PROMATIS Enterprise Cloud Service for Procurement

Procurement in the Oracle Cloud

The Procurement Cloud Service™ by PROMATIS is based on corresponding Fusion products provided by Oracle as part of the Oracle Procurement Cloud. It is a Public Cloud Service that is hosted in European Data centers of Oracle Corp. Upon request, the service can also be provided in a private or hybrid cloud.

Business Process Excellence for Procurement

Collaboration, business intelligence and automation processes are key technologies with which the Procurement Cloud Service opens new ways for procurement. The core is a transparent "Procure-to-Pay" Process with an efficient contract management, facilitating task controlling for purchasing agents in the “Buyer Workcenter”. The result: process efficiency and quality.

The included functionalities cover team-oriented negotiation processes that integrate decision-makers and suppliers online. Through the use of intelligent learning mechanisms, the negotiation efficiency and eventually the negotiation results are clearly improved. Self-service functionalities in the supplier portal and in the corporate procurement portal complete the functional scope.

The Self-Service Procurement extends the

procurement process chain to the buyer. In an ergonomic eCommerce website, the user selects what he needs, which is then bundled to an order and forwarded to the purchasing department. This bases on catalogs from strategic suppliers. With the Self-Service process, the user can keep track of the procurement process and clear incoming goods. With Self-Service Procurement, a significant potential for cost saving is possible and leads, as experience has shown, to a higher satisfaction among employees, which in turn results from the improved process quality.

Intelligent Procurement Management

The Sourcing module supports the entire order process with a knowledge-based system. From the inquiry to negotiations and selection process, the module offers demand-meeting functionalities for users and creates a complete and comprehensible documentation. The result is a unique transparency throughout the entire order process that enables for an optimal Governance and an ideal Risk Management. Available extensive analyzes make way for optimizing the negotiation strategies and to improve business processes.

Automating the Procurement Processes

Oracle offers modern procurement with user-oriented, intuitive user experience and intelligent procurement

process automation. The result: higher user

productivity and lower learning effort. The centrally managed procurement is therefore oriented towards business demands. A unified approval workflow ensures that the orders are verified and that the approval processes as well as the exceptions handling and the proceedings of inquiries can be defined.

Monitoring and Controlling Procurement Contracts

With Contracts, Oracle offers a complete overview of procurement agreements, enables to cut time cycles and automates the use of contracts. The buyer has to deal with less routine tasks. The central contracts repository with advanced search options offers complete transparency regarding contracts, changes and facilities. Predefined standards lower contract variations and the risks associated to them.

Self-Service Functions in the Supplier Portal

Through the Self-Service Supplier Portal, the suppliers are effectively involved in the procurement processes. Supplier collaboration of the highest quality! The Supplier Portal improves interaction and collaboration with the suppliers. As a web-based self-service portal, it prevents errors and avoids delays caused by paper-based order processing. In an intuitive, user-friendly "Supplier Workcenter", many self-service functions are available for the suppliers, including electronic billing.

Business Process Excellence with Enterprise Cloud Services requires continuous business processes – also across company borders. It is necessary to integrate cloud services seamlessly into the business process to ensure functionally correct processing and data supply without media breaks. The PROMATIS Enterprise Cloud Services are equipped with Web service interfaces for this purpose. The result: openness for the integration in line with a service-oriented architecture.

Especially in value-adding business processes, the business functionality lies not in a single cloud service, but extends across multiple services and enterprise applications. Standard-based PROMATIS Process Integration Appliance

For the implementation of such business processes, PROMATIS recom-mends building a service-oriented architecture based on the Oracle SOA Suite. In addition to the Oracle Service Bus, the BPEL Process Manager is integrated with a powerful business rules engine and a variety of certi-fied integration adaptors. Business Activity Monitoring and BPEL monitor-ing functions complete the product range. The PROMATIS Process Integration Appliance based on industry standards guarantees high productivity, even with complex integration requirements. It combines the Oracle SOA Suite with PROMATIS Best Practice reference models and services.

Scope of the

Procurement Cloud Services

PROMATIS Enterprise Cloud Services aim for a quick and effective improvement of the customer’s business process excellence. Thus, they combine powerful Enterprise Cloud Services (Software as a Service; SaaS) with approved Best Practice reference processes. PROMATIS provides the setup adjusted to the customer’s needs and a ready-to-use realization of the solution. The components of the solution are illustrated below:

Oracle ERP Cloud Services

Because of the professional requirements each customer solution is set up by PROMATIS experts. They determine, which of the Fusion Procurement Services, that are provided via the Oracle ERP Cloud, are required. The services are purchased from PROMATIS on a subscription-basis (SaaS) with a 3-year contract period. The following service packages are offered:

Best Practice and Tools

PROMATIS sets up the Oracle Cloud Services based on approved Best Practice reference models. These models are provided by the easy-to-use Horus® Business Process tools via the Horus Repository. In order to access the reference models, we require a membership in the respective Horus Knowledge Community. The following products are part of the PROMATIS Enterprise Cloud Services:
