ADDENDUM #1

This addendum herein supplements, modifies, changes, deletes from or adds to the original contract documents, dated April 29, 2015, for the Re-roof Princess Anne and Kempsville Buildings and is herein made part of the Contract Documents.

This addendum includes 11 pages. PART 1 GENERAL CLARIFICATIONS

1. Specification Section 07620 applies to metal flashings and coping caps within the field of the roof and specifically excludes the roof’s perimeter edge metal. Specification Section 076201 applies to the roof’s perimeter edge metal.

PART 2 CHANGES TO THE PROJECT MANUAL

1. Specification Section 07552, part 2.2, section ‘A’, number 1 shall be deleted.

2. Specification Section 07552, part 2.2, section ‘D’ and ‘E’ shall be deleted.

3. Specification Section 07552, part 2.3, section ‘A’:

180 mil minimum thickness to be replaced with 120 mil minimum thickness.

4. Specification Section 07552, part 2.4, section ‘A’:

160 mil minimum thickness to be replaced with 120 mil minimum thickness.

5. Specification Section 07552, part 2.4, section ‘B’:

180 mil minimum thickness to be replaced with 160 mil minimum thickness.

RECORD OF ATTENDEES: All attendees present should sign the Pre-Bid Conference sign-in sheet before the end of the conference. Note: This is a mandatory pre-bid conference. Bid proposals will only be accepted from those bidders who attend this conference. Each attendee may represent only one bidder.

THE FOLLOWING ITEMS SHALL BE COVERED: INVITATION TO BID:

 Sealed Bids shall be received by 1:00 PM on June 4, 2015 at the address listed in the IFB or they will be marked LATE and SHALL NOT be considered.

 Bids will be opened and read aloud at 1:00 PM on June 5, 2015 at the same location.

INSTRUCTIONS TO BIDDERS:

 Bid envelope SHOULD include the business name, address, phone and fax number, contractor license number, name of project, project number, bid due date/time, and bid opening date/time.

 Bidders must submit a copy of their valid Virginia Contractor License to qualify as a bidder.

Commonwealth Bid Bond of 5% is REQUIRED. Successful bidder will be required to submit Performance Bond & Standard Labor and Material Payment Bond regardless of contract amount.

Permits: building permits will be obtained and paid for by the owner. All other permits, if required, are the responsibility of the Contractor.

Time for Completion: work shall be commenced within 10 calendar days after a Notice to Proceed and substantially complete within 100 consecutive calendar days. Final completion of the work shall occur within 30 consecutive calendar days after the date of substantial completion. There are no liquidated damages for this project.

PRE-BID QUESTION FORM:

 All questions must be submitted in writing on the pre-bid question form bound into the project manual.

 Questions must be received in the office of DJG, Inc by May 22, 2015. NO EXCEPTIONS. The sender bears the sole responsibility of verifying receipt of all fax transmissions.

 All answers to submitted Pre-Bid questions will be issued as an addendum to the Bid Documents and posted online at

www.eva.virginia.gov. It is the bidders’ responsibility to verify if any addenda have been issued prior to submitting bids.

 Copies of submitted questions and their answers will be distributed to all bidders.

BID FORM:

 Individual contracts will be awarded on a Total Base Bid Amount.  Bid Form shall be filled out completely, signed, and dated.

 Bidders must acknowledge receipt of all addendum on the bid including the date received and addendum number

SPECIFICATION DIVISIONS:

 Bidders shall review all technical sections of the project manual.  Temporary Construction Facilities

Water – Contractor will have access to the owner’s water supply. Contractor shall be responsible for all connections and extensions necessary for the completion of the work. Electricity - Contractor will have access to the owner’s power supply. Contractor shall be responsible for all connections and extensions necessary for the completion of the work. Sanitary – Contractor shall be responsible for sanitary facilities.

GENERAL REVIEW OF DRAWINGS:

 Review project site limitations and access

 Hours of operation: 6:00 am – dark, Monday – Sunday QUESTION AND ANSWER PERIOD:

 Responses to questions that may impact the scope of work and/or a bid price proposal must be made in an Addendum to the Bid Documents. Responses that only involve locating information that is already in the Bid Documents may be made verbally during this Q&A period.

 An addendum will be issued that will include these meeting

minutes, any questions submitted in writing, and a copy of the pre-bid conference sign-in sheet.

Clarifications

-The Princess Anne and Kempsville buildings will be occupied during the performance of the project.

-PSI is under contract to the Owner as the full-time inspector. -The two buildings can be worked consecutively or

simultaneously.

-Construction for both buildings is tentatively scheduled to begin on October 1, 2015. An initial pre-construction meeting will be held in August to discuss submittals and other

administrative requirements. Another pre-construction meeting will be held just prior to construction in late September.

-One laydown area shall be located in the general area between the two buildings to minimize site disturbance. Contractor shall be responsible for all grounds remediation associated with the completion of the project including regrading, seeding, application of straw, replacement of ornamental trees and shrubs, and repair of any damage to the existing concrete walks or building façades. Contractor shall be responsible for documenting the existing conditions.

-The existing package mechanical units on the roofs have been recently replaced, are in good working condition, and visibly free of asphalt, paint, sealant, etc. Contractor shall be responsible for maintaining the units in their current condition. Contractor shall be responsible for documenting the existing conditions.
