The Biennale of Sydney
Held every two years, the Biennale of Sydney is a three-month exhibition accompanied by a range of public engagement and education programs.
Since its inception in 1973, the Biennale of Sydney has provided an international platform for innovative and challenging contemporary art, showcasing the work of nearly 1700 artists from over 100 countries. Today it ranks as one of the leading international festivals of contemporary art and continues to be recognised for presenting the freshest and most provocative art from Australia and around the world.
The Biennale of Sydney engages Australian and international audiences through public programming and the exhibition of bold and innovative contemporary art from Australia and overseas, inspiring audiences to experience art, themselves and their world in new and creative ways.
The 19th Biennale of Sydney (2014) attracted more than 623,000 visitors. With 40 per cent of visits made by people from outside of Sydney, the Biennale holds an important place on both the national and the international stage.
Public Program and Education Assistant
The Public Program and Education Assistant is an important role within a small team, and is responsible for liaising with schools, education providers, and Exhibition Partners to ensure the smooth delivery of engaging programs and activities for the general public and targeted audiences. The position is responsible for coordinating schools and group bookings, providing efficient
administration for the department, and providing support for the delivering of programs including liaising with and hosting artists, speakers, and other VIPs when in Sydney.
The Public Program and Education Assistant reports to the Curator and Manager of Public Program and Education, and works closely with the Public Program and Education Coordinator. The position offers the rare opportunity to work in a small team and be involved with participating Australian and international artists and visitors in the delivery of one of the largest exhibitions of contemporary art in the Asia-Pacific region.
Anticipated to commence in early January 2016, this is a full-time fixed-term contract position to 10th June 2016. Total package is $50,753 pro rata (inc 9.5% employer’s superannuation contribution.)

SELECTION CRITERIA
Based on an application addressing the Essential Criteria, Curriculum Vitae and, for selected candidates, an interview and references, the Biennale of Sydney needs to be satisfied that the applicant meets the following criteria:
Essential Criteria • Excellent computer skills in excel spreadsheets, word processing
and record management
• Experience in providing high level administration support • Excellent attention to detail and follow through with an ability to
work with minimal supervision and to exercise initiative
• Proven experience in coordinating and delivering programs and events
• Excellent interpersonal and communication skills, including the ability to articulate complex concepts to a variety of audiences • Ability to work collaboratively with colleagues and other stakeholders
• Ability to work efficiently and calmly under pressure in a busy environment
Desirable Criteria
• Knowledge of contemporary art both within Australia and internationally
• Previous experience using Salesforce (CRM system), or other contact management systems
ROLE STATEMENT

Purpose of this Position
The Public Program and Education Assistant is responsible for liaising with schools, education providers, Biennale staff and volunteers and Exhibition Partners to ensure the smooth delivery of engaging programs and activities for the general public and targeted audiences. In particular, this role will coordinate schools and group bookings and act as first point of contact for public program and education enquiries.
DUTIES

Assist with the delivery of education programs
Public Program events
Assist with the delivery of public programs and events
• Assist in the coordination of school tours and education events • Manage school bookings systems including taking schools
bookings for Cockatoo Island and distributing booking information to key contacts such as tour guides and venue managers
• Assist in the coordination of guides, assigning guide staff to school groups where appropriate
• Promote events and publications to schools
• Assist in the coordination of public program events
• Support the delivery of events through such tasks as writing and following event plans, and set up of events including talks, teacher previews, access and guided tours
• Liaise with public program participants including artists and program partners regarding event requirements, handling related correspondence and contributing to timelines and event plans • Assist in coordinating event photography and documentation

• Assist in compiling program details for the program calendar • Manage bookings and tracking attendance
Administration
Provide administrative support to the Public Program and
Education department and Biennale team to ensure the efficient delivery of the 20th Biennale of Sydney
• Assist with overseeing all incoming enquiries relating to public programs and education
• Maintain schedules, spreadsheets and files relating to program roll out and evaluation
• Ensure relevant department records are maintained and filed • As required, assist with general office administration including
filing and mail-outs
Key Performance Indicators • Successful delivery of all public program events and education
programs to a high level of satisfaction for audiences and key stakeholders
EMPLOYMENT TERMS
Contract Term
This is a full-time fixed term contract position to 10th June 2016.
Work Hours
The position is required to work full-time at five working days a week, generally 9.00 am to 5.30 pm. However, these hours may vary due to volume of work, particularly during the build-up to a Biennale where there is an expectation at varying times to work after hours, holidays and weekends. Time in lieu of overtime will be considered and will be approved at the CEO’s discretion.
Remuneration
a) Total remuneration package
Total package is $50,753 pro rata (inc 9.5% employer’s superannuation contribution.)
b) Superannuation
As part of the total remuneration package, the Company will contribute to a complying Superannuation Fund of your choice such a percentage of your earnings as indicated in the Superannuation Guarantee Act, currently 9.5%.
Leave
a) Annual Holiday Leave
Paid Annual Holiday Leave of four (4) weeks pro rata per annum in accordance with the Annual Holidays Act (NSW) will be granted at a mutually convenient time.
b) Long Service Leave
Long service leave in accordance with the Long Service Leave Act (1955) and other applicable legislation.
c) Personal/Carer’s Leave
Paid personal/carer’s leave of ten (10) days per year of continuous service for reasons of personal illness or injury, or to provide care and support to a member of your immediate family or household, who requires care or support because of a personal illness or injury of the member, or where there is an unexpected emergency affecting the member. The Company will not pay out the value of any accrued but untaken personal/carer’s leave on the cessation of employment or during the term of employment with the Company.
d) Compassionate Leave
Paid compassionate leave of two (2) days per occasion.
Probationary Period
A one-month probationary period applies and allows for seven (7) days’ notice of termination by either party. The Company reserves the right to terminate this Agreement during this period if the person is unsuitable for the described duties or the Company environment.
