Adding/Editing Course Materials

Introduction

The administrator interface in Verba Collect allows you to easily adopt and manage book materials on behalf on your faculty. This article will teach you how to:

Approve a class with no books

Add historical books, new books, supplies and course packs Edit book statuses

Revert books to incomplete

Approve adoptions from the course edit page for a particular section.

Getting Started

To start, navigate to your site’s home page, also known as the “courses" page in

Collect. Then, locate your unsubmitted course and click on the Course Number. This will bring you to what Verba refers to as the course edit page.

In many cases, the course will have to go through the typical [workflow]. As the role of top-‐level Approver adopting for an unsubmitted course, however, often times we’ll be taking that course straight from Incomplete to Approved.

Approving a Course with No Books

When a class requires no materials at all, just click the button that says Approve with No Books.

A pop-‐up will then appear -‐ tell us any pertinent information like enrollment, or leave a note!

Adding Past Books

Verba Collect keeps track of all past adoptions that have been used historically for a given course. From the course edit page, locate the middle column where it says Add Past Books and click on the associated button. You should see a drop down that displays all past sections. When you choose a given section from the drop down, the list of books that were used for that class will appear underneath.

The Add Book to List button will go away and a check mark will appear on the picture of the book you've selected. The adopted item will appear in the right-‐hand column under Selected Course Materials

Adding New Books

If the class does not have any historical adoptions or you wish to add a book that is not in the Add Past Books section, you can add any ISBN to your cart as a newly adopted

title. From the course edit page, locate the middle column where it says Add New Books and click on the associated button. Then, enter an ISBN and Verba will try to auto-‐populate the other fields for you. If you’re not sure, just enter as much information as you can. Then click Add Book to List.

The adopted item will appear in the right-‐hand column under Selected Course Materials

Supplies and Coursepacks

In addition to adding past and newly adopted titles, you can also note supplies and coursepacks from the course edit screen. From the course edit page, locate the middle column where it says Add Supplies & Coursepacks and click on the associated button. When you choose the Add Coursepack, it will add a general “Coursepack" entry to your selected course materials so the bookstore knows to look for it, and to get in touch if necessary.

The same goes for supplies, except you’ll need to leave a brief description of the supplies you intend to use. These are generally something like notepads or goggles that do not have an ISBN. Once you’ve entered the necessary supply information, click Add Supplies.

Selecting Book Statuses

Once all chosen items are in the Selected Course Materials section on the right hand side of the page, you’ll need to select the book statuses for these items. From the drop down for each item, select whether or not the book is required or optional for the course, as well as any optional checkbox options.

NOTE:

Depending on your preferences, you may have other options available besides required and optional. These settings were established during the

customization portion of your setup at the beginning of your Collect on

boarding process. If you’d like to change these statuses for any reason, please contact [email protected] for help.

Reverting Classes to Incomplete

After approving a class, it’s possible a professor may contact you with edits to their requisitions. Alternatively, you may have realized you simply made a mistake in adopting the books yourself. If you’ve like to edit an already approved requisition, you can click on Let All Make Edits under the Approve Adoption button

to it’s incomplete state, where you can either resubmit yourself or contact the professor requesting the same.
