End-User Guide

Overview

This guide provides instructions for the use of GMCR DAM Digital Asset Management system.

What is DAM?

GMCR DAM is a website designed as a resource for GMCR’s Marketing Team, suppliers, and domestic sales personnel allowing them to store, view, and download images, various PDFs and other promotional materials for use in their designs subject to the GMCR Digital Asset Licensing agreement.

In effect, this system enables all parties to:

• Promote brand consistency • Increase productivity • Accelerate speed-to-market

Accessing DAM

Access to DAM is provided online via the web at:

Open your web browser and go to the address noted above and enter your access credentials into the Username and Password boxes. Please note that you must agree to the GMCR Digital Asset Licensing Agreement in order to access the site. Click the Login button when done. Upon successful login you will be directed to the home page.

Requesting Access

If you require access to DAM, you may submit a registration request by clicking the Requet Access link from the login page. From there you will be directed to a page where you can submit your registration info for an administrator to review. Please make sure to fill in all the information to the best of your ability.

Upon approval of a registration request, you will be sent an e-mail containing your username and password. This username and password must be used to enter the site.

Resetting your password

In some cases you may be required to reset your password in order to continue use of the system. If you are prompted to reset your password please enter your response to the challenge phrase and click Submit. Your new password will be emailed to you and you will be able to continue accessing the site by logging in with your updated password.

Getting Help

If you are having problems accessing the site or have any other issues, please visit the Support page and send an email to the appropriate contact describing your problem.

Using DAM

The site contains a variety of features that will allow and facilitate your search and use of GMCR digital assets. Amongst the features are a search functionality, a shopping basket, preview functionality and the ability to download your selected assets in a variety of archive formats.

Navigation

Upon login you will be presented with a list of areas which you are able to access. You can browse these areas via the “tree” menu on the left hand-side or by the flat list in the center of the page. An example tree menu is shown below:

Using either navigation method you can drill-down through the various areas to find the asset(s) you are looking for.

Searching

A quick search box is provided on the top right of every page to allow you to quickly find what you are looking for. Simply enter your search term to search all assets by filename.

If you need to refine your search, you can use the advanced search page to futher specify what you are looking for by clicking “Search” in the top menu. The advanced search page allows you to select which area(s) to search as well as allowing you to search on different criteria including file name, file type, and metadata.

If your search produces too many results, you can click the + (plus) button to add another criteria to your search. Inversley you can click the - (minus) button to remove a search criteria.

Browsing Assets

As you browse the site you will notice that each asset is represented by a preview thumbnail along with several options and some general information about the asset.

The different options may or may not be available to you depending on the type of asset you are viewing (i.e. PDF vs. JPG) however, there are some options that are universally available.

The Asset Basket

An integral part of the site, the asset basket allows you to review, order and download multiple assets in one step.

Adding to the Basket

To add an asset to the basket simply click the basket icon under the file you require. The add to basket icon will change colours when it has successfully added the file. Once added you can use one the “Show Basket” buttons to view the contents of your basket. Clicking the add to basket button a second time will remove the asset from your basket.

Downloading from the Basket

Your basket can be downloaded from the “Show Basket” page by clicking the “Download” arrow. The files will be compressed into a single .zip file for easy transport. If you have problems unzipping the assets please contact your I.T. department.

Ordering Assets from the Basket

In some cases you may need to request that assets be sent to you, either because you require physical shipment or you because you are not allowed to download from the site.

From the “Show Basket” page click the “Request Shipment” button at the top. Please enter all the pertinent information needed to fullfill your request including any additional comments. When satisfied click submit and an adminitrator will be notified to process your request.

Emailing Assets from the Basket

The Email File Management module provides the capability to send baskets of files via email at the click of a button. The email received will direct the user to login into the site with a temporary login where they can download the assets.

To start using the Email File Management module, add the assets you wish to send to your basket. When done, open your basket window (Show Basket) and click the Email File Management button.

Fill out the form with your name and email address and the email address(es) of the recepient(s). You can optionally write a comment which will be sent with the email. For the VDAM Name field put a unique name or string of characters. For the Days to Keep field enter the number of days for which you want the assets to be available for.

For the assets you can optionally check the Include Thumbnail with Email button to send a small thumbnail in the email. Leave all other options at their defaults.

Click the Send button when done. If the email was sent successfully you will be presented with a copy of the email the recepient(s) will receive.

Glossary

The following is a list of terms used throughout the site and this guide.

GIF

GIF formatted images are good for low quality, small file size images with large flat colour areas. They are generally not appropriate for realistic photographic images. GIF images work as either grayscale or RGB (for screen viewing).

JPG

JPEG images are good for realistic illustrations and photographic images. You are more likely to notice visible artifacts in the images where there are large flat colour areas if a higher compression setting is used.

TIFF

TIFF files are excellent for high resolution output to printers and hi-end imaging devices although they do support low-resolution display and output. These files are generally not appropriate for on-screen use, as most applications are not designed to use this format. TIFFs support grayscale, RGB, CMYK and multichannel image files.

EPS

EPS files are also appropriate for high resolution output and for print applications. They are not appropriate and typically not compatible with applications such as PowerPoint and web browsers. The JPEG

component refers to the image preview that is displayed when the image file is used within an application such as QuarkXpress®. Generally using JPEG previews should be avoided as many hi-end devices do not deal with these files correctly. The EPS file format supports grayscale, RGB and CMYK colour spaces as well as multiple spot colours and clipping paths to mask portions of the image.

Resolution

It is important that the proper resolution is assigned to an image. Consider the original resolution of the image carefully for the end use. This is critical to image quality.

Following is a good rule-of-thumb for end uses:

• 72 dpi: PowerPoint presentations, web sites

• 150 dpi: black & white or low-medium grade laser prints

• 300 dpi or higher: high-grade laser prints, professional graphic applications

Zip File

The ZIP file format is a data compression and archival format. A ZIP file contains one or more files that have been compressed, to reduce their file size, or stored as-is.
