1. Overview of the Service

1.1. Overview

Clare Associates Ltd can provide website design and development services to departments and organisations looking for anything from a simple website to a database-driven content management system.

1.2. Our skillset

We produce search-engine friendly, accessible websites using the latest responsive design techniques.

Our skillset includes:

 HTML / CSS / Javascript / Ajax

 PHP / MySQL

 Drupal / WordPress content management systems (CMS)

 WooCommerce eCommerce systems

 Social media integration

 Online booking systems

 Online surveys and feedback collection

2. Product Features - How Clare Associates can help

Clients almost never want is to just design their websites – even when they say they do. We don’t just do design. What we do is website creation.

Our service gives you a lot more than just web design. 2.1. What is good web design?

A website may look good, but if nobody knows it’s out there, then it is not fulfilling its function. A website needs to be search engine friendly, with relevant content that will attract the right visitors. Submitting and resubmitting the web site to search engines won’t bring any traffic if the site doesn’t contain the words that people are searching the web for.

2.1.2. Accessibility and Usability

When someone visits your website, we want them to stay! The look of the site is important, the web is a visual medium after all, but it also needs to be easy to use. That means a clear layout that works on old and new computers. People use a wide range of software to browse the web, and it doesn’t all work in the same way. Your site needs to be accessible to everyone so you won’t be the only one looking at it. 2.1.3. Responsive Design

With more and more people accessing websites using smartphones and tablets, it is increasingly important that websites display properly across a variety of screen resolutions. We specialise in responsive design websites – sites that dynamically adjust how they display according to the resolution of the viewer’s device.

2.2. Content Management Systems

When the information on a website needs to be updated frequently, a content management system is essential. You should not have to rely on your web designer to add new pages, text or images.

2.3. Online Booking Systems

Our work in the travel industry with tour operators, accommodation providers and airlines has given us considerable experience of online booking systems. In the public sector, this experience is directly translatable to online booking of college and university courses.

2.4. Online surveys and feedback collection

We have significant experience in the creation of online surveys, including ones conducted for university research purposes.

3. Information Assurance

3.1. Information Security Accreditation

This is a service suitable for IL0 if using our own resold web hosting. For higher Impact Levels, we can work with your own hosting provider.

4. Backup / Restore and Disaster Recovery

Where websites are maintained on our own resold hosting, a full backup / restore and disaster recovery service is provided and maintained by the hosting provider.

Where websites are maintained on your hosting, you would be responsible for ensuring backup / restore and disaster recovery functionality.

5. On-Boarding and Off-Boarding Process

We will work with you to agree a reasonable timetable for development of new websites. It is important to note that you will always have full administrator access to your site and intellectual property rights to content you have created.

6. Pricing

We believe in transparent pricing. Our fees are based on a daily rate of £490 per day (£420 per day for educational and research clients). We will give a firm estimate of development time at the enquiry stage, and our fee will be based on that estimate multiplied by our daily rate. Where additional functionality is requested after our initial quote, that extra work will be charged at the rate of £70 per hour (£60 per hour for educational and research clients), subject to your approval.

We are often asked to continue to manage websites that we have created. Such management may include minor changes, on-going technical support, training of your staff etc. We charge this management time at the same hourly rate. For more details on our website management service, see our separate G-Cloud service offering “Website Management”.

Our quotation will assume up to three sets of amendments and revisions to our first draft website. We are very happy to go on amending the appearance of the website after that, but please note that there would be an extra charge for this. We find this approach helps our customers focus on the areas of the design that really affect their user experience and decide what is most important, while still giving a lot of flexibility and not increasing costs.

7. Product / Service Options

As described above, Clare Associates can produce a variety of different types of websites to suit your needs:

 Simple websites which do not require frequent updating.

 Content management systems.

 On-going management of websites.

8. Service Constraints

No service constraints exist, beyond those imposed by the hosting provider.

10. Financial Recompense Model

Clare Associates accepts no responsibility if, for reasons beyond our control, your website is suffers significant downtime.

If our service to you falls below the agreed level, you will be eligible for a refund appropriate commensurate with the deficiency.

Training

Where we install a content management system with the intention that your staff will be partly or fully responsible for content, we can, at your discretion, provide training to the relevant staff. This training will be provided at our regular daily or hourly rate (see ‘Pricing’ above).

12. Ordering and Invoicing Process

For website design and development jobs, we invoice 20% of the fee upon completion of our initial scoping of the job requirements and agreement with you, 50% after we have completed our first draft of the site and submitted it to you for comment, and the remaining 30% after the site is complete and ready to go live.

For on-going management, we invoice monthly where the time involved is four or more hours per month or quarterly when the time involved is less than four hours per month.

Credit terms are 30 days from invoice date. Payment can be made by cheque or BACS.

13. Termination

You may terminate your contract with us at any time. We will issue a final invoice covering any work done since the last invoice billed by the hour. There are no termination administration fees. Conversely, we may also terminate the contract at any time. However, we will provide a

minimum of 30 days’ notice.

15. Customer Responsibilities

You are responsible for:

 Content of the website – unless you ask us to prepare or edit content as part of our contract.

 Informing us of the ultimate purpose of the website so that we can best advise you.

16. Technical Requirements

Where you retain some responsibility for content updating and editing, those individual users will require internet access in order to access the web-based interface for the content

management system.

17. Details of Any Trial Service Available

A trial period is not available for our service.
