Limited Warranty

VCON Ltd. warrants the Product identified by the serial number indicated on the HARDWARE either accompanying the SOFTWARE or purchased separately will be free from defects in materials and workmanship under normal use and service for a period of ONE (1) year from the date of receipt. This Limited Warranty shall not apply to any product that in the opinion of VCON Ltd. has not been installed or upgraded according to accompanying documentation from VCON Ltd. or been subject to misuse, misapplication, negligence or accident while in the hands of the purchaser. VCON Ltd. warrants that SOFTWARE will perform according to accompanying user documentation for a period of 90 (ninety) days from the date of receipt; replacement SOFTWARE will be warranted for 90 (ninety) days from the date of receipt.

GRANT OF LICENSE VCON Ltd. grants the Purchaser a exclusive and non-transferable license to use the SOFTWARE product and to make one copy solely for backup or archival purposes, which may include user documentation provided via online or other electronic form. Additional copies may not be made nor may anyone else be allowed to copy or otherwise reproduce any part of the licensed software without prior written consent of VCON Ltd.

LIABILITIES VCON’s entire liability and the Purchaser’s exclusive remedy shall be at VCON’s option, either return of the price paid or repair/replacement of the Product not meeting VCON’s declared Limited warranty. The FCC requires the user to be notified that any changes or modifications made to this system that are not expressly approved by VCON Ltd. may void the user’s authority to operate the equipment.

Safety Notice

When you use the MediaConnect 8000 system, observe the following safety guidelines:

Do not remove the cover of the computer or any other accessories. Refer all servicing only to the local VCON distributor or other VCON-certified technicians. To help avoid damaging the computer, make sure that the voltage selection switch on the power supply is set to match the AC power available at your location:

115 V/60 Hz in most of North and South America and some Far Eastern countries such as Japan, South Korea and Taiwan

❑

230 V/50 Hz in most of Europe, the Middle East and the Far East.

Make sure the monitor and attached accessories (PTZ camera, VCR, document camera, and so on) are electrically rated to operate with the AC power available in your location.

To help avoid possible damage to the system boards, wait 5 seconds after turning off the system before disconnecting a device from the computer.

To help prevent electric shock, plug the computer’s and accessories’ power cables into properly grounded power sources. These cables are equipped with three-prong plugs to help ensure proper grounding. Do not use adapter plugs or remove the grounding prong from a cable. If you must use an extension cable, use a three-wire cable with properly grounded plugs.

Make sure that nothing rests on the computer system’s cables and that the cables are not located where they can be stepped on or tripped over.

Keep food and liquids away from the system or accessories.

Keep the computer away from radiators and heat sources. Also, do not block cooling vents. Avoid placing loose papers underneath the computer, and do not place the computer in a closed-in wall unit or on a bed, sofa, or rug.

DANGER Do not operate the computer with any of its covers (including main cover, bezels, filler brackets, front-panel inserts, and so on) removed.

For Users in Canada

NOTICE:

The Industry Canada Label identifies certified equipment. This certification means that the equipment meets telecommunications network protective, operational and safety requirements as prescribed in the appropriate Terminal equipment Technical Requirements document(s). The Department does not guarantee the equipment will operate to the user’s satisfaction.

Before installing this equipment, users should ensure that it is permissible to be connected to the facilities of the local telecommunications company. The equipment must also be installed using an acceptable method of connection. The customer should be aware that compliance with the above conditions may not prevent degradation of service in some situations.

Repairs to certified equipment should be coordinated by a representative designated by the supplier. Any repairs or alterations made by the user to this equipment, or equipment malfunctions, may give the telecommunications company cause to request the user to disconnect the equipment.

Users should ensure for their own protection that the electrical ground connections of the power utility, telephone lines and internal metallic water pipe system, if present, are connected together. This precaution may be particularly important in rural areas.

NOTICE:

The REN for this device is X.X. The Ringer Equivalence Number (REN) assigned to each terminal device provides an indication of the maximum number of terminals allowed to be connected to a telephone interface. The termination on an interface may consist of any combination of devices subject only to the requirement that the sum of the Ringer Equivalence Number of all the devices does not exceed 5.

CAUTION Users should not attempt to make such connections themselves, but should contact the appropriate electric inspection authority, or electrician, as appropriate.

This guide explains how to set up and to start using the VCON MediaConnect 8000 series videoconferencing system.

For reasons of clarity, this guide refers to both MediaConnect 8000 and 8000Pro as “MediaConnect 8000.” In most cases, the descriptions and functions explained in this guide apply to both products. Welcome to VCON’s MediaConnect 8000 series – a fully featured,

videoconference and collaboration rollabout system. The MediaConnect 8000 system is sophisticated, yet friendly. It gives you high video quality and powerful videoconferencing capabilities over an enterprise’s Internet Protocol (IP) local-area (LAN), wide-area networks (WAN) and Integrated Subscriber Digital Networks (ISDN).

1.1 MediaConnect 8000 Models

The MediaConnect 8000 series includes two product configurations:

The products are available in the following models (ask your VCON distributor about availability in your region):

MediaConnect 8000 models meet technical requirements prescribed in the H.323 and H.320 ITU-T standards for networking.

H.323 is the worldwide accepted standard for transmitting video, audio and data across local-area and wide-area networks (LANs and WANs) using the Internet Protocol (IP).

H.320 is the worldwide accepted standard for transmitting video, audio and data over WANs, including narrow-band Integrated Subscriber Digital MediaConnect

8000

LAN/IP (1.5 Mbps) and ISDN (384 Kbps/3 BRI) SVGA-based Workgroup Conferencing System. MediaConnect

8000Pro

LAN/IP (1.5 Mbps) and ISDN (384 Kbps/3 BRI) complete Rollabout Workgroup Videoconferencing system, including a large SVGA monitor and a specially designed cart.

Model 1 Provides one ISDN Basic Rate Interface (BRI) up to 128 Kbps and LAN connection up to 1.5 Mbps. This model is available only with the

MediaConnect-8000 system configuration. Model 3 Provides three ISDN BRI up to 384 Kbps, LAN

connection up to 1.5 Mbps, and support for VCR playback and recording.

1.2 Monitor Configurations

MediaConnect 8000 systems provide video viewing in the following configurations:

All the components required for connecting and installing the MediaConnect 8000 system are supplied along with comprehensive documentation and fully featured software to make your videoconferences more productive.

The standard MediaConnect 8000 components are:

Computer unit with installed videoconferencing board

Tabletop microphone

SVGA monitor (only with MediaConnect 8000Pro)

A range of easy-to-use additional accessories can also be provided to enhance the abilities of MediaConnect 8000 (see “Optional Accessories Supplied by VCON” on page 1-7).

Single Monitor This configuration contains one large SVGA monitor, on which local and remote video, the MediaConnect application screen, and shared data applications are displayed.

Dual Monitor This configuration contains one large SVGA monitor and one TV monitor. The SVGA monitor displays the MediaConnect application and shared data applications. The TV monitor displays the local and remote video.

Triple Monitor This configuration contains one large SVGA monitor and two TV monitors. The SVGA monitor displays the MediaConnect application and shared data applications. One TV monitor displays the local video and the other TV monitor displays the remote video.

MediaConnect 8000 System Computer

The MediaConnect 8000’s standard computer unit contains the videoconferencing board, software for operating the videoconferencing system, and various

connectors located on the rear panel for connecting the other components and accessories. The computer’s operating system may be Microsoft Windows NT or 2000.

Pan/Tilt/Zoom Camera

The Pan/Tilt/Zoom (PTZ) camera is controlled by the wireless keyboard through the system software. You can pan, tilt and zoom the camera in a wide range of directions during videoconferences.

The camera can zoom in to its subject up to 16:1.

Up to six pre-set positions can be set for instant recall through the MeetingPoint® application.

Connectors located on the rear of the Camera Unit enable connectivity through the system cables to the main computer.

Wireless Keyboard and Receiver

The infrared wireless keyboard provides remote control of the MediaConnect 8000 system. It works in conjunction with an infrared receiver, which must be located close to or on the SVGA monitor.

When you use the wireless keyboard, direct at the keyboard receiver from a distance of up to 6 meters.

Tabletop Microphone

The supplied tabletop microphone is a high-performance omnidirectional audio source. It is highly sensitive, with a working range covering approximately 6 meters (20 feet) at an area greater than 270° from the front of the unit. The microphone transfers the full range of speaker audio.

The microphone’s cable is 6 meters (app. 20 feet).

SVGA Monitor (only with MediaConnect 8000Pro)

The MediaConnect 8000Pro includes a large SVGA monitor. The monitor provides high quality non-interlaced video at a resolution of up to 1024 x 768 pixels. Using high-quality horizontal and vertical frequencies, the monitor also provides options of automatic or manual degaussing. It is powered by 100-120/180-240 Vac (autoswitchable).

Cart (only with MediaConnect 8000Pro)

The MediaConnect 8000Pro includes an elegant mobile wooden cabinet that is specially designed to house the system components. The SVGA monitor sits on top of the cart, and two shelves are provided for the computer and other accessories.

Optional Accessories Supplied by VCON

The following optional accessories can be connected to the MediaConnect 8000: VoiceFinder During a group discussion, the VoiceFinder locates

voices, then positions and focuses the camera on the person currently speaking. Its streamlined structure contains four high-quality microphones and advanced technology for intelligent tracking.

VCON VoiceFinder and Camera Unit Document

camera or Second PTZ camera

Increases the video capabilities of the MediaConnect 8000. The second camera may typically be a document camera or another PTZ camera. For example, a document camera can show a placed document on the monitor during a videoconference session to both the local and remote users.

TV monitor(s) For viewing remote and local video in dual (1 TV) and triple (2 TV) monitor configurations.

This chapter provides instructions for starting MediaConnect 8000, making a videoconference call, and setting up the system’s configuration using the Configuration Wizard.

2.1 Starting MediaConnect 8000

To start up the MediaConnect 8000 system

To turn the computer on , press the Power button on its front panel. Microsoft Windows will execute the startup sequence.

Make sure all accessories (camera, SVGA Monitor, and if applicable, TV monitors) connected to the system are also switched on.

MeetingPoint’s Start procedure varies, depending on whether or not your system will be in a videoconferencing network managed by a VCON Media Xchange Manager™ (MXM).

To start MeetingPoint

1. In the Windows Desktop, click the VCON MeetingPoint icon.

The Login dialog box appears.

CAUTION DO NOT attempt to turn the MediaConnect 8000 system ON (Power button) until all of its components and accessories are properly connected. For connection instructions, see Chapter 3, “Connecting the MediaConnect 8000”.

If a MediaConnect 8000 and VCON Conference Bridge (VCB) are installed on the same computer, you must specify the IP address of the MediaConnect 8000 (see the following section).

2. Enter MXM login information as follows (consult with your system administrator):

— If the MXM automatically registers your computer, the MeetingPoint application opens.

— If a message appears stating that the MeetingPoint startup cannot proceed until login is granted, contact your system administrator. After login is granted, click Connect to continue.

MXM Login Name

The name of your computer as listed in the MXM database and the MXM Administrator.

Password/ Verify Password

Password required to log in. The first time you register, you must type it twice for verification. If you do not supply this password, the login request is rejected. Gatekeeper The IP address of the MXM. If you do not know it, ask

your system administrator.

If you are running MeetingPoint for the first time after installation (or logging into a different MXM), the Configuration Wizard setup program appears. This program asks you to enter the information required to run MeetingPoint from your specific location. For the complete standard setup procedure, see “Setting Up the MeetingPoint Configuration” on page 2-7. MeetingPoint’s default properties are suitable for most video meeting requirements. If you must change these settings, please consult with your system administrator or VCON distributor.

Conference Panel(MXM Support) and Local Video Window

At this point, if the system’s communication lines are connected, you may start a video meeting and receive incoming video meeting calls.

MediaConnect 8000 and VCB On Same Computer

If a MediaConnect 8000 and VCON Conference Bridge (VCB) are installed on the same computer, they each occupy their own IP address. In this case, when you run MeetingPoint, you must specify the IP address of the MediaConnect 8000.

To select the IP address of the MediaConnect 8000

1. From the Select IP Address list, select the IP address of the MediaConnect 8000.

For normal operation, the MediaConnect 8000 must be assigned the computer’s secondary IP address.

To start MeetingPoint

1. In the Windows Desktop, click the VCON MeetingPoint icon. The Conference Panelappears, followed by the Local Video window.

At this point, if the system’s communication lines are connected, you may start a video meeting and receive incoming video meeting calls.

2.2 Starting Videoconferences

Videoconferences may be carried out over your network connection (over IP) or over ISDN phone lines.

Starting a Videoconference over IP (Network Connection)

Use the LAN Dialer to make a call over the network connection, using IP. If you are running MeetingPoint for the first time after installation, the Configuration Wizard setup program appears. This program asks you to enter the information required to run MeetingPoint from your specific location. For the complete standard setup procedure, see “Setting Up the MeetingPoint Configuration” on page 2-7.

MeetingPoint’s default properties are suitable for most video meeting requirements. If you must change these settings, please consult with your system administrator or VCON distributor.

Dialing Out Over a LAN Connection

To dial through the LAN Dialer

1. In the Address Book Explorer, click the Manual Dialers folder to display the available dialers. Click LAN Dialer.

2. In the box at the top of the right pane, type the IP address (or Alias or E.164 number if a Gatekeeper is connected to your LAN) you want to call. 3. Click Dial to start a videoconference. The Conference Control window

shows the status of your call until the call is accepted and the remote participant appears in the Remote Video window (Single Monitor mode) or in a TV monitor (Dual/Triple Monitor) mode.

If the call does not succeed, a large X appears over the picture of the telephone and the reason for the call failure appears. Click Cancel to close the Conference Control window, or Redial to start the call again.

4. Click the HangUp button to end the call. This button is available during a videoconference.

Making a Videoconference Call over ISDN Lines

Use the ISDN Dialer to make a call over ISDN lines.

To dial through the ISDN dialer

1. In the Address Book Explorer, click the Manual Dialers folder to display the available dialers. Click ISDN Dialer.

2. In the box at the top of the right pane, type the ISDN number you want to call.

3. Click Dial to start a videoconference. The Outgoing Call window shows the status of your call until the call is accepted and the remote participant appears in the Video window.

If the call does not succeed, a large X appears over the picture of the telephone and the reason for the call failure appears. Click Cancel to close the Outgoing Call window, or Redial to start the call again.

4. Click the HangUp button to end the call. This button is available during a videoconference.

2.3 Setting Up the MeetingPoint Configuration

MeetingPoint® is the MediaConnect 8000’s videoconferencing software application. It is pre-installed in the MediaConnect 8000 unit at a VCON facility prior to delivery. However, when you start MeetingPoint for the first time, you have to set up its configuration, according to your particular specifications, in the Configuration Wizard. The Configuration Wizard guides you through the required stages and requests the relevant information for normal operation of MeetingPoint. In addition, you may change any of these configuration details (as long as they are compatible with your equipment) whenever the system is on. The Properties

command is available:

In the Conference Panel’s shortcut menu. Right-click to open it.

In the Conference Panel button menus. Click any arrow to open a specific menu for each MeetingPoint application.

To set up the MeetingPoint configuration

1. In the Configuration Wizard’s opening page, click Next to continue. The User Information dialog box appears.

2. In the User information section, type your First Name, Last Name,

Company name, and E-mail address.

In the Dialing Information section, click the Country that you are in, type your area code, and type the appropriate digits for dialing an outside line (External), a Long Distance call, or an International call.

Click Next to continue.

If you need to dial a specific digit to receive an external line, you must type that digit before the digits required for a long distance or international call. For example, if you have to dial 9 to receive an external line, and then 01 to dial long distance, type 901 in the Long Distance box.

3. In the Communication list, select the type of external communication line your system will use.

international code or your local area code.

If your ISDN carrier supplied you two identical phone numbers for a BRI, type the number in the consecutive boxes (#1&#2, #3&#4, #5&#6). In all other cases, the phone numbers for each ISDN line may be different.

6. If your ISDN carrier supplies you with SPID (Service Profile Identifier) numbers, you have to enter them in the SPID Numbers dialog box. A SPID number describes the capabilities of each computer or phone on the ISDN lines. This information may be important to your local telephone company in defining the level of service to provide. If necessary, obtain this information from your ISDN carrier.

The LAN configuration includes:

User Name The user’s unique name on the connected network (H.323 alias).

User Number The user’s unique logical number (E.164 string) as defined by your network’s system administrator. The User Number must consist of digits only. Gatekeeper

Address The IP address of the H.323 Gatekeeper to which the computer may register. If your organization has installed a gatekeeper, we recommend that you enter its address. If you do not know its address, ask your system administrator.

If you leave this box blank, the computer cannot register with a gatekeeper.

For example, if video packets are delayed for 1 or 2 seconds, the system will automatically synchronize the transmission so that the delay does not disturb the visible video.

To cancel the setup, click Cancel. In this case, all setup information will be discarded and you will not be able to run MeetingPoint until you perform the setup at another time.

Connecting the Wireless Keyboard

1. Locate the box containing the Wireless Keyboard and take out the following two items:

— Infrared (IR) Receiver — Wireless Keyboard

2. Feed the cables from the IR receiver through the small hole at the rear of the IR receiver cut-out on the rollabout cabinet. Push the receiver gently into position.

If you do not have the rollabout cabinet, place the IR receiver on top of your SVGA monitor.

3. Connect the two cables to the mouse port and the KYBD mini-DIN PS/2 connector on the computer’s rear panel. Place the Wireless Keyboard on your conference table, preferably at an operating distance of no more than 6 meters away from the keyboard receiver.

Connecting the SVGA Monitor

If a Wireless Keyboard, which use a serial mouse control instead of PS/2 control, is supplied, the mouse control connection will be a 9-way D-type connector connected to the COM2 port on the rear of the

Keyboard Problems

When you work with the keyboard, the system does not respond.

1. Make sure that you are directing the keyboard directly at the receiver unit with no obstructions between them. 2. Check that the receiver is connected correctly and that

the receiver LEDs are ON.

3. Optimal distance for using the keyboard is 6 meters (19.5 feet). Use of the keyboard over a long period of time without replacing its batteries will reduce this optimal distance.

4. Check that the batteries are inserted correctly in the keyboard. If necessary, replace the batteries.

5. If the problem still remains, contact your local VCON distributor for further instructions.

4. Verify that the remote participant has not muted audio transmission from the remote side.

5. If you started the videoconference, then disconnect and redial to verify whether the problem remains. If the remote user started the videoconference, advise the remote user to disconnect and redial to verify whether the problem remains.

6. Connect MediaConnect 8000 in a loopback (dial the second ISDN channel of the first BRI pair) and verify that your audio is working.

To connect a VCR to the videoconferencing board’s panel for recording

1. Connect the yellow-jack cable between the VIDEO IN connector of the VCR and the VCR VID OUT (yellow) connector of the

videoconferencing card.

2. Connect the VCR cable with the white jacks between the AUDIO IN connector of the VCR and the VCR AUD OUT (black) connector of the videoconferencing card.
