the copier, press the “Login/Logout” button on the right side of the screen. Confirm logoff by clicking “Yes.” To retrieve a print job, continue reading. Back to Index
Click the “Printer” button below the screen. You should see this screen. If not, make sure the “Simplified Display” button on the right side of the screen is not GREEN. Find your print job in the list. Click it. Then select “Print” to print it. If you chose a “Locked Print” the printer is now going to prompt for the password you entered when you sent the print job. If you’re done using the copier, please Logout. click here to jump back to the logout process.
Print Job Overview:
Available Print Jobs: Normal Print: A normal print job. Spits out your print outs whether you are at the copier or not. Locked Print: A locked print prompts you for a password you create when printing. You will the have to go to The copier, find your print job and enter the password in order to actually print the document. ‐ No one else will be able to print this job, without knowing the password ‐ Hold Print: A hold print will not be printed until you go to the copier, authenticate yourself and select the Print job and select it to be printed. ‐ Job can be printed by anyone ‐ Change Print Job Modes: To change the type of print job print a document as you would print any other document. Select the copier (1) and then click on “Preferences” (2).
Under “Job Type”, select the Print Job type you want to use. In case you selected a “Locked Print” you will then have to click on “Details…” Enter your employee number in the “User ID:” field and create a password in the password field. You can choose whatever password you want containing 4‐8 digit numbers.
If you selected a “Hold Print” you have to click on “Details…”, too. Enter your employee number in the “User ID:” field and a file name in the “File Name:” field. This file name will be helpful to identify your print job on the copier. Back to Index
