MEDGEN EMR Release Notes: Version 6.0 Build 103.6.13

Attached please find recent updates that were made to your Medgen EMR system:

Navigation / Display: A significant difference in Version 6 is the look and feel of the overall system. You’ll notice that we have replaced the overall background of the site to a more professional looking slate theme. We have also modified the look and layout of certain screens and navigation panels to make the system more tablet friendly.

 Your inbox has been replaced with a slide layout that will make the transition to your inbox items more fluid.

 We have added an “Open Chart To” method from your home schedule, which will make it easy to jump directly to a specific section of a patient’s chart. This will eliminate unnecessary clicks and allow you to move in and out of patient’s charts more rapidly.

 Once in a patient’s chart we have added some quick link items to make it easier to accomplish basic tasks without the unnecessary mouse clicks, for example writing a new medication, creating an encounter, creating a new order, or viewing the latest encounter form.

 The note assistant on the left side of your encounter form has been integrated into the main patient chart menu panel. You will find it much easier to flip between the various sections of the patient’s chart, especially when in the process of completing your encounter form.

 Edit column icons have been added to the various sections of the patient’s chart to make modifying a specific record a single click process, rather than a two-click process.



System:

 Menu option System Files has been renamed

 Log out and Lock Screen have been combined into a single menu option

 When a user attempts to navigate away from the Medgen website a warning message will now display asking the user to confirm whether or not to leave the page.

 Forgot Password option has been added to the login screen. If a user has forgotten their password they can enter their username and the password and instructions on how to unlock an account will be emailed to the e-mail address that is on file when the practice was registered.

 In-patient facility dictionary is now linked to the main NPI registry for easy lookup and retrieval of facility NPI, address, and contact information.

 We have added a patient heading (Name, DOB, age, Gender) to all relevant windows in the system Patient Search:

 The patient search menu has been expanded to include more detailed information regarding a patient to make selection easier. An “Open Chart To” option has also been added.

Scheduling / Appointment List:

 Patient appointment reminders have been updated to include the ability to text patient’s their reminders if a valid cell phone number has been registered in the patient’s chart. This has been added as a trial basis; in the future if you choose to use this feature you may sign up for an additional monthly subscription cost.

 A new default “Confirmed” status has been added to your appointment status dictionary which will give you the ability to mark an appointment that has been confirmed with the patient.

 From the patient appointment reminders window you have the ability to mark appointments as confirmed or canceled.

 When appointment reminders are sent to a patients email they will now be given a link that they may click to confirm the appointment through the email. This confirmation will be reflected on your schedule.

 Appointment Status’ can now be color coded from the appointment status dictionary in Setup -> Scheduling -> Appointment Status

 Provider’s schedule templates can now be modified directly from your scheduling screen.

 From the patient Demographics Panel a new button has been added that will jump you to the scheduling window and allow you to select a time slot and schedule the patient without having to re-lookup the patient.

 A new button has been added to the lab results window from your user inbox that will allow you to easily view upcoming patient appointments when reviewing newly received labs.

 The Appointment Filter screen has added the options to filter by “No Status” or “No Appointment Reason”

 The Home Page schedule can now be printed

 Patient id and Primary insurance is now displayed in home screen appointment list

Patient Demographics:

 Patient Reminders have been removed from the Home Screen and has been moved to within the patient’s chart.

 Additional entries can now be added to patient first name and last name so that you can record additional names for the patient including nicknames, aliases, or maiden names.

 Patient Date of Birth has been added to the Patient Chart Menu heading.

 The Patient Comments / Notes window has been expanded to allow you more flexibility with your comment alerts. You now have the ability to specify expiration dates for the alerts, as well as designate in which sections of the patient’s chart you wish that alert to trigger. We have also updated the pop-up alerts to only include comments / notes that have been marked as alert.

 Patient preauthorization entry has been modified for easier entry

Patient Insurance:

 Patient “Deductible” and “Deductible Remaining” fields have been added to the patient insurance entry screen.

Encounter / Encounter Form / Note Editor:

 **IMPORTANT** As per the request of many clients the Review of System selection check boxes have been modified from their original images.

We had felt that the color Red more accurately signifies a positive or abnormal finding where as green would better signify a Negative or normal finding. Please note your previously entered notes / forms will not be effected by this change; this is only a modification to the visual display of this item on your encounter form.

 “Copy to Providers” selection has been added to the encounter entry screen. You now can specify additional providers that you wish to be copied on your note. You may select up to 3 providers. The values of these fields can be added to your note templates in the “Encounters”

section of the Note Template Editor in Setup -> Notes & Forms -> Notes & Letters

 If an encounter is accidentally deleted you now have the ability to Recover the encounter from the bottom of the patient encounter section.

 You now have the ability to rearrange the order of your Sentence Builder entries (with the exception of ROS or check fields). From within your encounter form or the encounter form editor, you may now use the up and down arrows at the bottom of the window to set the order.

 You have the ability to copy the contents of an existing “Sentence Builder” item to a new item.

 From the encounter form editor you can now set default diagnosis and procedure codes specific to that encounter form. These items will automatically populate once a new encounter form is created.

 When modifying problem templates the ROS field items will now show as collapsed by default.

 The “Close” button has been removed from the encounter form entry screen. It is no longer necessary to close the form down when finished, once the document is saved / signed you can simply close down the patient’s chart with a single click. Your form will automatically save upon closing of the chart as well.

 Current Medications selection has been added to the Note Assistant which makes it easier to review patients current medications while your are completing your encounter form, as well as renew, discontinue, or rewrite a medication for this visit.

 Quick print and e-script button has been added to your medication panel on the encounter from

 Allergy panel on your encounter form will display all patient allergies in Red, patients with

“No Known Allergies” will display in Green.

 Patient primary and secondary insurance policy number, relation, and co-pay fields have been added to your note editor.

 When Modifying documents in the “Chart Documents” section of a patient’s chart you now have the ability to move the document to a different encounter or link it to an encounter if it was not previously linked.

Phone Encounter:

 You can now easily create a new phone encounter for a patient within their chart. Through this process the system will automatically generate a new phone encounter form where you can easily document what had transpired during the conversation, which will be saved within the patient’s chart. The phone encounter form is customizable by you.

Messaging / Tasks: We have completely merged the messaging and tasks functionality into one module. When you are creating a new message you now have the ability to mark that message as a task and assign it a priority and complete by date, as you were able to do with the previous task windows. All messages and tasks will now appear in a single section of your user inbox as well as in your message center. We have also completely redesigned the messaging entry window.

 You can now create an office message and patient message simultaneously

 A message can now be marked as a task by checking the option “Create as Task”

 Message Notes can now be added to the message to help document what transpired through the course of this message / task

 You can now upload attachments from your computer and attach them to a message to send to a staff member or patient

 When tasks are updated, modified, or completed a message will automatically be sent to the originator to notify them of the changes.

 Forwarding option has now been added to the messages.

 Messages in the message center may now be filters by patient, Sender, or text within the subject or body of the message

 Attachments will now appear as a click-able button within the message instead of within a grid

 You will now be able to trace the history of a message within the Message Section of a

patient’s chart. Whenever a message is replied to or forwarded to another user the system will keep track of the original message that started the conversation, which will make it easy to trace the history of the conversation between staff or patient.

 You can now view message details or replay / forward messages from within a patient’s chart

Medgen Faxing:

 Medgen fax inbox / outbox now contains paging so that it will only display a certain number of faxes at a time and make for a quicker load.

 Order requisition form faxing has been added

 Consult report faxing has been added

Vitals:

 Hip circumference, Waist Circumference, Neck Circumference have been added to the vitals entry window when recording vitals for all patients over the age of 2.

 Hip / Waist ratio will calculate and display when values are recorded

 LMP date can now be recorded on the vitals entry screen for all female patients

Medications:

 Multiple medications can now be selected with a single row click without having to use the CTRL or SHIFT key on the keyboard. A checkbox will appear next to the medication to signify the medication is selected.

 “Clear” button on medications screen will now clear all fields except medication name and dosage

 Medication interaction override field will now appear on the same medication interaction screen to save on extra mouse clicks.

Immunizations:

 Immunizations will now print in alphabetical order on your final note

 Immunization administered by field has been added to the immunization entry field

 Outside provider may now be specified when entering patient immunizations

Super Bill:

 Office fax number will now display on super bill report

 Insurance address information should now print on super bill report.

 You now have the ability to switch between multiple super bills from the patient super bill entry screen.

Order Entry: We have completely redesigned the order entry screen to make the process of order entry a much easier and more customizable process.

 We have rearranged the order entry screen to make overall navigation easier

 Diagnosis panel has been added at the bottom right to easily specify which diagnosis should be attached with which ordered tests

 Your facility drop down list can now be customized so that you can modify which facilities are your “Preferred” facilities, as well as exclude the facilities that you do not wish

displayed in your practice.

 4 Generic facility selections have been added to all practices for easy entry of generic orders which may include

 In House – Procedures done within your office

 Lab (Generic) – Generic lab test that you wish to order, but do not wish to specify an exact facility name

 Outside Procedures – Procedure that you order for the patient that may need to be performed away from your office

 Radiology (Generic) - Generic Radiology tests that you wish to order, but do not wish to specify an exact facility name

 You now have the ability to create / modify your custom pick lists directly from this screen

 You can add comments specific to an ordered test that will display on the printed requisition form.

 You can perform a test search simply by typing in the Test Search field, without the need of an additional pop-up window.

 “Print and Close” button has been added to requisition form printing

Please know that the Medgen staff considers all suggestions / updates given to us by our clients and we try our best to implement as many of these features as possible. Please do not hesitate to make recommendations through our suggestions module, but we do ask for your patience when it comes making changes to the program. We will be adding more updates to this release up until the final release date so be sure to review all final release notes at that time.

Special Note: If you have not contacted your lab / radiology / HIE facility on setting up an interface with our Medgen EHR system please contact them as soon as possible. Interfaces may take time to be completed once the initial request has been put in so it is important that you start the process immediately. Diagnostic facility interfacing will soon be a mandatory requirement for Meaningful Use. Please have your representative contact Medgen Support to begin work on your interface.

Special Note: Time is running out for Phase 1 of the CMS EHR Incentive program. 2012 is the last year that a doctor can register and attest for the Meaningful Use program and get the full incentive payments. You must be using a certified EHR system for a period of 3 months in order to attest, (for Phase 2 it is the entire calendar year). If you have not yet registered with CMS you should do so immediately. Please contact a Medgen support staff member if you have any questions about Meaningful Use. Thank You.
