JOB DESCRIPTION

Purpose

To assist in the delivery of a range of services provided by the University’s Campus Services to support the day to day business of the University which will include:

maintaining centrally bookable classrooms ,providing a postal delivery and collection service within buildings, carrying out minor office moves, setting up and setting down for events and conferences, moving items as required both within the campuses and externally. To provide customer support by advising students, staff , visitors and conference delegates and assisting with general campus queries.

Main duties and responsibilities Buildings:

 The Locking & unlocking of academic buildings, classrooms and lecture theatres as required.

 Maintaining classrooms, lecture theatres and public areas including the arranging and movement of furniture, preparing space for a variety of uses throughout the business cycle to include: Teaching, Exams, Graduation, Events, Conferences etc.

 Maintaining the curtilage of academic buildings and the correct disposal and recycling of wastes, ensuring the external appearance of buildings is to a high standard including:

steps, entrance halls and porches etc.

 Fire safety: to assist with the implementation emergency procedures and assist with evacuation of buildings and ensure that all entry and exits are regularly checked to provide clear and safe routes in case of evacuation.

 To assist the Zonal Building Support Officer with fire bell testing as required Postal:

 To assist with receipt/dispatch of goods and post to/from agreed collection/delivery points within buildings.

Portering:

 To undertake the moving of furniture and other items that may require the lifting of heavy objects.

 To undertake the movement of items such as literature, exhibits, scripts for exams for university events such as open days, visit days, exams, conference and external events where applicable.

 To work in accordance within the Standard Operating Proceedures (SOP) for the role and to seek guidance where necessary and if required.

 To ensure when on late duty cover and securing buildings, that all clubs, societies and other bookings for rooms are complying with the Room Booking/RUSU Guidelines or with Terms and Conditions of Room Hire

Driving

 To undertake the driving of Campus Services vehicles, not requiring HGV or PSV licences either on or off campus, for which a clean driving licence is essential.

 To ensure accurate and up to date records are kept for vehicle use: recording vehicle use on the task sheets, carry out vehicle safety checklists prior to use, purchase fuel in

accordance with University Policy and report accidents and incidents as they occur. Carry this out according to procedures and process requirement of the driving function in Portering Services.

 To report any problem or maintenance issue to the Portering Manager and/or Porter Supervisor to ensure the timely repair of the vehicle(s).

 Using Portering Service Transit vans/flatbed lorry on and off campus to carry out ad-hoc deliveries and collections as required.

 Be responsible for maintaining the appearance of the vehicles and use designated cleaning service as required

 To undertake all training in vehicle, online or in classrooms as required and attain stipulated levels of driver competency therein, within required timescales.

 To ensure defensive driving is practiced throughout every journey being aware of potential hazards and how to avoid them. To ensure that any vehicle is driven with due care and attention ensuring the safety of other road users. The driver will be responsible for any traffic offence fines.

Health and Safety

 To follow University Health and Safety regulations and guidelines (paying particular attention to Manual Handling rules) and to attend training sessions as required.

 To report any incident that involves injury, damage to any person or property, pedestrian or third party immediately in line with University procedures.

 To observe lone working guidance practices.

 Observe Display Screen Equipment (DSE) best practice and adjust workstations accordingly

 To act as a trained first aider for the purposes of providing First Aid at work (FAW).

 To provide emergency cleaning in the absence of regular cleaning staff.

 To attend training and regular refresher training associated with the role to meet with H&S and Campus Service Training requirements.

 To work in accordance with the Portering SOP

Environmental:

 To assist with recycling and waste disposal initiatives and ensuring that the campus is

presented in the best possible condition and to encourage building users and the wider

University communityto comply with the University Sustainablity policy and to meet our

ISO14001:2015 requirements

Security:

 Respond to requests from Security Control Room with regard to checking and re-setting alarm systems.

 Keeping Security Control informed of incidents and occurrences that may require further actions.

 To report all incidents affecting the security, safety or integrity of the University, its members and visitors to the appropriate officer of the University.

 To collect and return building keys the Security Control room at the start and end of each working shift.

 To ensure that all buildings are where appropriate, thoroughly checked and locked down in accordance with the Portering SOP.

 To report any concerns in relation to room usage to the appropriate department (STaRBO) or Security if the issue is with evening bookings.

 Record and take any Lost Property to the lost Property collection point in Palmer.

General:

 Reporting faults using the WREN system with fabric/fixtures and fittings within centrally booked rooms and public spaces.

 Carry out Portering Service administration tasks using Microsoft Office software as required. Use University communications equipment following published policy guidelines or SOP (phones, radio’s etc.)

 To attend and participate in Monthly Team meetings and Tool Box Talks.

 To communicate with customers(staff, students, visitors and conference delegates) in a clear, concise and polite, professional manner by responding to inquiries by telephone, email and face to face.

 To promote the University Portering service and to do everything possible to enhance the University’s image through appearance and behaviour, ensuring that duties are carried out in smart uniform and in a timely fashion.

 To assist with queries or difficulties concerning access to University premises.

 To undertake any other duties as may be deemed appropriate by the Portering Manager.

Supervision received

The post holder will report to the Portering Manager or Team Leader in Managers absence.

Contact

The job holder will come into contact with staff and members of the public on a regular basis and is expected to be courteous and helpful at all times.

Frequent contact will be required with the Porter Team Leader, Portering Manager, visitors, staff, students, postal and courier services.

The hours of work are 36 per week on an alternating shift pattern – 1

Week 1400 - 2200. Some weekend and overtime working may be required subject to operational needs. The place of work will be at either the Whiteknights Campus or London Road Campus but can also include travelling to Greenlands and other external venues as required.

A uniform will be provided and it is expected that this will be worn at all times and suitably maintained as

part of the corporate identity.
