Introduction

The purpose of this document is to describe various procedures for administrating Office 365 subscription and users using Atea eSHOP.

Audience

This document is compiled for eSHOP users with administrator rights.

Document Location

The document is placed on Atea Microsoft Office 365 support page.

This is a snapshot of an on-line document. Paper copies are valid only on the day they are printed. Refer to the author if you are in any doubt about the currency of this document.

Special information

Important information and Special conditions are displayed in the following manner:

Be special aware of… Useful information.

(4)

1. Login

To access your subscription information you need to log in into eSHOP with the user name and password that you have received from Atea.

Log in into https://eshop.atea.com and choose the country you are located in.

You will be redirected to the first page with the log-in option. Use your username and password that you have received from Atea.

(5)

2. Managing users

Be aware that official Microsoft information in support pages available online is giving instructions on how to add and manage users in MOP (Microsoft Online Portal). However, if you have purchased Office365 subscription from Atea, for better subscription management possibilities we ask you to manage users in eSHOP.

Once you have logged in, navigate to the left pane and choose the option “Office 365”.

Above the subscription summary, click on the option “Users and domains”.

On the left side click “Add user” for single user or “Add multiple users” if you wish to use csv-file to add several users and follow further instructions.

(6)

3. Increase or decrease licenses

Once you have logged in, navigate to the left pane and choose the option “Office 365”.

(7)

In the pop-up window write in the new number of seats and click “OK”.

After this procedure the number of licenses will be displayed with an asterisk. Meanwhile a service request is created and forwarded to Microsoft and it can take up to 48 hours until the number of seats is changed. After a maximum of two days it will be updated in E-shop and synchronized with MOP

(8)

4. Upgrade/Downgrade subscription

 In order to manage your current subscription, log in into eSHOP and navigate to Office 365 on the left pane.

In the subscription summary under Agreement number choose “Upgrade/Downgrade”.

(9)

Currently Microsoft is not supporting domain transfer from P plan to an E plan. So, you cannot upgrade your subscription from P plan to an E plan. In eSHOP only those plans are displayed that you can upgrade to.

If you have a P plan and you want an E plan, you need to cancel your current subscription and purchase a new one that would be an E plan.

(10)

Please disregard information given in eSHOP that suggests you to delete the original subscription after the upgrade. You will see that the original subscription will be changed to the needed one automatically.

Go to “Users and domains” located above the subscription summary and assign the new licenses to the new or existing users:

6. Vanity domain redelegation

Domain redelegation is the process in which you tell your current domain registrar (the company responsible for your domain records) to associate your domain name with the email services, web services and so on that are hosted at a different provider. Although you configure your domain work with the Office 365 serviced, you will maintain your billing relationship with your current domain name provider.

If you let your domain expire by not paying your domain registrar to renew it, your Office 365 services will no longer work. For example, e-mail will not be delivered; Lync Online will not work and so on. Your domain registrar will notify you when your domain registration is about to expire.

Be aware that official Microsoft information in support pages available online is giving instructions on how to add and verify your vanity domain in MOP (Microsoft Online Portal).

(11)

However, if you have purchased Office365 subscription from Atea, for better subscription management possibilities we ask you to add your domain name in E-shop!

It is not possible to add your vanity domain to Office365 subscription if you are using it in another Microsoft product, e.g., another Office 365 subscription or BPOS. (Business Productivity Online Services).

6.1. Adding a vanity domain

 To add a vanity domain, log in in eSHOP with your administrator credentials and navigate to

“Office 365” on the left pane.

(12)

In the pop-up window choose the option “Add domain” on the left side.

 Type the domain name that you own and want to add to your Office 365 account.

 In the next step a CNAME record will appear. You need to copy this information and update your current DNS settings with your domain registrar.

(13)

There may be different ways how your domain registrar (organization where you bought your vanity domain) makes changes in DNS settings. They might require that you send the necessary information to them by e-mail or they might have a user interface created where you log in and update the DNS information yourself. Please, contact your domain registrar and ask them for

the correct way how to do this.

Be careful which record you update and copy the information exactly like you see it in eSHOP.

 The domain verification can take from 15minutes – 72 hours. After you have added the domain name in eSHOP it will be as well synchronized with MOP (Microsoft Online Portal).

 After you have added the domain in eSHOP and updated your current DNS settings you can log in into MOP with your administrator credentials and check whether domain is already verified.

On the top of the page, click “Admin”.

(14)

You will see your added domain in the domain list. Next to it you see the status of the domain. It can be one of the following:

Active – next to the subdomain that you chose when subscribed to your Office 365 subscription. Click to verify – when you have added the domain name in e-shop and updated the DNS settings

but the verification process is still going on (This is usually during the time between 15min -72 hours after DNS update).

Verified – when your domain name is verified and you can use it.

Official Microsoft documentation will inform you that you need to verify domain here in MOP. But if you have added the CNAME record from eSHOP to your DNS settings, just wait while the status of your domain in MOP and in eSHOP changes to “Verified” automatically. It is not

necessary to go through the domain verification process in MOP if the status says “click to

(15)

Once the domain is verified, you can log into MOP with your administrator credentials and get all the necessary DNS data. Update your current DNS settings with the new information and you will be able to use Lync and Exchange with your domain name.

(16)

 Choose the vanity domain you just verified.

 Click on the option “View DNS settings” above the domain status.

 The next page displays all the necessary DNS settings you need to update with your domain registrar in order to use your vanity domain with Exchange and Lync. This update will also take from 15 minutes to 72 hours.
